Where Is Zoho Data Stored for US Businesses?

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

A Zoho account created on zoho.com is hosted in Zoho's US data center region, which Zoho's Creator documentation lists as Quincy (primary) and Dallas (secondary). Your data center is fixed at sign-up based on your location. A partner working remotely logs into that account, so the data itself stays in the US region.

This guide is for US owners, IT leads and compliance managers who are about to set up Zoho CRM, Zoho Books or Zoho One and want to know where the data will live before they sign. It covers how Zoho assigns a data center, how to check yours, which certifications Zoho publishes, and what actually changes when the setup is done by a partner outside the US. It also lists the access controls to put in place before anyone outside your company gets a login.

Which data center does a US Zoho account use?

Zoho runs separate data center regions, each with its own domain. According to Zoho's account help pages, the US region uses accounts.zoho.com, while other regions use domains such as zoho.eu, zoho.in, zohocloud.ca and zoho.com.au. Each data center holds only the data of users who registered in that domain.

Zoho's Creator infrastructure FAQ names Quincy as the primary US location and Dallas as the secondary one. Zoho's privacy pages list Zoho Technologies, the group's US entity, as the company that hosts the US data centers.

Two rules matter during setup. First, Zoho assigns a data center by default from the location it detects when you sign up. Second, one account can only live in one data center. If a founder creates the account while travelling, or a contractor signs up from abroad, the organization can land in the wrong region.

How do you check and fix your data center before setup?

Check this on day one, before any data is imported. Moving later is harder.

  1. Log in and look at the address bar. A domain ending in zoho.com means the US region; zoho.eu, zoho.in or zohocloud.ca means another region.
  2. Repeat the check for every Zoho app you plan to use, since they should all sit under the same organization.
  3. If the region is wrong and the account holds nothing important, close it and sign up again from the US domain.
  4. If the account cannot be closed because of existing data, an organization admin can ask Zoho for a migration by emailing migrations@zohoaccounts.com. Zoho checks feasibility first, and its help page notes that a few services may not support migration.
  5. Record the region in your project notes so later integrations use the correct API domain.

Which Zoho security certifications matter for US buyers?

Zoho publishes its certifications on its compliance page. The ones US security questionnaires usually ask about are below. Scope varies by product, so check that the app you are buying is listed.

Certifications listed on Zoho's compliance page
ItemWhat Zoho statesNote
SOC 2 Type 2Covers Zoho cloud servicesRequest the report through Zoho for vendor reviews
SOC 1 Type 2Financial reporting controls for apps such as Zoho Books and Zoho CRMUseful for auditors of finance teams
SOC 2 + HIPAAAudit against HIPAA requirements for listed servicesConfirm BAA terms directly with Zoho
ISO/IEC 27001, 27017, 27018, 27701Information security and privacy managementCommon in enterprise questionnaires
PCI self-assessment (SAQ-D)Listed for Zoho Books, Zoho Billing, Zoho Commerce and othersApplies to payment-related apps only
CCPAPrivacy features to help users complyA Zoho statement, not a certification

Zoho's security FAQ also states that data at rest is encrypted with AES-256 and data in transit with TLS 1.2 or 1.3. Texas TX-RAMP certification appears on the same page but covers specific ManageEngine products, not Zoho CRM.

Does an offshore Zoho partner move your data out of the US?

No. A partner configures your account by logging into it, so records stay in the US region. What can leave the region is copies: CSV exports saved to a laptop, screenshots in a chat tool, or test files emailed back and forth. That is where your controls should focus.

When you evaluate a Zoho implementation partner in the USA or one working remotely from abroad, ask how they handle these points:

  • A named user login for each consultant, never a shared admin password.
  • A custom profile with only the permissions the work needs, raised to administrator only when required.
  • Exports kept to a minimum, stored in your own Zoho WorkDrive or shared drive, and deleted after migration.
  • Use of the Audit Log in Zoho CRM, under Setup > Data Administration, to review changes.
  • A confidentiality agreement and a written offboarding step that deactivates partner users at handover.

Zoho's own staff access is described in its privacy FAQ: access is limited to a small number of employees on a need-to-know basis for technical support, and other Zoho group entities may access data for support and disaster recovery.

What US compliance points should you plan for?

Data location is only one part of compliance. A few US-specific points come up on most projects:

  • Healthcare: if you handle protected health information, confirm Business Associate Agreement terms with Zoho and restrict which fields and users can see patient data.
  • State privacy laws: California and other states give consumers rights over their data. Plan how you will find, export and delete a person's records across Zoho CRM, Zoho Campaigns and Zoho Desk.
  • Finance: if auditors review your books, ask Zoho for the SOC 1 report that covers Zoho Books.
  • Backups: Zoho's security FAQ describes weekly full and daily incremental backups with a three-month retention. Keep your own periodic exports if your policy requires a longer history.

What should you decide before anyone gets access?

Most data problems in Zoho projects are set-up mistakes, not platform failures. Avoid these:

  • Signing up before deciding who owns the account, so the super admin is a former employee or an outside contractor.
  • Mixing regions, such as Zoho CRM in the US and Zoho Books in another region, which complicates integrations.
  • Importing full customer history before roles and profiles are configured.
  • Leaving consultant users active after the project ends.
  • Skipping a written data map that lists which app holds which personal data.

How does Flowpeak handle access on US projects?

We work remotely from Chennai, India, inside your US-hosted Zoho account. Each consultant gets a named login with a restricted profile, migration files stay in your storage, and we deactivate our users at handover. Most Zoho CRM projects go live within two weeks; integrations, complex workflows and Blueprints add time. If you want your data center and access plan checked before setup starts, Book a free call.

Frequently asked questions

Is Zoho a US company?

Zoho Corporation is headquartered in Chennai, India, and operates through several group companies. Its privacy pages list Zoho Technologies, based in Pleasanton, California, as the entity that hosts the US data centers. For contracts and data processing terms, check which Zoho entity appears on your order form.

Can I choose the US data center if I sign up from outside the US?

Zoho assigns a data center from your detected location by default. If you need the US region, sign up on the US domain and confirm the address bar shows zoho.com before importing anything. If the account already landed elsewhere, ask Zoho about migration or recreate the account early.

Does Zoho sign a HIPAA Business Associate Agreement?

Zoho lists a SOC 2 plus HIPAA audit for named services and describes its role as a business associate. Terms, eligible apps and editions can change, so confirm BAA availability with Zoho directly before you store any protected health information in a Zoho app.

Will Zoho staff in India see my US data?

Zoho states that access to customer data is limited to a small number of employees on a need-to-know basis for technical support, and that group entities may access data for support and disaster recovery. Review Zoho's privacy policy and data processing terms if your contracts restrict this.

Should a remote partner sign an NDA before starting?

Yes. A confidentiality agreement, named user logins and a written offboarding step are basic protections for any partner, local or remote. Also agree where migration files are stored and when they are deleted, since copies of exported data carry more risk than the Zoho account itself.
