Zoho WorkDrive manages documents through team folders, each with members in roles such as Admin, Organizer, Editor, Commenter and Viewer. Design folders around teams and clients, give access by role, control external links with passwords and expiry dates, keep version history on, and set retention rules. This guide is for owners, office managers and IT leads who want company files out of personal drives, email attachments and desktops, and into one place with clear rules. You will learn how WorkDrive organizes files, how to design a folder structure people actually follow, which roles to give whom, how to share safely with clients, what version history and retention cover, how WorkDrive connects to Zoho CRM, and which plan features matter. We describe what Zoho says on its own pages and flag where features depend on your plan.

How does Zoho WorkDrive organize files?

WorkDrive splits files into personal space and shared team folders. Each user has My Folders for drafts and personal work. Team folders are shared workspaces: when you add someone to a team folder, they get access to everything inside it, according to their role.

That design pushes you toward a simple rule. Anything the business needs to keep, find or hand over belongs in a team folder, not in someone's personal space. When a person leaves, the files stay with the team. WorkDrive also includes Zoho's Writer, Sheet and Show editors, so many documents can be created and edited in place, and Zoho offers desktop sync and mobile apps.

How should you design your team folder structure?

Design folders around how work is owned, not around file types. A team folder per department works for internal files. A team folder per client or project works when outside people need access or when work is handed over at the end. Keep the top level short so people can see where things go.

Avoid deep nesting. If a file is more than four folders down, people stop finding it and start saving copies elsewhere. Avoid personal folders inside team folders, such as a folder named after one employee, because they recreate the problem you are trying to solve. Write the structure down in a one-page guide and agree naming rules before you move files. Our WorkDrive implementation service often starts with exactly this exercise, because a good structure saves more time than any feature.

  1. List the teams, clients or projects that own files today.
  2. Create one team folder per owner group, with a named folder Admin.
  3. Inside each, add a standard set of subfolders, such as Contracts, Working and Final.
  4. Agree a file naming rule, for example date, client and document type.
  5. Move files in batches and archive old material into a read-only folder.

Which roles and permissions should each person get?

Give the lowest role that lets each person do their job. Zoho describes five team folder roles. Admins have full control and are the only ones who can delete the team folder. Organizers manage members and permissions, move files within the folder, share outside the team and delete or restore items. Editors create, upload, rename and edit. Commenters view and comment. Viewers view, copy, sync and download.

Team folder roles in Zoho WorkDrive and who usually gets them
RoleMain abilities (per Zoho)Typical holder
AdminFull control, including deleting the team folderDepartment head or IT owner
OrganizerManage members, move files, share externally, delete and restoreTeam lead or office manager
EditorCreate, upload, rename and edit filesStaff doing the work
CommenterView and commentReviewers, approvers
ViewerView, copy, sync and downloadRead-only staff, auditors

Keep the number of Admins and Organizers small, because they control external sharing and deletion. Review membership every quarter, and when someone changes team, move them rather than adding them to more folders.

How do you share files safely with clients and suppliers?

Use external links with controls rather than email attachments. Zoho's pricing page lists secure external sharing with passwords and expiry dates from the Starter plan, admin oversight of all shared items from the Team plan, and admin controls such as allowed domains for external sharing. Set a default expiry for client links and require a password for anything sensitive.

For collecting files from clients, such as tax documents or site photos, WorkDrive has a Collect Files feature, which avoids clients emailing large attachments. Check what each feature allows on your plan, as Zoho changes the plan split from time to time.

What do version history, retention and DLP cover?

Version history keeps earlier copies of a file each time it changes, so you can restore a version when someone overwrites a document. Zoho lists unlimited file versions from the Starter plan. Retention policies decide how long deleted or old items are kept, and Zoho lists recovery of deleted items for up to 120 days on the Team plan.

The Business plan adds an admin audit trail, data loss prevention policies, classification labels, data templates with custom fields and a custom domain, according to Zoho's pricing page. DLP and labels help stop files marked confidential from being shared outside the company. Zoho's WorkDrive page also refers to GDPR and HIPAA. These features help, but they do not make you compliant, so confirm your record-keeping obligations with your lawyer or accountant.

How does WorkDrive connect with Zoho CRM and other apps?

Zoho has moved Zoho CRM file storage onto WorkDrive for new CRM sign-ups, with existing accounts moving in phases. Record attachments are filed automatically under a path such as Apps, Zoho CRM, module name, record name, Attachments, and CRM users can also work with team folders from the Documents tab. Zoho notes that once a WorkDrive account is linked to a CRM org, it cannot be unlinked, so choose the account carefully.

WorkDrive also sits inside Zoho Workplace and Zoho One, and Zoho lists a Zapier integration for apps outside Zoho. If you are moving files from Google Drive, our Google Workspace to Zoho Workplace migration covers My Drive and shared drives. Our Zoho Workplace vs Google Workspace comparison explains the wider suite decision.

Which WorkDrive plan do you need, and how can we help?

Zoho sells WorkDrive in Starter, Team and Business plans priced per user, plus an Enterprise option for larger organizations and a free individual plan. Storage is pooled for the team and grows as you add users, with add-on storage available. WorkDrive is also included in Zoho Workplace Standard and Professional, with storage limits that differ from the standalone plans. We do not quote license prices. Check Zoho's WorkDrive pricing page for your region.

Choose the plan by the controls you need. If you need audit trails and DLP, you need Business. If you mainly need shared folders and safe client links, Starter or Team may be enough. Before you buy, count how many people need edit access, how many only view, and how many outside users you share with, because those numbers shape both the plan and the folder design. We set up WorkDrive to a fixed price in writing, paid by milestone, with 30 days of free fixes after go-live.

Frequently asked questions

Can people outside the company access WorkDrive files?

Yes, through external share links, which can carry passwords and expiry dates. Admins can limit external sharing and, on supported plans, review all shared items.

Does WorkDrive work offline?

Zoho offers a desktop app that syncs team files to your computer, so you can work on synced files offline and changes upload when you reconnect.

Can we edit Microsoft Office files in WorkDrive?

WorkDrive includes Zoho Writer, Sheet and Show, which Zoho says work with Word, Excel and PowerPoint files. Test complex files during a trial.

What happens to a user's files when they leave?

Files in team folders stay with the team. Files in a leaving user's personal space should be transferred by an admin before the account is removed, so keep business files in team folders.

Is WorkDrive included in Zoho One?

Zoho One includes WorkDrive among its apps. Check your Zoho One plan for the storage and admin features it includes.
