Zoho CRM GDPR setup checklist for EU and UK businesses
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
To set up Zoho CRM for GDPR, choose the EU data region, record the lawful basis and consent on each contact, limit access with roles and profiles, set retention and deletion rules, prepare a process for access and erasure requests, and list every connected tool as a processor. Zoho provides the tools; your policies decide how they are used.

GDPR does not ban CRMs. It asks you to know what personal data you hold, why, who can see it and how long you keep it. Zoho CRM has features for each of these. This checklist is what we configure on EU and UK projects. It is not legal advice.
The checklist
| Step | What to do in Zoho |
|---|---|
| 1. Data region | Create the account in the EU region (Amsterdam and Dublin data centres) |
| 2. Lawful basis | Enable GDPR settings and record the basis for processing on contacts and leads |
| 3. Consent | Capture consent on web forms with date and source; double opt-in for marketing |
| 4. Minimise | Remove fields you do not need; avoid special-category data unless essential |
| 5. Access | Roles, profiles and field-level security so staff see only what they need |
| 6. Retention | Workflows or reports to review and delete inactive records after your set period |
| 7. Requests | A documented way to export or erase a person's data on request |
| 8. Processors | List every integration (email, telephony, WhatsApp, payments) and check its DPA and data location |
| 9. Audit | Keep the audit log on and review admin access regularly |
| 10. Marketing | Unsubscribe links, suppression lists and consent checks before every campaign |
Common mistakes
- Importing old lists without a record of consent
- Giving every user admin rights
- Connecting tools that store data outside the EU without checking
- Keeping leads forever "just in case"
- No owner for data subject requests
