Batch and Serial Tracking in Zoho Inventory: How It Works
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho Inventory tracks stock either by serial number, one unique code per unit, or by batch, a group of units sharing a reference with manufactured and expiry dates. You choose the method under Settings, Preferences, Items. Serials and batches are recorded when stock comes in and selected when it is sold, transferred or adjusted.

This guide is for operations, quality and warehouse leads in electronics, automotive parts, food, cosmetics, pharmaceuticals and other businesses that must know exactly which unit or lot went to which customer. You will learn the difference between serial and batch tracking in Zoho Inventory, how to switch them on, where serials and batches are captured, how expiry and recalls are handled, which plans include the features and what traceability rules to keep in mind in the USA, Canada, the UK and EU, the Gulf and India.
What is the difference between batch and serial tracking in Zoho Inventory?
Serial number tracking gives every single unit its own identifier. Zoho's help page describes it as a way to find out which unit was sold to whom, and gives the example of tracking a phone's IMEI across warranty and repair visits.
Batch tracking groups units that share properties, usually because they were made or received together. Zoho says it helps you track the expiration of items and trace defective items back to the batch they belonged to. Each batch carries a reference number and can hold a manufactured date and an expiry date.
| Question | Serial number tracking | Batch tracking |
|---|---|---|
| What is tracked | Each individual unit | A group of units with shared properties |
| Typical products | Phones, laptops, machinery, vehicle parts | Food, cosmetics, chemicals, medicines |
| Key data | Unique serial or IMEI per unit | Batch reference, manufactured date, expiry date |
| Main use | Warranty, repairs, theft and returns | Expiry control and recalls |
| Effort at receiving | Higher: one code per unit | Lower: one reference per lot |
How do you enable batch or serial tracking in Zoho Inventory?
Both options sit in the same place. The steps below follow Zoho's help documentation.
- Click the gear icon to open Settings.
- Go to Preferences, then Items.
- Under How do you want to track your items?, select Serial Number Tracking, Batch Tracking or both as your business needs.
- Click Save.
- Create or edit item records and mark the products that must be tracked.
Zoho notes that serial-tracked and batch-tracked items can only be created after the feature is enabled. If you already have hundreds of untracked items with stock on hand, plan the cut-over carefully, because you may need to create tracked versions and move stock to them through adjustments rather than flipping a switch.
Plan availability matters too. Zoho's help pages say these features are available only on selected plans, and the current pricing page lists serial and batch tracking from the Professional plan upward. Check the official Zoho pricing page for your region before you commit.
Where are serial numbers and batches recorded?
Tracking only works if codes are captured every time stock moves. In Zoho Inventory that happens at these points:
- Receiving: serial numbers and batches are stored when you record goods from a vendor. Zoho's help pages describe this on purchase bills, with manufactured and expiry dates entered for each batch.
- Selling: you choose the exact serial numbers or batches that go out on the sale, so the customer record shows which unit or lot they received.
- Transfers: on a transfer order you pick the serials being moved, or for batches you enter the source batch, the destination batch reference and the quantity taken from each.
- Adjustments: quantity adjustments add to or reduce stock in a specific batch or serial.
Each batch-tracked item has a Batch Details tab showing when every batch was created, which transaction created it, its initial and current quantity and the transactions linked to it. That view is what you open first during a customer complaint or recall.
How does Zoho Inventory handle expiry dates and recalls?
Because each batch carries an expiry date, staff can pick from batches that are well within their usage period when they make a sale. Zoho's help page does not describe an automatic first-expiry-first-out rule, so write your picking rule into your warehouse process and check it during stock counts.
For recalls, start from the batch. The Batch Details tab and the Batch Details and Batch Transaction Summary reports show which transactions used that batch, which leads you to the invoices and customers affected. Serial tracking works the same way for a single faulty unit.
Setting this up well means agreeing naming rules for batch references, deciding who enters dates at receiving and testing a mock recall before go-live. Our Zoho Inventory implementation work includes that design and a trial recall on your own data.
What traceability rules apply in your market?
Zoho Inventory gives you the records. Which records you must keep depends on your sector and country, so confirm the detail with your regulator or adviser.
- USA: the FDA Food Traceability Rule under FSMA requires extra lot-level records for foods on its Food Traceability List. Check the FDA site for the current compliance date.
- Canada: the Safe Food for Canadians Regulations require licence holders to trace food one step back and one step forward.
- UK and EU: food law requires businesses to identify who supplied them and who they supplied, which batch tracking supports directly.
- UAE and Gulf: electronics and appliance sellers often need serial records to honour warranties and handle returns, and food importers should check local municipality and authority rules on labelling and expiry.
- India: medicine and food distributors commonly print batch numbers and expiry dates on invoices, and phone sellers record IMEI numbers. Map these fields onto your invoice templates during setup.
What mistakes should you avoid with batch and serial tracking?
These are the issues that most often weaken traceability after go-live.
- Tracking every item by serial when batch tracking would do, which slows receiving
- Letting staff skip expiry dates at receiving, which makes expiry reports useless
- No naming rule for batch references, so two suppliers' lots look alike
- Converting existing items late instead of deciding before import
- Not scanning serials at dispatch, so the customer link is guessed afterwards
- Choosing a plan that does not include the tracking you need
Most of these come down to process rather than software. Decide the rules first, write them into a one-page receiving and dispatch procedure, then configure Zoho Inventory and train staff to follow them. A short weekly check of the batch reports during the first month catches gaps early.

Frequently asked questions
Can one item use both batch and serial tracking in Zoho Inventory?
The tracking choice sits in your item preferences, and the practical approach is to decide per product line, for example serials for devices and batches for consumables. Test the exact combination you want on your plan in a trial organisation before you import live items, because changing later means rework.
Does Zoho Inventory pick the earliest expiring batch automatically?
Zoho's batch tracking help explains that you can choose batches well within their usage period when selling, but it does not describe an automatic first-expiry rule. Treat batch selection as a warehouse procedure, and use batch reports to check that older stock is moving first.
Can I scan serial numbers with a barcode scanner?
Zoho Inventory supports barcode scanning in several transactions, such as adding items to transfer orders. Barcode generation is listed on higher plans. Test your scanner and labels with real serial formats during setup, because long IMEI and supplier codes often need label changes.
Which plan includes batch and serial tracking?
Zoho's help says the features are limited to certain plans, and the current pricing page lists them from the Professional plan upward. Availability can change and vary by region, so confirm on the official Zoho pricing page for your region before you subscribe.
