Zoho Workplace vs Google Workspace in 2027: A Whole-Suite Comparison

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Both suites cover email, calendar, documents, file storage, chat and video meetings. Google Workspace is the stronger choice if your team lives in Docs, Sheets and Gemini. Zoho Workplace usually fits better if you already run Zoho CRM, Books or Zoho One, want a choice of data center country, or prefer an office suite that handles Word and Excel files.

This comparison is for owners, operations leads and IT managers at companies of roughly 10 to 200 people who are choosing a collaboration suite, or reviewing the one they have. Email is only part of the decision. You will see how Zoho Workplace and Google Workspace compare on documents, file storage, chat, meetings, admin controls, security and where your data sits. We describe what each vendor says on its own pages, flag where plans differ, and explain how to structure the decision. If you only need a mail comparison, we link to that shorter answer.

What is actually in each suite?

Each suite bundles the same core jobs under different app names. Zoho lists Mail, Calendar, WorkDrive, Writer, Sheet, Show, Cliq, Meeting, Vault (password manager), Directory and, on higher plans, Connect for intranet and employee engagement. Google Workspace offers Gmail, Calendar, Drive, Docs, Sheets, Slides, Chat, Meet and, in most business editions, Gemini AI features.

The practical difference is less about the list and more about what each suite connects to. Zoho Workplace sits on the same accounts and directory as Zoho CRM, Desk, Books and Projects. Google Workspace connects deeply with its own apps and a large third-party marketplace. If you are also weighing Microsoft 365, the same questions apply: which apps your staff use most, and what the suite must connect to.

How do documents and file storage compare?

Google is the reference point for real-time co-editing in the browser, and many staff already know Docs and Sheets. Zoho Writer, Sheet and Show also support real-time collaboration, and Zoho promotes them as editors that work with existing Word, Excel and PowerPoint files. If your clients and suppliers send Office files all day, test a few of your most complex spreadsheets in both suites before you decide.

For file storage, both suites use shared team spaces. WorkDrive uses team folders with roles such as Admin, Organizer, Editor, Commenter and Viewer. Google uses shared drives with its own access levels. Storage is pooled differently: Zoho's Workplace plans give team storage that grows per user, while Google pools storage across users by edition. Read the current numbers on each pricing page rather than older blog posts, because both vendors change them.

We go deeper on folder design and permissions in our guide to WorkDrive document management.

How do chat, meetings and AI features compare?

Both suites include chat and video meetings in their main business plans. Cliq offers channels, direct messages and bots, and it can post alerts from other Zoho apps. Google Chat is built into Gmail and works closely with Meet. Meeting participant limits vary by edition on both sides, so match them to your largest regular call.

On AI, Google bundles Gemini into Business Standard and higher, with a lighter set of features on Business Starter, according to its pricing page. Zoho includes its Zia assistant in paid Workplace and Mail plans. AI features move quickly on both platforms, so treat any comparison as a snapshot and run a short trial with real tasks.

What about admin, security and data location?

Admin and security are where the editions matter most. Zoho lists single sign-on, a directory, multi-factor authentication, spam control and a password manager across Workplace. Email retention, eDiscovery, S/MIME, mobile access management and mail data loss prevention (marked beta at the time of writing) appear on Mail Premium and Workplace Professional. Google offers its admin console on every edition, with Vault, advanced endpoint management and data regions tied to particular editions.

Data location often decides the matter for regulated firms. Zoho assigns your account to a data center based on the country you select at sign-up, with locations including the US, Canada, India, the EU (Netherlands and Ireland), Australia, Japan, Singapore, Saudi Arabia and the UAE. Google lets administrators on supported editions choose the United States or Europe for covered data, with no other region options listed. Confirm your obligations under GDPR, PDPL or sector rules with your lawyer. Neither suite makes you compliant on its own.

  • Check which plan includes retention and eDiscovery before you compare costs.
  • Ask which data center your account will use, and whether all apps you need are offered there.
  • Confirm single sign-on works with the identity provider you already use.

How are the two suites priced?

Both vendors charge per user, per month, with a discount for annual billing. Zoho separates mail-only plans (Mail Lite and Mail Premium) from full Workplace plans (Standard and Professional), with Enterprise quoted by sales. Google sells Business Starter, Standard and Plus for up to 300 users, and Enterprise editions above that or for advanced needs. Storage and some features are sold as add-ons on both.

We do not quote license prices because they change and vary by country. Check Zoho's pricing page and Google's pricing page for your region, then compare the edition that gives you the retention, storage and security controls you actually need, not the cheapest headline plan.

How should a 10 to 200 person company decide?

Start with what your team uses most and what the suite must connect to. A company that already runs Zoho CRM or Books gets shared users, a single directory and fewer integrations by choosing Workplace. A company whose staff live in Google Sheets and rely on Gemini may find the switching cost too high for the gain.

You can also run a mixed setup during a move. Zoho supports split delivery, where some users move to Zoho Mail while others stay on Google for a period. Our answer on sharing one domain between Google and Zoho explains how that works. If you go ahead, our Google Workspace to Zoho Workplace migration service moves mail, calendars, contacts and Drive files to a written, fixed-price plan.

  1. List the five tasks your staff do most each day in the current suite.
  2. Note every system the suite must connect to, such as CRM, accounting and help desk.
  3. Pick the edition on each side that meets your retention and security needs.
  4. Run a two-week pilot with a few users on real work, including large spreadsheets.
  5. Decide on data location, then plan the cutover and user training.

Frequently asked questions

Can Zoho Workplace open and edit Microsoft Office files?

Zoho says Writer, Sheet and Show work with existing Word, Excel and PowerPoint files. Test your most complex files, such as spreadsheets with macros or heavy formatting, during a trial.

Is there a free version of Zoho Mail for a small team?

Zoho lists a free Mail plan for a small number of users on one domain, with limited storage and no IMAP or POP access. Check the current limits on Zoho's pricing page before you rely on it.

Does Google Workspace let me keep data in India or the Middle East?

Google's data regions help page lists the United States, Europe or no preference as the options, on supported editions only. If you need data held in another country, compare that with the data center options your other vendors offer.

Can we move only some staff to Zoho first?

Yes. Zoho supports split delivery and coexistence on the same domain, so a pilot group can move while everyone else stays on Google until the main cutover.

Do we need a partner to switch suites?

Not always. Small teams with simple mailboxes can follow Zoho's migration guides. A partner helps when you have many users, shared drives, groups and aliases, or a tight cutover window.
