Zoho for Saudi employers: payroll, Qiwa and Arabic invoices

Saudi businesses run on a set of government platforms as much as on their own software. Wage files go through Mudad, employment contracts sit on Qiwa, social insurance runs through GOSI and tax invoices must carry Arabic. Owners and finance leads often keep these in separate spreadsheets that never quite match. Zoho fits as the record behind them: Zoho People for employee and contract data, Zoho Payroll or your payroll provider for pay runs, Zoho Books for Arabic VAT invoices, and Zoho CRM for the sales pipeline. We set this up remotely for teams across the Kingdom, so each platform gets the same clean data instead of three versions of it.

We connect Zoho Inventory for raw materials and finished goods, Zoho Creator for simple production orders where the plant needs them, and Zoho Books for Arabic tax invoices to distributors, so a dispatch, an invoice and a stock movement come from one record.

Private schools handle admissions enquiries, fee plans and staff contracts in the same term. We set up Zoho CRM for admission enquiries with parent messages in Arabic and English, Zoho Books for fee invoices and reminders, and Zoho People for teacher contracts and leave, with parent data handled carefully under the PDPL.

Arabic VAT invoices in Zoho Books

ZATCA rules say a tax invoice must be in Arabic, and a second language can sit alongside the Arabic text. In Zoho Books we build invoice templates with Arabic as the main text and English next to it. Customer names and addresses go in Arabic with English after a slash, as Zoho's Saudi help pages describe. Zoho Books also generates VAT returns in the format ZATCA specifies, so the return comes from the same invoices you issued. We check each template with your accountant before go-live. Rules change, so confirm the current requirements with your tax agent.

GOSI, Mudad, Qiwa and Nitaqat

Saudi payroll touches several platforms. Employers and employees make monthly GOSI contributions. Wage files are uploaded through Mudad Business and checked against social insurance records, which updates your wage protection compliance rate. Since 15 April 2026, only Saudi employees whose contracts are documented on Qiwa count toward your Nitaqat Saudization rate. Zoho Payroll has a Saudi edition that calculates GOSI for Saudi nationals, prepares pre-filled wage files, issues bilingual payslips and works out end-of-service gratuity for expatriates. It pulls attendance and overtime from Zoho People. Teams that already use a payroll provider keep it and use Zoho People as the employee record.

Tools you probably connect

Saudi teams often connect Zoho to WhatsApp Business for customer messages, Google Workspace or Microsoft 365 for email and calendars, and their bank for salary and supplier payment files. HR teams want contract dates and Iqama expiry dates in one place so nothing lapses before renewal. Migrations we are asked for include spreadsheets, older desktop accounting tools and CRMs that cannot produce Arabic VAT invoices.

ZATCA e-invoicing in 2026 and 2027

ZATCA keeps adding businesses to Phase 2 (integration) in waves. Wave 25, announced in July 2026, covers businesses with VAT-taxable revenue above SAR 187,500 in any year from 2022 to 2025, with integration from 1 February 2027.
Zoho states that Zoho Books is a ZATCA-approved Phase 2 solution: invoices, credit notes and debit notes are sent to the FATOORA platform from Zoho Books.
What we do: confirm your wave with your adviser, connect Zoho Books to FATOORA using the one-time password and CSID process, and test each invoice type before your deadline.

Most Zoho CRM set-ups go live within two weeks; other single-app set-ups often take two to four weeks, and multi-app rollouts with migration commonly take six to twelve weeks.
