Zoho Sign with Zoho CRM and Books: Quote-to-Invoice Signing in 2027

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

In Zoho CRM, the Zoho Sign extension adds a Send with Zoho Sign button to records such as Deals, Quotes and Contacts, fills templates from CRM fields and tracks status on the record. In Zoho Books, the Sign integration lets your team sign estimates, invoices, credit notes and purchase orders, and customers accept estimates online. Both need the right plans.

This guide is for sales managers, finance leads and owners who run Zoho CRM, Zoho Books or both, and want contracts, quotes and estimates signed without downloading and re-uploading PDFs. You will see what the Zoho Sign extension for CRM adds, how templates pull data from records, how status shows up in CRM, how signing works inside Books, and how to join the two into one quote-to-invoice flow. It also covers plan and data center requirements. We link to separate answers for embedded signing sync and DocuSign comparisons.

What does the Zoho Sign extension add to Zoho CRM?

The extension puts signing inside the CRM record. Zoho's help page says you install Zoho Sign for Zoho CRM from the Marketplace and choose whether admins, all users or selected profiles get access. After that, a Send with Zoho Sign button appears on Leads, Contacts, Accounts, Deals, Quotes, Invoices, Sales Orders and Purchase Orders.

The extension also creates three modules: ZohoSign Documents, ZohoSign Recipients and ZohoSign Document Events. These hold a record of every document sent from CRM, who received it and what happened to it. You need a Zoho Sign subscription alongside Zoho CRM, or a Zoho One subscription that includes both.

How do templates pull data from CRM records?

You can map CRM fields to fields in a Zoho Sign template, so the customer name, deal value or address fills in automatically. Zoho's help page says sending Zoho Sign templates from CRM needs the Sign Professional or Enterprise plan, while basic sending and signing work on Sign Standard.

You can also collect signatures on CRM mail merge templates and inventory templates, such as a quote layout. Zoho notes that a mail merge template uses extra credits when it is merged and the PDF is generated in Zoho Writer. Plan your template approach before you build, because the choice affects both design and running cost.

Keep templates few and tidy, and give each one a clear name that matches the document your customers see. One master service agreement, one quote acceptance and one change order template cover most sales teams. Agree who owns each template so legal wording does not drift.

How do you track signing status inside CRM?

Status shows on the CRM record and in the ZohoSign Document Events module, so a sales rep can see whether a contract has been viewed or signed without leaving the deal. Managers can build CRM views and reports on the ZohoSign Documents module to list contracts waiting for signature.

Many teams want more than a status line. Common requests include moving a deal to Closed Won when the contract is signed, creating a task when a document is declined, or attaching the signed PDF to the deal. These usually need workflow rules, Deluge functions or Zoho Flow, and what is possible depends on your CRM edition. Our workflow automation service builds and tests these rules. If you sign inside your own portal or app, read our answer on keeping Zoho Sign and CRM synced with embedded signing.

How does Zoho Sign work inside Zoho Books?

In Zoho Books, you connect Zoho Sign from Settings, under Zoho Apps in Integrations and Marketplace. Zoho's help page says your users can then sign estimates, invoices, credit notes and purchase orders before sending them, using a signature-enabled PDF template.

Customers can sign too. If you allow customers to accept or decline estimates through the public link, the customer opens the estimate, clicks Accept, adds a signature and submits it. Under estimate settings, you can have accepted estimates convert automatically into a draft invoice, or into an invoice that is signed and sent.

Check two requirements first. Zoho's help pages list the Books integration as needing the Premium plan or higher, and as available on the US, EU, Australia, Japan and Canada data centers. If your Books account is on another data center, such as India or the Middle East, confirm availability with Zoho before you plan around it.

How do you join CRM and Books into one signing flow?

Decide where the customer signs. Some businesses sign the contract in CRM and raise the invoice in Books. Others send the estimate from Books and let the customer accept it there. Doing both for the same deal confuses customers, so pick one signing point per document type.

A typical flow for a service business looks like the steps below. Each step is simple on its own. The work is in agreeing the trigger for each handover, who owns it and what happens when a customer declines or asks for changes.

  1. The rep builds a quote on the CRM deal.
  2. The rep sends the service agreement with Zoho Sign from the deal, using a mapped template.
  3. When the agreement is signed, a workflow updates the deal stage and notifies finance.
  4. The CRM and Books sync creates or updates the customer in Books.
  5. Finance raises the estimate or invoice in Books, signed with your company signature.
  6. The signed agreement and invoice are stored where your team can find them.

What should you get right before going live?

Most problems come from plans, credits and ownership, not the software. Confirm your Sign plan supports template sending, check how many credits mail merge and integrations will use each month, and make sure each rep has a Sign user license if they send documents.

Train the people who send, not only the admins. Reps need to know which template to pick, how to check status and what to do when a signer declines. Finance needs to know where signed estimates and invoices are stored. A short written guide with screenshots from your own account works better than general videos.

Test with real documents: a long contract, a quote with many line items and a document with two signers in order. Check that status updates appear on the right record and that signed copies land where finance expects them. If you want this built for you, our Zoho Sign implementation service sets up the CRM and Books connection to a fixed price in writing, paid by milestone, with 30 days of free fixes after go-live.

Frequently asked questions

Do I need Zoho One to use Zoho Sign with CRM?

No. You can use separate Zoho Sign and Zoho CRM subscriptions. Zoho One includes both, so you do not need to buy Sign separately if you already have it.

Which Zoho Books plan supports e-signatures?

Zoho's help page lists the Sign integration and its signing features as needing Zoho Books Premium or higher. Check the current plan comparison for your region, as plan names differ by country.

Can customers sign Zoho Books invoices?

Zoho describes customers signing and accepting estimates through the public link or portal. Your own users can sign invoices before sending them.

Can I keep using DocuSign with Zoho CRM instead?

Yes. Zoho's help pages document a DocuSign extension for Zoho CRM. Many teams compare the two on cost, plan features and how much they already use other Zoho apps.

Does sending from CRM use Zoho Sign credits?

Some can. Zoho says mail merge templates use extra credits and some integrations draw on credits, so check your plan's credit allowance before you scale up.
