Zoho Marketing Automation Journeys and Lead Scoring: A 2027 Guide

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

In Zoho Marketing Automation, a journey starts with a trigger, then uses process components to branch and action components to send messages, wait, update scores and push data to Zoho CRM. Lead scoring adds points for email, field and website activity. Scores reach CRM when you map them to a number field in the CRM integration settings.

This guide is for marketing managers and sales leaders who use Zoho CRM and want Zoho Marketing Automation to warm up leads before sales calls them. You will learn which building blocks the journey builder offers, how to build three practical journeys (welcome, nurture and re-engagement), how to design a simple lead scoring model, and how scores and lead stages pass into Zoho CRM so reps can act on them. Component names follow Zoho's current help pages for Marketing Automation 2.0. Availability can vary by edition, so check Zoho's pricing page for your region.

What building blocks does the journey builder give you?

A journey has four parts: a trigger that lets contacts in, process components that route them, action components that do the work, and goals that define success. You create one from Journeys, then View Journeys, then Create, and you can start from a Zoho template or from scratch. Before launch, Review and Launch shows how many contacts qualify and your re-entry rules. If you are unsure whether you need a journey or a one-off campaign, read journeys vs campaigns in Zoho Marketing Automation.

Test every journey before launch. Create a small internal list, run your own email addresses through it, shorten the time delays while testing, and check that each branch sends the right email and updates the right field. Then restore the real delays, launch, and watch the Reports and Contacts tabs closely for the first week. Zoho lets you filter entered contacts, which makes it easy to spot people stuck at a step.

How do you build a welcome journey?

A welcome journey greets new sign-ups, sets expectations and learns what they care about. Keep it to three emails over about a week.

  1. Trigger: Form submission on your newsletter or demo form.
  2. Action: Send Email with a thank-you, what to expect and one useful resource.
  3. Action: Time Delay of two days.
  4. Process: Check Email Activity on the first email. Openers get a second email asking which topic interests them; non-openers get a resend with a new subject line.
  5. Action: Assign Tag based on the link they click, such as pricing or product guides.
  6. Action: Time Delay of three days, then Send Email with a short how-to or answers to common questions.
  7. Goal: contact clicks a booking link. Use Update Lead Stage to move them forward when they do.

How do you build a nurture journey?

A nurture journey educates leads who are interested but not ready to buy. Trigger it with Tag assigned or Added to segment, for example contacts tagged as interested in a product line who have not booked a call.

Send one helpful email every week or two. After each send, use Check Email Activity to branch: clickers get Update Lead Score with extra points and move to the next, more specific email, while non-openers wait longer before the next touch. Add a Wait Condition that holds contacts until they visit your pricing page, if you have website analytics set up. When that happens, use Create Task in Zoho CRM for the owner and Send Internal Notification so the rep calls while interest is fresh.

Use Multi-way Split on a field such as industry to send relevant examples. Up to six branches plus an Else path is plenty for most small teams.

How do you build a re-engagement journey?

A re-engagement journey tries to win back quiet contacts, then cleans your list if they stay quiet. Use a Criteria match or Cyclic trigger to pick up contacts with no opens or clicks in your chosen period.

Send a short email asking whether they still want to hear from you, with a clear button to stay subscribed. Wait a week. Contacts who click stay and get a tag. Contacts who do not respond get one final email. If there is still nothing, use Subscription Management to unsubscribe them or mark them as non-marketing, which Zoho says also exits them from the journey. Sending less to people who never open usually protects your sender reputation. Confirm with a lawyer how long you may keep and email inactive contacts in your markets.

How do you set up lead scoring?

Go to Contacts, then Lead Qualification. Zoho's help describes three scoring sources: email campaign activities, field information and website activities. Email options include Unique Open, Multiple Open, Unique Click, Unique Reply, Positive Reply, Opt-in, Unsubscribe and Negative Reply, each with its own toggle. Field scoring adds points when a profile field holds a value you choose, such as job title or country. Website scoring rewards actions such as downloading an e-book or reading a set blog post.

Zoho also tracks lead stages. The default five are Raw Leads, Marketing Ready, Marketing Engaged, Marketing Qualified and Sales Ready, and Zoho says Marketing Qualified contacts can be handed to sales.

Start with a simple model you can explain to sales. Give modest points for opens, more for clicks and replies, the most for high-intent page visits, and take points away for unsubscribes and negative replies. Agree a handover score with sales, then use a Lead score update trigger to move contacts to Sales Ready and alert the owner. Review the thresholds after a month of real data.

How do scores and stages pass into Zoho CRM?

Through the Zoho CRM integration in Marketing Automation settings. Each sync covers one module: Leads, Contacts or a custom module, and Zoho says the module cannot be changed after the sync starts, so choose carefully. Contacts can also bring Deals and Accounts.

In the integration settings you can push data back to CRM. Zoho's help says the contact score must be mapped to an existing custom number field, the contact stage to a custom text field, and opt-out status to Email opt-out or a custom checkbox field. Create those fields in Zoho CRM first. Campaign results also appear in the CRM Campaigns module and on each record.

Once the score is in CRM, use CRM workflow rules or assignment rules to act on it. If contacts are not entering your journeys, check the trigger and sync first with our guide to journeys that are not triggering. Frequently asked questions

Is lead scoring in Marketing Automation the same as Zoho CRM scoring rules?

No. Marketing Automation scores marketing activity such as email and website behavior, while Zoho CRM has its own scoring rules. Many teams push the marketing score into a CRM field and keep both visible to sales.

Can a contact go through the same journey twice?

Zoho lets you review and set re-entry criteria before you launch a journey. Decide this up front, because repeated welcome emails annoy people.

Can I edit a journey after it goes live?

Zoho says you can edit, pause or delete a live journey. Test changes on a copy or a small segment first so active contacts are not sent the wrong message.

Does Zoho create the CRM fields for score and stage automatically?

Zoho's help says the score and stage must be mapped to existing custom fields of the right type. Create a number field for score and a text field for stage in Zoho CRM before you map them.

How many journeys should a small business start with?

Start with a welcome journey and one nurture journey, run them for a month, then add re-engagement. Fewer journeys that are well tested beat many that overlap.
