Zoho CRM for Mortgage Brokers: Pipeline, Documents and Renewals
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho CRM works well for mortgage brokers who want one place for leads, applications, lender submissions, approvals, funding and renewals. You model each file as a Deal with stages, collect documents through Zoho Forms and WorkDrive, and schedule renewal reminders with workflow rules. Lender submission platforms stay separate and connect through APIs or exports.

This guide is for owners and operations leads at mortgage brokerages in Canada and the UK, with a short note for US firms. Most brokerages we speak to run deals across a submission platform, email, spreadsheets and a shared drive, and renewals slip through the gaps. You will see how to map the real mortgage file lifecycle into Zoho CRM, how to chase documents without email threads, how to make sure no renewal is missed, and what to check on compliance and integrations before you build. Regulatory points are summarised with care; confirm them with your compliance adviser.
What should a mortgage pipeline look like in Zoho CRM?
Start with Leads for unqualified enquiries, then convert to a Contact and a Deal once a borrower is ready to apply. Each Deal is one mortgage file, so a client who refinances later gets a new Deal on the same Contact and their history stays together.
Keep stages tied to events you can verify, not feelings. A stage should change because a document arrived or a lender replied.
| Stage | What moves the file forward | Useful fields |
|---|---|---|
| Enquiry | Qualifying call booked | Source, purchase or refinance, target date |
| Application | Signed application and consent received | Income type, deposit, credit consent date |
| Documents | Required documents checklist complete | Document status picklist per item |
| Lender submission | File sent to chosen lender | Lender, product, rate type, submission date |
| Approval | Commitment or offer issued | Conditions outstanding, expiry date |
| Funding or completion | Funds advanced | Funding date, amount, term, maturity date |
| Renewal watch | Maturity date approaching | Renewal owner, reminder dates |
If you want stages enforced, Blueprint can make each transition require fields, notes or attachments before a broker can move the file. Blueprint depth varies by edition, so check the Zoho CRM edition comparison before you design around it.
How do you collect borrower documents without chasing email?
Document chasing is where most broker time goes. A simple pattern works well:
- Build a Zoho Forms intake form with file upload fields for ID, pay slips, bank statements and gift letters, and map it to the Contact and Deal through the Zoho CRM integration.
- Store uploads in a WorkDrive team folder per file, so access follows team permissions rather than personal inboxes.
- Add a multi-select or checklist of required documents on the Deal, and a workflow rule that emails the borrower a reminder while items are still missing.
- Send disclosures or engagement letters through Zoho Sign from the Deal, and keep the signed copy attached.
- Use Cadences or scheduled workflow actions so reminders stop as soon as the document status changes.
Lender-specific forms usually still get signed inside the lender or submission platform. Zoho Sign is for your own brokerage paperwork.
How do you make sure no renewal is missed?
Renewals are the cheapest business a broker can win, and the easiest to lose to the lender's own retention team. Capture the maturity date on the Deal at funding, then add date-based workflow rules that create tasks and send emails at fixed points before maturity, for example 180, 120 and 90 days.
Give each renewal an owner field so the task lands with a person, not a shared queue. A simple report of Deals by maturity month lets the principal see next quarter's renewal book at a glance. For UK clients, track the end of the initial fixed or tracker period rather than the full term, since that is when product transfers and remortgages happen.
What compliance points should brokers in Canada, the UK and the US plan for?
Zoho CRM is a tool, not a compliance programme, and Zoho does not certify that any brokerage is compliant. What it can do is hold the evidence your programme needs. These are the points we see brokers plan for; confirm the detail with your regulator or compliance adviser.
- Canada: FINTRAC states that since 11 October 2024 mortgage administrators, brokers and lenders are reporting entities under the Proceeds of Crime (Money Laundering) and Terrorist Financing Act, with know-your-client, record keeping and compliance programme duties. Ontario brokerages are licensed by FSRA under the Mortgage Brokerages, Lenders and Administrators Act, 2006. Other provinces have their own regulators.
- Canada privacy: PIPEDA and, for Quebec clients, Law 25 apply to personal information. Zoho runs a Canadian data centre region (Toronto and Montreal), chosen at sign-up.
- UK: mortgage advice is regulated by the FCA, and the Consumer Duty expects firms to evidence good customer outcomes. UK GDPR covers consent and data handling. Zoho has no separate UK region; UK accounts usually sit in the EU region.
- US: brokers and loan originators work under state licensing and NMLS registration. Treat Zoho CRM as the sales and service record, not the loan origination system.
Inside Zoho CRM, the GDPR Compliance settings under Setup > Security Control > Compliance Settings let you record a data processing basis and send consent forms. The audit log under Setup > Data Administration keeps roughly 60 days of user actions, so export it on a schedule if your record keeping needs a longer trail.
Which integrations are realistic for a brokerage?
Be careful with anyone who promises a ready-made, two-way sync with every lender platform. Here is what we have verified:
- Finmo (Canada) publishes resthooks and a REST API, and works with Zapier. Events such as a borrower submitting a deal can be sent to Zoho CRM through Zoho Flow, a webhook or a Deluge function.
- Filogix Expert, Velocity and UK sourcing tools: we have not found a published Zoho CRM connector. Ask each vendor whether an API or export exists before you scope anything.
- Native Zoho apps: Zoho Forms, Zoho Sign, WorkDrive, Zoho Bookings for appointment booking and Zoho Campaigns for renewal and referral emails connect without custom code.
- Telephony: many phone systems have Zoho CRM extensions in the Zoho Marketplace, so calls log against the Contact.
Most brokerages need the CRM set up properly before any integration is worth building. If you are in Canada and want help scoping that, our page for a Zoho partner for Canadian businesses explains how we work remotely across Canadian time zones.
What mistakes should you avoid before you start?
- Copying every field from the submission platform into Zoho CRM. Keep only what drives follow-up, reporting and renewals.
- Using one Deal for the whole client relationship. Use one Deal per mortgage so renewals and refinances report correctly.
- Leaving maturity dates blank on funded files. Without them, renewal automation has nothing to run on.
- Storing ID documents as email attachments in the CRM. Use WorkDrive folders with controlled access instead.
- Skipping roles and profiles. Brokers, assistants and admin staff rarely need the same access to sensitive files.

Frequently asked questions
Can Zoho CRM replace Filogix or Finmo?
No. Submission platforms handle lender submissions, credit pulls and lender-specific forms. Zoho CRM sits beside them as the client, pipeline and renewal record. Where the platform offers an API or webhooks, key events can be pushed into Zoho CRM so brokers do not type the same data twice.
Is Zoho CRM compliant with FCA or FINTRAC rules?
No software makes a brokerage compliant on its own. Zoho CRM can store consent records, notes, documents and an audit log that support your compliance programme, but your policies, risk assessment and training remain your responsibility. Confirm what evidence you must keep with your compliance adviser.
Where is Zoho CRM data stored for Canadian brokers?
Zoho runs a Canadian data centre region with sites in Toronto and Montreal. The region is set by the country chosen at sign-up, so Canadian brokerages should select Canada when creating the account if local hosting matters to them or their lenders.
How long does a mortgage CRM setup take with Flowpeak?
Most Zoho CRM projects go live within two weeks. A brokerage that also wants Blueprint-controlled stages, automated document chasing or a Finmo integration should expect extra time, which we confirm in writing after scoping the work with you.
