Zoho Inventory Multi-Warehouse and Transfer Orders Explained
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho Inventory manages several warehouses through Locations. You enable Locations once, create business and warehouse locations, give users access per location and track stock separately in each. Stock moves between them with transfer orders, which can require approval, sit In Transit while goods travel and add stock only when marked as received.

This guide is for operations and finance teams running more than one warehouse, store, branch or third-party logistics site who want a single view of stock in Zoho Inventory. You will learn how Locations work, why enabling them is a one-way decision, how to set up user access and bins, how transfer orders move stock step by step, how channels like Shopify and Amazon map to locations, and the tax points to check in the USA, Canada, the UK and EU, the Gulf and India.
How does Zoho Inventory handle multiple warehouses?
Zoho Inventory uses Locations to separate stock. Zoho's help pages describe two types. A Business Location acts like a head office or branch and can sit at the top of a hierarchy of up to five levels. A Warehouse Location is used specifically for stock tracking and can be linked to a business location, but it cannot have sub-locations of its own.
You enable the feature under Settings, Locations. When you do, your organisation becomes the head office or primary location. Zoho states that once Locations are enabled you cannot disable them, so design the structure before you click.
The number of locations you can create depends on your plan, with more on higher plans. Check the official Zoho pricing page for your region.
| Feature | Business location | Warehouse location |
|---|---|---|
| Purpose | Head office, branch or legal unit | Physical stock tracking |
| Can have child locations | Yes, up to five levels | No |
| User access | Granted through Roles and user settings | Granted through Roles and user settings |
| Typical example | UK branch, Dubai branch | Main warehouse, 3PL site, store backroom |
How do you set up locations, users and bins?
Zoho's location help also lists location-based warehouse tools such as picklists, move orders, putaways and stock counts. Bin locations appear on the top plans in the current pricing page, so confirm availability before you design a bin-level process.
- Sketch your structure: which legal entities or branches exist and which warehouses sit under each.
- Enable Locations under Settings, Locations, then create business locations first and warehouse locations under them.
- Set a transaction number series for each location if branches need their own prefixes.
- Grant location access in Roles and link each user to the locations they work in. By default only admins can create and access locations.
- Enter opening stock per location, not as one total.
- If your plan includes them, set up bin locations inside each warehouse for shelf-level tracking.
How do transfer orders work in Zoho Inventory?
A transfer order records stock moving from one warehouse to another. You need at least two warehouses to use it. The steps below follow Zoho's help documentation.
- Open Transfer Orders and click New.
- Enter the transfer order number, then choose the source and destination warehouses.
- Add items and quantities, in bulk or by scanning barcodes.
- For serial-tracked items select the serials being moved. For batch-tracked items enter the source batch, the destination batch reference and the quantity from each.
- Click Initiate Transfer to send the goods. The status becomes In Transit.
- When goods arrive, open the order, click Mark as Received and enter the receive date. Stock is then added at the destination.
- If you only need an instant move, Transfer and Receive completes it in one step.
Approvals can be switched on under Settings, Preferences, Approvals, so a manager reviews and clicks Approve and Initiate Transfer. Zoho notes that receipt is manual even when goods are delivered, and shipment tracking on transfers needs an AfterShip integration and a tracking number.
Getting the location design, approvals and receiving routine right is the core of our Zoho Inventory implementation for multi-warehouse businesses, because a transfer left In Transit understates stock at both ends.
How do sales channels and Amazon FBA map to locations?
For Shopify, Zoho's help gives two choices. In single warehouse mode all items are tracked under one selected warehouse. In multiple warehouse mode you map Zoho Inventory warehouses to Shopify Locations. Note that when stock is combined, Zoho sends the total available across warehouses to Shopify as one figure.
For Amazon sellers using Fulfilment by Amazon, Zoho Inventory can track FBA stock through a dedicated FBA location. On the UK help page Zoho advises mapping each FBA location to the corresponding Zoho Inventory location to keep stock accurate. Treat Amazon's warehouses like any other location you do not control: reconcile them regularly.
What tax points apply to stock transfers by country?
Moving your own goods is not always tax-neutral. Check these points with your tax adviser before you design transfers.
- USA: holding inventory in a state, including in a fulfilment centre, can create physical presence for sales tax. Review registrations whenever you add a warehouse state.
- Canada: sales tax depends on the province of delivery, so a new warehouse in another province can change which GST, HST or PST rates apply to your sales.
- UK and EU: goods moved between Great Britain and the EU cross a customs border, and moving your own stock to another EU country is usually a reportable transfer for VAT. Separate business locations help keep each country's records apart.
- UAE and Gulf: moving goods between the mainland and free zones or designated zones can have different VAT treatment. Confirm before treating it as a simple internal move.
- India: a transfer between branches with different GSTINs, typically in different states, is generally treated as a taxable supply needing a tax invoice, while movements within one GSTIN usually travel on a delivery challan. E-way bills apply above the prescribed value. Confirm the documents with your CA.
What mistakes should you plan for with multiple warehouses?
Most multi-warehouse problems trace back to a few early decisions.
- Enabling Locations before the structure is agreed, since it cannot be turned off
- Loading opening stock as one total instead of per location
- Leaving transfers In Transit because nobody owns receiving
- Giving every user access to every location
- Forgetting to map Shopify or FBA locations, so channel stock is wrong
- Ignoring the tax effect of a new warehouse state, province or country
Before go-live, run a full rehearsal: raise a transfer, approve it, ship it, receive it at the other site and check stock and valuation reports at both ends. Then repeat it with a serial-tracked and a batch-tracked item if you use them. One afternoon of testing saves weeks of stock corrections later.

Frequently asked questions
Can I turn off Locations in Zoho Inventory after enabling it?
No. Zoho's help states that Locations cannot be disabled once enabled. Before switching it on, agree which business and warehouse locations you need, who should access each one and how opening stock will be split, ideally after testing in a trial organisation.
Can a warehouse location have sub-locations?
Not as locations. Zoho describes warehouse locations as stock-tracking points that cannot have sub-locations, while business locations support a hierarchy of up to five levels. For shelves or zones inside a warehouse, use bin locations if your plan includes them.
Why does stock look low after I send a transfer?
When you initiate a transfer it moves to In Transit, and stock is only added at the destination when someone marks it as received. Zoho notes receipt is manual. Give each receiving site a daily check of open transfers so stock reports stay accurate.
Can users only see their own warehouse?
Yes, access can be limited. By default only admins can access locations, and admins grant permissions through Roles and link users to specific locations. Plan this alongside your approval rules so branch staff can receive transfers but not approve their own requests.
