How to integrate WhatsApp with Zoho CRM: options, setup and costs
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
You can connect WhatsApp to Zoho CRM either through Zoho's built-in WhatsApp channel (for one-to-one chats) or through a WhatsApp Business API provider such as Interakt, Gupshup or AiSensy (for broadcasts, bots and shared inboxes). Both need a verified Meta business and a number on the WhatsApp Business Platform. Flowpeak's setup starts from ₹30,000 or USD 320.

For sales teams in India, the Gulf and much of the world, WhatsApp is where conversations actually happen. Connecting it to Zoho CRM means every chat, template message and reply is logged against the right lead or contact. There are a few ways to do it, and the right one depends on your volume and how much automation you need.
What you need before you start
Option 1: Zoho CRM's built-in WhatsApp channel
Zoho CRM can connect to the WhatsApp Business Platform so that users send and receive WhatsApp messages from inside lead and contact records. This suits teams that mainly want one-to-one chats logged in the CRM.
Option 2: a WhatsApp Business API provider
Providers such as Interakt, Gupshup, AiSensy, MSG91 or Twilio add features on top: broadcast campaigns, chatbots, shared team inbox and analytics. They connect to Zoho CRM through an extension or API. This suits businesses that send bulk updates or need a bot to qualify leads.
Built-in channel or provider: side by side
| Need | Zoho built-in WhatsApp | API provider (Interakt, Gupshup, AiSensy, Twilio) |
|---|---|---|
| One-to-one chats logged on records | Yes | Yes |
| Template messages from workflows | Yes | Yes |
| Bulk broadcasts to segments | Limited | Yes |
| Chatbot to qualify leads | No | Yes |
| Shared team inbox | Inside CRM | Provider inbox plus CRM sync |
| Extra subscription | No provider fee | Provider plan on top of Meta charges |
| Best for | Sales teams with personal conversations | High-volume marketing and support |
What to automate
- Send a welcome template when a new lead arrives from a web form or ad
- Notify the owner when a lead replies
- Send quote, payment link or appointment reminders from workflow rules
- Create a lead automatically when an unknown number messages you
- Log every conversation on the timeline of the record
Costs to plan for
There are three parts: Meta's per-conversation charges, the provider's subscription if you use one, and the setup work. Flowpeak's WhatsApp and Zoho CRM integration starts from ₹30,000 or USD 320, including template setup, workflow rules and testing. Provider-specific pages for Interakt, Gupshup and AiSensy are on our integration pricing page.
Common problems
- Template messages rejected by Meta for wording that sounds promotional
- Using a personal WhatsApp number that is still active on a phone
- Duplicate leads created because phone numbers are stored in different formats
- No owner assigned to incoming chats, so replies are missed
Setup steps
- Verify your business in Meta Business Manager
- Register the phone number on the WhatsApp Business Platform (directly or through your provider)
- Connect the number to Zoho CRM or install the provider's Zoho extension
- Map incoming numbers to leads and contacts and set a rule for unknown numbers
- Create and submit message templates for approval
- Build workflow rules that send templates at the right moments
- Test with internal numbers, then train the team
Template examples that usually get approved
| Purpose | Category | Example wording |
|---|---|---|
| New enquiry | Utility | Hi {{1}}, thanks for your enquiry about {{2}}. {{3}} from our team will call you today. |
| Appointment reminder | Utility | Reminder: your appointment with {{1}} is on {{2}} at {{3}}. Reply 1 to confirm. |
| Quote sent | Utility | Hi {{1}}, your quote {{2}} is ready. You can view it here: {{3}} |
| Payment reminder | Utility | Hi {{1}}, invoice {{2}} for {{3}} is due on {{4}}. Pay here: {{5}} |
| Offer | Marketing | Hi {{1}}, our {{2}} offer ends on {{3}}. Reply YES for details. |
Meta classifies templates as marketing, utility or authentication, and each category is charged differently. Keep utility templates factual; promotional wording is usually reclassified as marketing.

Frequently asked questions
Can I use my normal WhatsApp number with Zoho CRM?
The number must be moved to the WhatsApp Business Platform, which means it can no longer be used in the regular WhatsApp app on a phone.
Do I need a provider like Interakt or Gupshup?
Not always. Zoho CRM can connect directly for one-to-one chats. A provider helps if you need broadcasts, chatbots or a shared inbox.
How much does WhatsApp integration with Zoho CRM cost?
Flowpeak's setup starts from ₹30,000 or USD 320. Meta's messaging charges and any provider subscription are extra.
What does Meta charge for WhatsApp messages?
Meta charges per conversation or message depending on category and country. Check Meta's current WhatsApp Business pricing page, as rates change.
Can several salespeople use one WhatsApp number?
Yes. With the Business Platform, chats can be shared and assigned in Zoho CRM or the provider's inbox.
Can incoming WhatsApp messages create leads?
Yes. Unknown numbers can create a new lead automatically and be assigned to an owner.
Do I need a separate number for WhatsApp Business Platform?
The number must not be active on the regular WhatsApp app. Many businesses use a new number or move an existing one.
Can WhatsApp messages be sent from Zoho CRM workflows?
Yes, using approved templates.
Is WhatsApp integration GDPR compliant?
It can be, if you collect consent, keep data minimal and use providers that offer suitable data processing terms. Get legal advice for your case.
How long does setup take?
Usually one to two weeks, most of it waiting for Meta verification and template approval.
