By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho Sign lets you upload a document, add signature and data fields, and send it to signers in order. Each signer gets a link by email or SMS, can be verified with a code, and signs in a browser or app. Zoho stores the signed PDF with an audit trail. Plans are per user, with credits for some features.

This guide is for owners, sales managers, HR teams and operations staff who want to replace paper or PDF signing with Zoho Sign, or who have the app and are not sure which features to use. You will learn how a signing request works, which features save the most time, how signers are verified, what the audit trail records, how Zoho structures its plans and credits, and the basic legal points to raise with your lawyer. We keep the comparison with DocuSign short and link to a dedicated answer instead.
How does a Zoho Sign request work?
A signing request has three parts: the document, the recipients and the fields. You upload a PDF or Office file, or pull one from cloud storage. You add recipients and decide whether they sign in order or in parallel. Then you place fields such as signature, initials, date, name, text and checkboxes for each recipient.
Recipients can have different roles. Zoho's help pages describe signers, approvers who review without signing, and people who only receive a copy. When everyone has finished, Zoho seals the document and sends a completed copy to all parties.
While a request is open, you can see who has viewed and signed, send reminders, set an expiry date, or recall the document if something needs to change. Signers can decline and give a reason, which comes back to the sender. These small controls matter more day to day than the headline features, so show your team where they are during training.
- Upload the document or start from a saved template.
- Add recipients, set their roles and choose the signing order.
- Place signature and data fields for each recipient.
- Choose delivery and verification, such as email, SMS or an access code.
- Send, then track progress and send reminders from the dashboard.
- Download or store the signed PDF and its completion certificate.
Which Zoho Sign features save the most time?
Templates save the most time for repeat documents. You set up fields and recipient roles once, then reuse the template for every new hire letter, service agreement or consent form. Zoho's pricing page places unlimited templates on Professional and Enterprise plans.
Other features suit particular jobs. Bulk send sends one document to many signers who each get their own copy, which suits policy updates or annual renewals. Each signer's progress is tracked separately, so you can chase only the people who have not signed. SignForms give you a secure link you can share or embed on your website, so people can fill and sign without you sending each one. In-person signing lets a customer sign on your tablet at a counter or job site. Zoho lists bulk send, SignForms and in-person signing on its Enterprise plan.
| Feature | Best for | Plan note |
|---|---|---|
| Templates | Repeat contracts, offer letters, consent forms | Unlimited on Professional and Enterprise |
| Signing order and approvers | Documents that need internal sign-off first | Approval workflows from Standard |
| Bulk send | Policy updates to many staff or customers | Enterprise, uses credits |
| SignForms | Website waivers, registrations, applications | Enterprise, uses credits |
| In-person signing | Counter, clinic or on-site signing | Enterprise |
| API and webhooks | Signing inside your own app or portal | Enterprise or API plan |
How are signers verified, and what does the audit trail show?
Zoho Sign offers several ways to check that the right person signs. Email delivery is the default. You can add an access code you share separately, or a one-time code sent by email or SMS. For higher assurance, Zoho offers digital certificate signing and, on its Enterprise plan, qualified electronic signatures issued by a qualified trust service provider after identity checks. In India, Zoho says it supports Aadhaar eSign.
Every completed document comes with an audit trail that records when it was sent, viewed and signed, along with details of each action. Zoho also offers blockchain timestamping, which it describes as a publicly verifiable record. Zoho states it encrypts data at rest with AES-256 and in transit with TLS. These records matter if a signature is ever challenged, so keep them with the signed file.
Match the verification level to the document. A routine order form may only need email delivery. An employment contract or loan document may justify an access code or SMS code. Documents that by law or policy need a stronger signature type may need certificate-based or qualified signatures. Write these rules down so staff do not choose case by case, and review them once a year or when you start selling in a new country, since both signature rules and Zoho's options change.
How is Zoho Sign priced?
Zoho Sign is priced per user, per month, with a discount for annual billing. Zoho lists Free, Standard, Professional and Enterprise plans, plus a custom plan and an API plan with no subscription that runs on credits. Lower plans have a monthly envelope allowance per user. Professional and Enterprise list unlimited envelopes.
Credits are the part that surprises buyers. Zoho sells Sign credits in blocks, and uses them for features with a separate cost behind them, such as some integrations, bulk send, SignForms, qualified signatures and timestamping. Enterprise includes a monthly allowance of complimentary credits. Envelopes sent through the API or third-party apps always use credits. We do not quote license prices. Check Zoho's Sign pricing page for your region and estimate your monthly volume before choosing a plan.
Are Zoho Sign signatures legally binding?
Electronic signatures are accepted for most business documents in many countries, but the rules differ. In the US, the ESIGN Act and state UETA laws give them legal effect. In the EU, eIDAS defines simple, advanced and qualified signatures. The UK, the UAE and India have their own laws, including India's Information Technology Act, 2000.
There are exceptions. Zoho's India page, for example, lists wills, trusts, powers of attorney and negotiable instruments as documents that electronic signatures do not cover there. Qualified signature options also vary by region and data center. Our answer on qualified electronic signatures in the EU covers that in detail. For regulated or high-value documents, confirm the right signature type with your lawyer before you roll out.
Is Zoho Sign enough, or do you need DocuSign?
For most small and mid-sized businesses, Zoho Sign covers the everyday signing jobs: contracts, quotes, HR forms, waivers and approvals. It also connects directly with Zoho CRM, Books and other Zoho apps, which matters if you already run them. Our answer on Zoho Sign vs DocuSign compares the two fairly. If you run Zoho CRM or Books, signing can start from the deal, quote or estimate rather than from a separate upload.
