Zoho CRM Cadences: How to Build Sales Sequences That Stop on Reply

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Zoho CRM cadences are timed follow-up sequences of emails, calls, tasks and WhatsApp messages that run per record. You build them in Setup > Automation > Cadences, enroll records manually or from a custom view, branch each step on what happened before (opened, replied, completed), and set rules that un-enroll a record when it replies or changes status.

This guide is for sales managers and CRM admins who want follow-up to happen on time without reps keeping it in their heads. Our short answer on setting up cadences covers the basics. Here we go further: how branching works step by step, which triggers each follow-up type supports, how timing is counted, the edition limits, the traps that stop replies being tracked, and a five-step B2B sequence you can adapt. Details follow Zoho's own help pages and edition comparison as of November 2026, and Zoho does change features, so check before you build.

What are Zoho CRM cadences and when should you use them?

A cadence is a planned series of follow-ups that runs for each record you enroll. Each follow-up can be an email, a task, a call or a WhatsApp message, and each step after the first can depend on what happened to the step before. That makes cadences the right tool for prospecting, re-engaging cold leads, quote chasing and onboarding check-ins.

Cadences are module-specific. Zoho says you can target user-based modules including Leads, Contacts, Accounts, Deals and Quotes, plus custom modules. If you only need the basic setup steps, read our answer on setting up Zoho CRM cadences for email and WhatsApp follow-ups. This post covers design and limits.

Use a cadence when the sequence is the same for many records and should stop when the person responds. Use a workflow rule for a single action on a trigger, and a Blueprint when a process must move through enforced stages.

Which editions include cadences and what are the limits?

Zoho's comparison page lists cadences on Standard and above, not on the Free edition. The limits rise with each edition. The table shows what Zoho's help page and comparison page listed in November 2026.

Zoho CRM cadence limits by edition (per Zoho's help and comparison pages, November 2026)

Standard201018
Professional402040

Zoho's help also says you can enroll up to 10,000 records in a cadence in one action, manually or through a custom view. Users need the Cadences Enrollment and Manage Automation permissions in their profile. Check Zoho's comparison page for your current edition before you plan, because these limits change.

How do you build a cadence step by step?

Plan the sequence on paper first: who enters, what each touch says, and what should stop it. Then build it in this order.

  1. Go to Setup > Automation > Cadences and click Create Cadence.
  2. Name it, pick the module and choose Who is this for: manually enrolled records or records in a custom view.
  3. For a custom view, choose whether new records entering the view are enrolled, and when.
  4. Add Follow-up 1: an email, task, call or WhatsApp message, sent immediately or after a set time.
  5. Add subsequent follow-ups and pick the action on the previous step that triggers each one.
  6. Set un-enrollment rules: record criteria, follow-up criteria or a date.
  7. Activate, enroll a few test records you own, and check the Cadences related list on each record.

Two rules from Zoho's help matter here. Follow-ups cannot be removed once a cadence is created, except the last one; to change the middle you clone the cadence and rebuild. And call follow-ups are not supported in the Deals module.

How does branching work in Zoho CRM cadences?

Each follow-up after the first is triggered by an outcome of the step before it. This is what makes a cadence feel personal: a prospect who opened but did not reply gets a different next step from one whose email bounced.

Triggers available for the next follow-up, by previous step type (per Zoho's cadences help page)
Previous stepOutcomes you can branch on
EmailOpened, Bounced, Replied, Clicked, Sent, Unsubscribed
TaskNot Started, Deferred, In Progress, Completed, Waiting for input
CallScheduled, Completed, Overdue, Cancelled
WhatsAppDelivered, Failed

Timing can be counted in minutes, hours, days or months of elapsed time, or in business days and business hours, which skip non-working time based on your Business Hours settings. Zoho notes that Replied as a trigger only works for organizations on its new email configuration. For WhatsApp steps, WhatsApp Business must be enabled under Business Messaging, and you need approved templates. Our WhatsApp and Zoho CRM setup guide covers that side.

What stops a cadence and how does re-enrollment work?

Zoho lets you un-enroll records automatically when they no longer match the custom view, when a follow-up meets a condition (for example a call result of invalid number), when the record meets criteria such as Lead Status set to Not Interested, or on a set date. If a record meets an un-enrollment rule and a follow-up trigger at the same moment, un-enrollment wins.

Zoho is rolling out re-enrollment in phases, so it may not be in your account yet. Where available, a stopped record can resume from its last step or restart, and a completed record can restart. Zoho's help gives a default limit of three restarts per cadence to prevent loops.

  • Always add a record criteria exit for your disqualified and won statuses.
  • Do not use a public mailbox such as Gmail as the sender. Zoho says replies are then not captured, so Replied branches never fire.
  • Editing a follow-up and republishing can stop and un-enroll records already scheduled on it. Make changes when few records are mid-sequence.
  • Custom views that use campaign name, multi-select picklist comparators, related-module criteria or a belongs to user filter cannot be used for enrollment.

What does a good B2B sales cadence look like?

Short and specific beats long and generic. Here is a five-step outbound pattern we often start from, built on the Leads module with Business Days timing. Adjust the gaps to your sales cycle.

  • Step 1, day 0: personal intro email from the lead owner's own domain address.
  • Step 2, 2 business days after Opened but not Replied: call task for the owner with the email context in the agenda.
  • Step 3, 3 business days after the call is Completed or Overdue: short email with one useful resource.
  • Step 4, if Bounced at any point: task to find a correct contact, then exit.
  • Step 5, 5 business days later: breakup email; exit rules set Lead Status to Cold if there is still no reply.

Use the cadence report's funnel view to see where people drop off, then rewrite that step first. If reps still skip calls, the cause is usually ownership, not tooling; our answer on why sales teams fail to follow up leads covers that.

Frequently asked questions

Can a Zoho CRM cadence send WhatsApp messages?

Yes, Zoho lists WhatsApp as a follow-up type, provided WhatsApp Business is enabled under Business Messaging and you use approved message templates. You can branch the next step on Delivered or Failed.

Why is my cadence not detecting replies?

Check two things. Zoho says the Replied trigger needs the new email configuration, and replies are not captured when a public domain address such as Gmail is the sender.

Can I edit a cadence after records are enrolled?

You can edit follow-ups, but you cannot remove one except the last, and republishing an edited step can stop records already scheduled on it. For bigger changes, clone the cadence within the same module and rebuild it.

Are cadences the same as Zoho CRM journeys?

No. Cadences are per-record follow-up sequences for sales activity. Journey Builder orchestrates wider customer journeys and, per Zoho's comparison page, starts on Professional with lower active limits.

Do cadences work in the Deals module?

Yes, but Zoho's help says call follow-ups are not supported for Deals. Use task follow-ups to prompt reps to call instead.
