Zoho CRM for Financial Advisors: Reviews, Fact-Finds and Records
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho CRM suits advice firms that want a flexible client record, scheduled review cycles, fact-finds through Zoho Forms, consent tracking and an audit log at a lower setup effort than custom software. It does not hold plan valuations or provider feeds, so firms that need those keep a specialist adviser platform alongside it.

This post is for practice managers and principals at UK independent financial advice firms, and for advisers in Canada and the US who are weighing up a general CRM against a specialist adviser system. You will learn how to model households and reviews in Zoho CRM, run a digital fact-find, record consent and meeting notes, and keep a trail that supports your compliance work. We also cover where specialist adviser platforms are the stronger choice. Regulatory points are summarised carefully and are not legal advice.
How do you model clients and households in Zoho CRM?
Advice is usually given to a household, not a single person. A layout that works for most firms:
- Accounts as households, with each person as a Contact linked to it.
- A custom module for Plans or Holdings that stores product type, provider, reference and adviser, linked to the Contact. Valuations stay in your platform or back office.
- A Reviews module, one record per annual or periodic review, with status, date due, date held and outcome.
- Fields for vulnerability flags and preferred communication method, with access limited by profile.
Keep the custom modules small. The aim is a clear relationship and service record, not a copy of your back office.
How do you run client review cycles?
Ongoing advice fees depend on reviews actually happening, and both clients and regulators expect them to. Set the cycle up once and let Zoho CRM drive it:
- Add a Next Review Date field on the Contact or household, set when each review is closed.
- Create a date-based workflow rule that creates a Review record and a task for the adviser 60 days before the due date.
- Send the client a Zoho Bookings link so they pick a meeting slot, which logs against the Contact.
- Trigger an updated fact-find form 30 days before the meeting.
- Use a Blueprint on the Review module so it cannot be closed without notes, a suitability outcome and the next review date.
- Report on overdue reviews by adviser every week.
Blueprint and some automation limits depend on your Zoho CRM edition, so check the edition comparison before you design the process.
Can Zoho Forms handle a fact-find?
Yes, for most firms. Zoho Forms supports multi-page forms, conditional logic, file uploads and a direct Zoho CRM integration that creates or updates Contacts and custom module records. Split the fact-find into sections such as personal details, income and expenditure, assets and liabilities, objectives and attitude to risk.
Two cautions. First, a risk profiling tool with a validated questionnaire is usually better kept in a specialist product, with only the result stored in Zoho CRM. Second, fact-finds hold sensitive data, so restrict who can see the form entries in Zoho Forms as well as in the CRM.
What do UK, Canadian and US advisers need to plan for on records, consent and notes?
No CRM makes a firm compliant. These are points to raise with your compliance team, stated as we have verified them:
| Market | Context to check | Zoho CRM support |
|---|---|---|
| UK | FCA Consumer Duty: four outcomes on products, price and value, understanding and support, with closed products in scope since 31 July 2024 | Review records, notes, outcome fields and reports |
| UK and EU | UK GDPR: lawful basis and consent records | GDPR Compliance settings, data processing basis, consent forms |
| Canada | PIPEDA, plus Quebec Law 25 for Quebec residents; provincial and self-regulatory rules for advisers | Consent fields, Canadian data centre region |
| US | SEC Rule 204-2 for registered advisers: keep written communications about advice, generally for at least five years | Email logging, attachments, audit log exports |
The GDPR settings sit under Setup > Security Control > Compliance Settings. The Zoho CRM audit log records user actions such as edits, deletes, exports and permission changes, but it keeps about 60 days, so schedule an export if you need a longer trail. Zoho holds ISO 27001 and SOC 2 Type 2 reports among others, which helps your supplier due diligence but does not cover your own obligations.
Meeting notes are the part of the file most likely to be reviewed later, so make them consistent. Use a note template or required fields on the Review record: who attended, what was discussed, any changes in circumstances, vulnerability considerations and agreed actions. Attach the suitability report or annual review letter to the same record.
Log client emails against the Contact through the Zoho CRM email integration, so communication sits with the file. If you use Zoho Meeting or another video tool, note in the record where any recording is stored. For firms in the UK looking for setup help with this, our page for a Zoho partner for UK businesses covers how we work with UK teams remotely.
When is a specialist adviser CRM the better choice?
Be honest about the trade-off. Specialist platforms such as Intelliflo Office are built for advice firms, with fact-find, cashflow modelling, product research, data feeds, income management and client portals in one place. If your firm relies on provider valuations, fee and commission reconciliation, or platform data feeds, a specialist system is stronger and Zoho CRM is not a replacement.
Zoho CRM is the better fit when you want flexible workflows, marketing through Zoho Campaigns, a smaller firm without heavy back office needs, or a CRM layer for business development that sits beside your adviser platform.
What mistakes should advice firms avoid?
- Recreating the back office inside Zoho CRM instead of linking to it.
- Giving all staff the same profile, so paraplanners and administrators see data they do not need.
- Relying on the audit log for long-term record keeping without exporting it.
- Running reviews from adviser calendars instead of Review records, which leaves no report of overdue reviews.

Frequently asked questions
Is Zoho CRM suitable for a small IFA firm?
Often, yes. A firm with a few advisers can run households, review cycles, fact-finds and marketing in Zoho CRM with Zoho Forms and Zoho Bookings. If you depend on provider valuations or commission reconciliation, keep a specialist back office and use Zoho CRM for relationship and business development work.
Does Zoho CRM meet FCA Consumer Duty requirements?
Consumer Duty applies to your firm, not to software. Zoho CRM can hold review outcomes, notes, communication records and reports that help you evidence customer outcomes, but deciding what to monitor and how to act on it is a decision for your firm and its compliance adviser.
Can Zoho CRM integrate with Intelliflo Office?
We have not found a published Zoho connector for Intelliflo Office. Integration depends on what APIs Intelliflo makes available to your firm, so check that with them first. Many firms simply keep the two systems separate and store the platform reference on the Zoho CRM record.
How long does the audit log in Zoho CRM keep records?
Zoho's help pages say the audit log shows actions from roughly the last 60 days, after which entries are deleted. You can export the log as a CSV file, so firms that need a longer trail should schedule regular exports and store them securely.
