By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Set up Zoho Campaigns in this order: add and verify a sender address on your own domain, publish SPF, DKIM and DMARC records, import contacts into lists and topics, build segments, create a tested template, connect Zoho CRM, then send a small first campaign and review opens, clicks, bounces and unsubscribes before scaling up.

This guide is for owners and marketing managers at small businesses who want to run email marketing from Zoho Campaigns in 2027, often alongside Zoho CRM. You will learn what to prepare before you log in, how to authenticate your sender domain so mail reaches the inbox, how to organize lists, topics and segments, how to build templates that hold up on mobile, how the CRM sync works in both directions, and how to send and measure your first campaign. Zoho has been moving accounts to a newer Campaigns interface, so menu names here follow Zoho's current help pages.

What do you need ready before you set up Zoho Campaigns?

You need four things: access to your domain's DNS settings, a sending address on that domain, a clean contact file with a record of how each person agreed to hear from you, and a decision on which CRM records should become email contacts. Gathering these first saves days of back and forth.

Consent rules differ by country. Zoho Campaigns gives you tools such as double opt-in, subscription types and unsubscribe links, but the software does not decide what the law requires of you. Confirm your obligations under rules like CAN-SPAM, GDPR, PECR or CASL with a lawyer before your first send.

How do you authenticate your sender domain?

Authenticate before you send anything. Zoho's help says unauthenticated domains are more likely to be marked as spam or refused. Google's sender guidelines require anyone sending more than 5,000 messages a day to Gmail accounts to set up SPF, DKIM and DMARC, support one-click unsubscribe for marketing mail, and keep the spam rate reported in Postmaster Tools below 0.3%. We cover the wider rules in our note on Gmail and Yahoo bulk sender rules with Zoho Campaigns.

  1. Go to Settings, then Email, then Senders & Authentication, and click Add Sender.
  2. Open the verification email Zoho sends to that address and click the link.
  3. Add Zoho's SPF include to your DNS. If an SPF record already exists, add the include to it rather than creating a second record.
  4. Publish the DKIM TXT record Zoho gives you.
  5. Create and publish a DMARC record yourself. Zoho's quick start guide says Zoho does not generate it for you.
  6. Once SPF and DKIM pass, publish the Custom Return Path CNAME record.
  7. Allow up to 24 hours for DNS changes, then recheck the status in Zoho Campaigns.

How should you organize lists, topics and segments?

Keep lists few and use segments for targeting. A list is where contacts live. Topics, in the newer interface, record what subjects a contact has agreed to receive. Segments are saved filters that combine conditions with AND/OR logic, so you can target by location, interest or CRM field without copying contacts into more lists. For a worked example, see how to segment Zoho Campaigns lists by location.

Import from Audience, then Contacts, then Import Contacts. Zoho accepts .csv and .xlsx files up to 25 MB. Each contact needs an email address or a mobile number in E.164 format. During import you choose whether to overwrite or skip duplicates, pick up to 10 lists and up to 25 topics, and map columns to fields.

If you collect sign-ups on your website, turn on double opt-in under Settings, Consent and privacy. New subscribers then get an email asking them to confirm before they are added.

How do you build email templates that work?

Start from one master template and reuse it. Zoho Campaigns offers a template gallery and a drag-and-drop editor, and you can also upload HTML, import HTML from a URL, write code in the HTML editor or send plain text. Zoho also says its assistant, Zia, can draft and refine subject lines and email copy.

Build the master with your logo, brand colors, a single column body that reads well on phones, a clear button and a footer with your postal address and unsubscribe link. Save it, then copy it for each campaign so the design stays consistent. Always send a test email to yourself and a colleague and check it on desktop and mobile before launch, because layouts can shift between the two.

How do you sync Zoho CRM with Zoho Campaigns?

Connect from Settings, then Integrations, then Apps, choose Zoho CRM and click Connect. You can link one CRM organization. Each sync covers one module, either Leads, Contacts or a custom module, and you can sync all records or only records that match your conditions. You also set the list, topics and subscription type contacts land in, plus rules for opt-outs, deleted records and empty fields.

Email and mobile are mapped by default. Map the other fields you will segment on, such as country, industry or lead status. Zoho lists an Instant sync type that runs right after a matching change in CRM. To send data back, turn on the option to sync from Zoho Campaigns to Zoho CRM and map fields such as Email Opt-out and Contact Score. The CRM field must exist first, so create it before you map.

How do you send your first campaign and read the reports?

Send a small, well-tested campaign first, then widen the audience once the numbers look healthy.

  1. Go to Campaigns, select Email and click Create New.
  2. Under Recipients, choose the topic, then the lists or segments.
  3. Set the From and Reply-to addresses, the subject line and an optional preheader.
  4. Pick your master template and edit the content.
  5. Send a test email and check it on desktop and mobile.
  6. Click Launch and choose to send now, send later, send in batches, send at each recipient's optimal open time or send in each recipient's time zone.
  7. After the send, review opens, clicks, bounces and unsubscribes, and remove hard bounces before the next campaign.

Once you have a baseline, use A/B testing. Zoho says you can test two versions with different subject lines, sender names or content and send the winner to the rest of the list.

Frequently asked questions

Do I need DMARC if I send fewer than 5,000 emails a day?

Google's guidelines make DMARC a requirement for bulk senders, but publishing a DMARC record is good practice for any business domain. Zoho Campaigns does not create the record, so you or your IT provider publish it in DNS.

Can I import contacts who never opted in?

Zoho Campaigns will let you choose a subscription type during import, but whether you may email those people depends on the law where they live. Confirm with a lawyer and keep a record of how each contact gave consent.

Will unsubscribes in Zoho Campaigns show up in Zoho CRM?

They can. When you turn on syncing from Campaigns to CRM, Zoho lets you map opt-out status to the Email Opt-out field so sales can see who has unsubscribed.

How long does a basic Zoho Campaigns setup take?

Domain records can take up to 24 hours to propagate. Allow extra time for cleaning contact files, building the master template and testing the CRM sync before your first real send.

Is Zoho Campaigns enough, or do I need Zoho Marketing Automation?

Zoho Campaigns covers newsletters, segmented campaigns and workflows. Teams that want multi-channel journeys, website activity scoring and lead stages often look at Zoho Marketing Automation instead.
