Zoho Inventory Setup Guide for 2027: Step by Step

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

To set up Zoho Inventory, complete the organisation profile, base currency and taxes first, decide on locations and item tracking before creating items, import items and opening stock, then configure the sales and purchase flows. Connect Zoho Books, sales channels and shipping last, once test orders run cleanly from order to invoice.

This guide is for owners, operations managers and finance leads who are moving stock control out of spreadsheets or an older system and want Zoho Inventory working properly for 2027 planning. You will learn the order in which settings should be done, which early decisions are hard to reverse, how the sales and purchase cycles fit together, what to know about tax in the USA, Canada, the UK and EU, the Gulf and India, and the mistakes that cause most rework after go-live.

What should you decide before you open Zoho Inventory?

A few settings shape everything that follows, so decide them on paper first. The most important are your base currency, whether you will use multiple locations, and how you will track items.

Zoho's help pages state that once you enable Locations you cannot disable it. Serial-tracked and batch-tracked items can only be created after the matching tracking option is switched on. Marketplace and shopping cart integrations also expect your Zoho Inventory base currency to match the currency of the sales channel account, and taxes must be enabled before you connect a channel.

  • Base currency and the country edition you sign up in
  • Single location or several warehouses and business locations
  • Serial number tracking, batch tracking or neither for each product line
  • Whether you need Zoho Books for full accounting in the same organisation
  • Which channels, carriers and payment gateways must connect at go-live
  • Which plan you need: Zoho lists Free, Standard, Professional, Premium and Enterprise, with more features on higher plans. Check the official Zoho pricing page for your region.

How do you set up Zoho Inventory step by step?

Work through the setup in this order. Doing steps out of order is the most common reason imports have to be repeated.

  1. Complete the organisation profile, fiscal year, base currency and branding under Settings.
  2. Enable and configure taxes for your country edition before any transaction or integration.
  3. Enable Locations if you have more than one warehouse or branch, and set up each location and its users.
  4. Choose the item tracking method under Settings, Preferences, Items.
  5. Create or import items, item groups for variants and composite items for kits.
  6. Enter opening stock per location with a clear cut-off date.
  7. Import customers and vendors, then set payment terms, price lists and credit limits.
  8. Run a test purchase order, purchase receive and bill, then a test sales order, package, shipment and invoice.
  9. Connect Zoho Books, sales channels, shipping carriers and payment gateways.

How do the sales and purchase cycles work in Zoho Inventory?

On the sales side, a sales order is confirmed, goods are picked into a package, a shipment records dispatch and carrier details, and an invoice bills the customer. Payments are then recorded against the invoice. A sales order can also be marked for drop shipment so your vendor delivers straight to the customer.

On the purchase side, a purchase order goes to the vendor, a purchase receive records the goods arriving at your location, and a bill records what you owe. Reorder points help you see when an item needs restocking.

Zoho Inventory also lets you choose between physical and transactional (accounting) stock tracking. Pick one deliberately, because it decides whether stock moves when goods are packed and received or when invoices and bills are raised. If you want a partner to configure these flows with you, our Zoho Inventory implementation service covers settings, imports and testing.

How does Zoho Inventory connect to Zoho Books and your sales channels?

Zoho Inventory handles stock, orders and fulfilment. Zoho Books handles full accounting such as bank reconciliation and financial statements. Zoho's Books knowledge base states that the two can only be integrated if the organisation IDs are the same, so create Books and Inventory in the same organisation from the start rather than trying to join two later.

For selling online, Zoho's sales channel help lists Amazon, eBay and Etsy as marketplaces and Shopify and Zoho Commerce as shopping carts, with marketplace availability restricted by region and edition. Stock changes in Zoho Inventory update the connected channels, and unfulfilled channel orders arrive as sales orders. Items need matching SKUs on both sides before you connect.

Zoho's pricing page also lists a customer portal and, on higher plans, a vendor portal. Check the current plan comparison before promising either.

What are the tax and compliance notes by country?

Zoho Inventory is sold in country editions with different tax features, so confirm the edition before you sign up.

  • USA: the US edition has Sales Tax Automation under Settings, Taxes, which applies tax based on your registrations, customer address, item tax category and exemptions. Zoho also documents an Avalara AvaTax integration if you already use Avalara.
  • Canada: the Canada edition handles GST, HST and PST. Set up provincial taxes before importing customers so each contact gets the right default.
  • UK and EU: set up VAT rates first. If you also run Zoho Books, VAT returns and Making Tax Digital submissions are handled on the accounting side.
  • UAE and Gulf: the UAE edition supports VAT. Zoho's Saudi edition pages state that Zoho Inventory supports ZATCA e-invoicing, including QR codes on invoices.
  • India: the India edition supports GST, and Zoho states that as a registered GST Suvidha Provider it can push e-invoices to the Invoice Registration Portal to receive an IRN and QR code.

What mistakes should you avoid when setting up Zoho Inventory?

Most problems we are asked to fix come from a handful of early shortcuts.

  • Creating items before choosing serial or batch tracking, then having to rebuild them
  • Turning on Locations without agreeing which users can see which location
  • Importing items without consistent SKUs, which breaks channel matching
  • Entering opening stock on a date that does not match the cut-over from the old system
  • Connecting Shopify or Amazon before taxes and currency are final
  • Skipping a full test order from sales order to invoice before go-live

For 2027 planning, also allow time to train warehouse staff on packages, picklists and receives, because the system is only as accurate as the scanning and receiving habits on the floor.

Frequently asked questions

How long does a Zoho Inventory setup take?

It depends on the number of items, locations, channels and integrations, and on how clean your data is. A single-location business with a tidy item list moves faster than a multi-warehouse business with marketplace connections. We give a timeline in writing after a scoping call rather than a generic estimate.

Do I need Zoho Books as well as Zoho Inventory?

Zoho Inventory covers stock, orders, invoices and bills, but full accounting such as bank reconciliation and financial statements sits in Zoho Books. Many businesses use both. If you do, create them in the same organisation, because Zoho states the integration needs matching organisation IDs.

Can I change from batch tracking to serial tracking later?

Zoho's help pages say tracked items can only be created after the tracking option is enabled, so existing items do not convert automatically. Changing method later usually means creating new items and moving stock across. It is far cheaper to decide per product line before you import.

Which Zoho Inventory plan should I start on?

Match the plan to the features you need on day one, such as the number of locations, serial and batch tracking, bin locations or a vendor portal. These differ by plan and region, so check the official Zoho pricing page for your region before you subscribe.
