Zoho Desk and Zoho CRM Integration: Setup, Sync and Pitfalls

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Zoho Desk and Zoho CRM connect through a built-in integration. Contacts, Accounts and Products sync one way (CRM to Desk) or both ways, and tickets appear in a Zoho Desk related list on CRM records. Agents see deals, notes and activities beside each ticket. Custom modules and leads are not part of the standard sync.

This guide is for businesses that run both Zoho CRM and Zoho Desk and want sales and support working from the same customer picture. Sales reps want to know about an open complaint before they call. Agents want to know a renewal is in play before they close a ticket. You will learn how the native integration works, the setup steps from either side, what syncs and what does not, how matching and deletion behave, and the mistakes we see most often when teams connect the two apps.

What does the Zoho Desk and CRM integration actually do?

The integration does two jobs. It keeps customer records aligned between the apps, and it shows each team the other team's work without switching tabs.

On the record side, Desk Contacts and Accounts sync with CRM Contacts and Accounts, and Desk Products sync with CRM Products. Custom fields on those three modules can be included.

On the visibility side, CRM users get a Zoho Desk related list on Accounts, Contacts and Deals, plus a statistics view with ticket totals, overdue tickets, response and resolution times and customer ratings. Desk agents see the customer's CRM deals, notes and activities in the same window as the ticket. Tickets themselves stay in Desk. They are linked to CRM records by the sender's email, not copied into a CRM module.

How do you set up the integration step by step?

You need Desk administrator rights and a CRM administrator. Zoho's Desk FAQ states the integration is supported in all paid Desk editions; check the CRM side for your edition on Zoho's help pages. Only one Desk portal can be linked to a CRM account.

  1. In Zoho CRM, go to Setup > Marketplace > Zoho, select Zoho Desk and start the setup. Desk admins can start from Desk under Setup > Marketplace > Zoho > Zoho CRM.
  2. Choose the Desk portal, or create one by entering a portal name.
  3. Choose sync direction: one-way (CRM to Desk) or two-way.
  4. Map CRM fields to Desk fields for Contacts, Accounts and Products, and pick a Desk department for Products.
  5. Decide the matching field. Email is the default for Contacts; you can add a secondary email.
  6. Set ticket visibility in CRM: all departments of the integrated user, or only the departments each user belongs to.
  7. Invite CRM users to Desk with a role (Agent, Light Agent or Admin) where they need to work tickets.
  8. Give the Zoho Desk Integration permission to the right CRM profiles, then review the sync statistics email Zoho sends after the first sync.

What syncs, and what does not?

Desk and CRM sync coverage (from Zoho help documentation)
ItemBehaviour
ContactsSync one-way or two-way; duplicates matched by email
AccountsSync one-way or two-way; duplicates matched by Account Name
ProductsSync one-way or two-way; duplicates matched by Product Name
Custom fieldsIncluded for Contacts, Accounts and Products
DealsNot synced as records; visible to agents and linkable to tickets from CRM
TicketsStay in Desk; shown in CRM through the Zoho Desk related list
LeadsNot part of the record sync; Handshake mode groups them with contacts when sorting tickets
Custom modulesCannot be selected in setup; Zoho support handles requests for Enterprise or Ultimate CRM

Two behaviours catch people out. First, once sync is active you can pause it but not simply switch it off and on again. Second, changing a field mapping only affects records created or modified after the change. Older records keep their previous values until someone edits them.

How do sales and support use it day to day?

For sales, the related list answers the question "is this customer unhappy right now?" before a renewal call. SalesSignals can notify reps about new tickets, replies, overdue or escalated tickets and new ratings on their customers.

For support, Handshake mode in Desk sorts tickets into Customers, Opportunities, Contacts and Leads, and New. That helps agents spot a prospect in an active deal and give the ticket a little more care.

One limit matters for licensing. CRM users without a Desk account can view tickets, priorities, due dates and assigned agents, and can comment, but cannot reply to or create tickets. Plan Desk seats for anyone in sales who needs to respond.

Are there market-specific points to plan for?

  • UK and EU: the integration copies personal data into a second app. Set the deletion preference so that deleting a contact in one app deletes it in the other, which makes erasure requests under UK GDPR and the EU GDPR easier to honour. You set this per module under Setup > Marketplace > Zoho > Zoho CRM > Preferences in Desk.
  • USA and Canada: if you sell to both, decide early whether one Desk portal serves both countries or you separate them by department, because only one portal links to a CRM account.
  • UAE and the Gulf: Arabic-speaking and English-speaking teams often sit in different Desk departments. Use the department-based ticket visibility setting so CRM users only see relevant tickets.
  • India: under the Digital Personal Data Protection Act, 2023, keep a clear record of which apps hold customer data. This integration adds Desk to that list.

What are the common mistakes?

  • Connecting before deduplicating. Duplicate contacts in CRM become duplicate contacts in Desk.
  • Using personal emails as the only match key when customers write in from several addresses. Add the secondary email match.
  • Setting up the integration under an admin who later leaves. Zoho requires you to reconfigure it with new credentials.
  • Switching the Desk portal after go-live, which removes ticket associations on CRM Leads, Contacts and Accounts.
  • Expecting custom CRM modules or leads to flow into Desk without extra work.
  • Never checking Sync History and the Failure Log, where failed records wait for a retry.

If you need data beyond the standard sync, such as a custom module or ticket metrics written back to CRM fields, that usually means Deluge functions or Zoho Flow. Flowpeak scopes those builds in writing after a free scoping call. Most Zoho CRM projects go live within two weeks, and integration work like this adds time, so we plan it as a separate phase.

Frequently asked questions

Is the Zoho Desk and CRM integration free?

There is no separate connector to buy. Zoho states the integration is supported in all paid Desk editions. You do need the right licences on both sides, including Desk seats for any CRM users who must reply to tickets. Check the official Zoho pricing page for your region.

Should I choose one-way or two-way sync?

Choose one-way when CRM is the master record and you do not want agents changing customer data. Choose two-way when agents regularly correct phone numbers, addresses or account details. You can move from one-way to two-way later in Sync Settings, so starting with one-way is a low-risk option.

Why are some tickets missing from the CRM related list?

Tickets appear only when the sender's email matches a CRM Contact or Account email. If a customer writes from a different address, the ticket will not show. Zoho suggests using the refresh button next to Zoho Desk on the CRM record when the email matches but the ticket still does not appear.

Can I see Zoho Desk tickets inside CRM reports?

Ticket statistics show on the CRM record, but tickets are not stored as a CRM module. For combined reporting across tickets, deals and revenue, most teams use Zoho Analytics, which can pull data from both apps into one dashboard for management.

What happens if I deactivate the integration?

Syncing stops, CRM data no longer appears in Desk, Handshake mode cannot be used to answer tickets, and the Desk tab is removed from CRM. Before deactivating, decide which app holds the master customer record and check both apps for records you still need.
