How to set up a Blueprint in Zoho CRM (with a worked example)
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
A Zoho CRM Blueprint turns a sales or service process into enforced steps: each stage has a transition button, and users must fill in the right fields, notes or approvals before the record moves on. Design it on paper first, then build it under Setup, Process Management, Blueprint.

A Blueprint in Zoho CRM turns a process that lives in people's heads into steps the CRM enforces. Instead of hoping a salesperson fills in the budget before sending a quote, the Blueprint simply does not let them move forward without it. This guide shows how to design one properly before you start clicking.
What a Blueprint is made of
- States: the stages a record moves through, usually based on a picklist such as Deal Stage or Lead Status
- Transitions: the buttons that move a record from one state to the next
- Before: who can see the transition and under what conditions
- During: fields, notes, attachments or checklists the user must complete
- After: actions that run once the transition is done, such as emails, field updates, tasks or Deluge functions
Design on paper first
Draw the process as boxes and arrows with the people who actually do the work. For each arrow, write down who is allowed to take that step, what information must be captured, and what should happen next. Most Blueprint problems come from skipping this step and building straight in the editor.
The worked example as a transition table
| Transition | Who can do it | Required during | Runs after |
|---|---|---|---|
| Qualification → Needs Analysis | Deal owner | Budget range, decision date | Task: book discovery call |
| Needs Analysis → Proposal | Deal owner | Requirement document attached | Email template to customer |
| Proposal → Negotiation | Deal owner | Proposal amount, discount % | Approval if discount > 10% |
| Negotiation → Closed Won | Deal owner, sales manager | PO number, signed quote | Sales order in Zoho Books; task for delivery team |
| Any → Closed Lost | Deal owner | Loss reason, competitor | Notify sales manager |
Worked example: a B2B deal process
- Qualification to Needs Analysis: salesperson must enter budget range and decision date
- Needs Analysis to Proposal: requires an uploaded requirement document
- Proposal to Negotiation: discount above 10% triggers a manager approval
- Negotiation to Closed Won: requires PO number; after the transition, a sales order is created in Zoho Books and the delivery team gets a task
- Any state to Closed Lost: a loss reason picklist is mandatory
Build it in Zoho CRM
Go to Setup, Process Management, Blueprint. Choose the module, layout and the field that defines states. Drag the states onto the canvas, connect them with transitions, then configure Before, During and After for each transition. Publish only after testing with a test user who has the same role as your sales team.
Common mistakes
- Too many mandatory fields, which makes users avoid the CRM
- No path back for records that move forward by mistake
- Forgetting that a Blueprint locks the stage field, so imports and other workflows may fail
- Building one Blueprint for every product line instead of separate layouts
- Not explaining the new process to the team before switching it on
When to ask for help
Simple Blueprints can be built in an afternoon. Processes with approvals, parallel transitions, Deluge functions or links to Zoho Books and Zoho Projects are where a Zoho partner saves time. Flowpeak builds Blueprints as part of Zoho CRM implementation and workflow automation projects.
Blueprint vs workflow rules vs approval processes
| Tool | Use it when | Example |
|---|---|---|
| Blueprint | Users must follow an order of steps and capture data at each | Deal stages, onboarding, claims |
| Workflow rule | Something should happen automatically when a condition is met | Send email when a lead score passes 50 |
| Approval process | A record needs a yes/no from someone before it is saved | Discount above 15% needs approval |
| CommandCenter | A journey spans several modules or apps | Lead to deal to project handover |
Testing checklist before you publish
- Log in as a user with the sales role, not as an admin
- Move a test record through every transition, including the backward ones
- Check each mandatory field blocks the move when empty
- Confirm emails, tasks and functions fire once, not twice
- Check reports still show stage history correctly
- Ask two real users to try it for a day before switching it on for everyone
Tips that improve adoption
- Keep each transition to three or four required inputs
- Use checklists for steps people forget, not for every step
- Write the transition button names as actions: "Send proposal", "Mark won"
- Show managers a stage-duration report so the Blueprint has a visible payoff
- Review the Blueprint after 30 days and remove friction nobody needs

Frequently asked questions
Which Zoho CRM editions include Blueprint?
Blueprint is available in the higher Zoho CRM editions. Check Zoho's current edition comparison, as features change over time.
Can a Blueprint trigger a Deluge function?
Yes. The After section of a transition can run a custom function, for example to create a record in another Zoho app.
Can I import records while a Blueprint is active?
Imports can be affected because the state field is controlled by the Blueprint. Plan imports carefully or set the state during import.
Can one module have more than one Blueprint?
Yes, one per layout, or with criteria that decide which records enter which Blueprint.
Can users skip a Blueprint step?
Only if you add a transition that allows it. Admins can also move records manually where permitted.
Does Blueprint work on mobile?
Yes. Transitions can be completed from the Zoho CRM mobile app.
What is the difference between a Blueprint and CommandCenter?
Blueprint controls the process inside one module. CommandCenter designs journeys across modules and channels.
Can a Blueprint send a WhatsApp message?
Yes, through an After action that calls a WhatsApp integration or a Deluge function.
How long does it take to build a Blueprint?
A simple one takes a few hours. Processes with approvals, functions and links to other apps take a few days including testing.
Can you build Blueprints for us?
Yes. Flowpeak builds Blueprints as part of Zoho CRM implementation and automation projects, at a fixed price for a written scope.
