How to Set Up Lead Scoring Rules in Zoho CRM: Step-by-Step for 2027
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
In Zoho CRM, go to Setup, Automation, Scoring Rules, pick a module and layout, then add or subtract points for field values and touch points such as emails, calls and surveys. Map the score fields onto the layout, run the rule on existing records, and use the scores in views, workflows and reports. Limits depend on your edition.

This how-to is for sales managers and Zoho CRM admins who want reps to call the right leads first. It covers scoring inside Zoho CRM itself, not in Zoho Marketing Automation, which has its own scoring model. You will learn which editions include scoring rules, how to plan a simple model, the exact setup steps, how touch-point scores work, where Zia Scores fit, and how to put scores to work in list views, assignment and workflows. Everything here is checked against Zoho's own help and edition pages.
Which Zoho CRM editions include scoring rules?
Zoho's edition comparison page currently lists scoring rules in every paid edition, with different limits. Standard allows one rule per layout and 10 criteria per rule, and Zoho notes it includes field-based and call-based scoring only. Professional allows one rule per layout with 20 criteria. Enterprise and Ultimate allow five rules per layout, with 30 and 50 criteria per rule. The Free edition does not include scoring rules.
Zia Scores, the AI-built scores, are listed for Professional and above, with a per-organization limit. Limits change, so confirm on Zoho's comparison page for your edition and data center before you design anything.
How should you plan a scoring model before you build it?
Decide what a sales-ready lead looks like before you open Setup. Most models mix two kinds of signal. Fit is who the lead is: industry, country, company size, job title, lead source. Engagement is what the lead does: replies to emails, attends calls, completes a survey. Add points for good signs and subtract points for poor ones, such as a personal email domain or an unsubscribed status.
Keep the first version small, with six to ten criteria, and agree a threshold with sales, for example 50 points means call today. The table below is an illustration only. Use your own won-deal history to set real values.
Write the model down in a shared document, with the reason for each criterion. When results drift, you will know what to change and why.
| Signal | Type | Points |
|---|---|---|
| Industry is a target industry | Fit (field rule) | +10 |
| Country is in your service area | Fit (field rule) | +5 |
| Lead Source is Referral or Demo Request | Fit (field rule) | +10 |
| Email domain is a free mail provider | Fit (field rule) | -5 |
| Email interaction tracked in CRM | Engagement (touch point) | +5 |
| Call completed with the lead | Engagement (touch point) | +10 |
| Email bounced or unsubscribed | Engagement or field | -10 |
How do you create a scoring rule step by step?
You need admin rights to manage scoring rules. The steps below follow Zoho's help and video guides; screen labels can vary slightly by edition.
- Go to Setup, then Automation, then Scoring Rules.
- Create a new rule and choose Manual as the rule type. Zia is the other option.
- Select the module and layout. Zoho lists Leads, Contacts, Accounts and Deals for scoring rules.
- Add field rules: set a criterion such as Industry is Manufacturing, choose add or subtract, and enter the points.
- Add touch-point rules for the channels you have connected. Zoho says Email, Calls and Survey appear only when those integrations are enabled.
- Save the rule, then map the score fields you want onto the record layout as read-only fields.
- Run the scoring rule on existing records. Zoho notes rules apply as records change, so older records need this step.
- Open ten known good and ten known poor leads and check that the scores make sense before you tell the team.
How do touch-point and email scores work?
Zoho CRM keeps two families of score per rule. Record action scores come from field rules: positive score, negative score and total score. Interaction scores come from touch points: positive touch-point score, negative touch-point score and total touch-point score. Zoho lets you map any of these six to the record as fields, and each one uses part of your numeric field limit.
Zoho's documentation notes that touch-point scores apply to Leads and Contacts only and stay empty on other modules. In a recent update Zoho merged Email and Email Insights into one Email channel, added time-based operators such as points for calls attended within a set window, and added a VoC Insights channel for signals like sentiment and competitor mentions. Some of these depend on your edition, data center and enabled features, so check what your Setup screen shows.
Where do Zia Scores fit alongside manual rules?
Zia Scores now sit in the same Scoring Rules area. Zoho describes five types: conversion, engagement, follow-up, health and field attribute. Engagement, follow-up and health scores do not need training data. Conversion and field attribute scores do, and Zoho says it needs at least 75 records for each ideal and non-ideal condition and at least 200 records to start scoring.
Zia shows a score out of 100 with a scorecard of positive and negative factors. Zoho notes Zia Scores do not apply automatically to records that already exist. A practical approach is to run a manual rule for the factors your team agrees on, and a Zia conversion score as a second opinion once you have enough history. If you also score in Zoho Marketing Automation, keep that score separate; our post on Marketing Automation journeys and lead scoring covers that side.
How do you use scores in views, assignment and workflows?
Once score fields are on the layout, Zoho says you can use them as criteria in module views, workflow rules, reports and layout rules. Create a custom view called Hot leads where Score is 50 or more, sorted by score, and make it each rep's default view.
For workflows, trigger a rule when Score is 50 or more that creates a call task, sends an internal alert, or updates a Lead Status field to Sales Ready. Zoho's score-field article does not mention assignment rules directly, so the safest pattern is a workflow that updates a field, such as a Priority field, and an assignment rule or round robin that uses that field. Test it with a few records first.
Score fields also work as criteria in reports. A simple monthly report of deals won by starting score band tells you whether the model predicts anything. If high-score leads do not convert better than low-score ones, change the points rather than adding more criteria.
Scoring only helps if someone acts on it. Our note on why sales teams fail to follow up leads covers the habits that make it stick.

Frequently asked questions
Can I score deals and accounts, not just leads?
Yes. Zoho lists Leads, Contacts, Accounts and Deals for scoring rules, but touch-point scores only apply to Leads and Contacts.
Do new scoring rules update my existing leads?
Not on their own. Scores update when records change, so run the rule on existing records after you save it.
Is Zia lead scoring available in Standard edition?
Zoho's comparison page lists Zia Scores for Professional and above. Standard includes manual scoring rules with field-based and call-based scoring only.
How many points should each criterion get?
There is no correct number. Start with a simple scale, compare scores against leads that actually became deals, and adjust every month or two.
Should we score in Zoho CRM or Zoho Marketing Automation?
Use CRM scoring for sales-side fit and activity your reps log. Use Marketing Automation scoring for marketing engagement, and keep the two scores clearly labeled.
