Canadian businesses handling personal information must follow PIPEDA, and Quebec businesses must also meet Law 25. Zoho provides the tools; the setup and your processes decide whether you meet the rules.
Where your data lives
Zoho operates a Canada data centre (zohocloud.ca). The data centre is chosen when the account is created and is hard to change later, so decide before set-up.
Consent and purpose
Record consent and the purpose of collection on contact records, keep marketing consent separate, and make unsubscribing simple.
Access controls and audit
- Role-based access so staff see only what they need
- Two-factor authentication for all users
- Audit logs for access and changes
- Field-level security for sensitive fields
Retention and individual requests
Set retention periods, and be ready to export or delete a person's data on request. Zoho supports export and deletion; your process decides who handles requests and how fast.
Quebec Law 25 extras
- A designated person in charge of personal information
- Privacy impact assessments for certain projects and transfers outside Quebec
- Clear, plain-language privacy notices
What we do and do not do
We configure Zoho with these requirements in mind and document the setup. We are not lawyers; confirm your obligations with your privacy adviser.
