By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Bigin by Zoho CRM is Zoho's pipeline-first CRM for small teams. It tracks contacts, companies and deals in visual pipelines, with email, WhatsApp, phone, forms and simple automation built in. It suits teams that want to be productive in days. When you need territories, forecasting, quotes with price books or enforced processes, Zoho CRM is the next step.

This guide is for owners and sales leads at small businesses, usually under 20 people, who are choosing Bigin or have just signed up. You will see what Bigin is good at, what each edition includes and where the limits sit, using figures from Zoho's own Bigin pages. You will also get a setup sequence that works for most service, trade and B2B teams, a plain explanation of team pipelines and automation, and a checklist for deciding when Bigin is enough and when Zoho CRM is the better home for your data.

What is Bigin by Zoho CRM and who is it for?

Bigin is a separate product from Zoho CRM, built for small businesses that find a full CRM too much. Everything starts from a pipeline: you define the stages a customer goes through, then move each deal card across the board. Contacts, companies, products, activities and notes sit around that pipeline.

It fits teams with one or a few clear processes, such as enquiries to booked jobs, or demos to signed contracts. Zoho also uses pipelines for non-sales work, for example a service or onboarding pipeline. Zoho says Bigin is included for Zoho One users and that you can upgrade to Zoho CRM later with a one-click data migration.

Bigin is not the right choice if you already know you need many custom modules, complex approval flows or multi-team territory rules. In that case, starting on Zoho CRM saves a migration later.

A simple test: if you can draw your whole sales process on one sheet of paper and every person on the team would draw it the same way, Bigin will probably cover you for the next year or two. If each team draws it differently, or managers need reports by region and product line, look at Zoho CRM first.

Which Bigin edition fits your team?

Zoho offers four Bigin editions: Free, Express, Premier and Bigin 360. The main differences are record limits, how many team pipelines you get, how much automation you can run and which integrations are switched on. We have left licence prices out because they change by region; check Zoho's Bigin pricing page for your country.

Bigin 360Per-user licences1 million15 team pipelines100 advancedEmail-in aliases, File Cabinet, highest feature limits, more AI credits

Zoho counts a record as each row in Contacts, Companies, Pipelines, Activities, Products and Notes, so a busy team can reach the Free and Express limits faster than expected. Zoho also notes that some features and integrations are not available in every data centre, so confirm the ones you rely on before you buy.

How do you set up Bigin step by step?

Most small teams can be live in Bigin within a week if the process is agreed first. This is the order we follow.

  1. Write your stages on paper first. Five to seven stages that describe what the customer has done, not what your team hopes, work best.
  2. Sign up and pick the right data centre for your country, so you know where customer data will be stored before you add any.
  3. Create your team pipelines, such as Sales and Service, and add sub-pipelines where a process has different stages, for example domestic and international sales.
  4. Add only the custom fields you will report on. Express allows 10 custom fields per module and Premier 25, so plan them.
  5. Import contacts and companies from a cleaned CSV. Zoho supports one-click migration from Pipedrive, HubSpot, Insightly and Zoho CRM.
  6. Connect email (Gmail, Outlook or Zoho Mail), WhatsApp Business and your phone system so conversations land on the right record.
  7. Publish a Bigin web form on your website so new enquiries create records automatically.
  8. Set up a few automations, then add users with the right profiles and roles, and install the mobile apps.

After two weeks, review the pipeline with the team. Remove stages nobody uses, merge duplicate contacts and check that every open deal has a next activity. Small fixes at this point keep Bigin trusted, which is what makes people keep using it.

How do team pipelines, sub-pipelines and connected pipelines work?

A team pipeline is a separate board for one team or process, with its own stages and its own access. Zoho's help gives the example of a car dealer with Sales, Service, Test Rides and Refunds pipelines, where the service team only sees the Service pipeline.

Sub-pipelines sit inside a team pipeline when the same team runs variations of a process with different stages. Connected records move work between team pipelines, so a deal marked won in Sales can create a record in an Onboarding pipeline for the delivery team. That hand-off is often the most useful thing small businesses set up, because nothing falls between teams.

Keep the number of pipelines low at the start. Each new pipeline needs an owner who keeps its stages and data clean.

What can Bigin automate, and where are the limits?

Bigin automation covers instant actions, such as sending an email, creating a task or updating a field when a deal reaches a stage. Premier and Bigin 360 add scheduled actions based on dates, and stage transition rules that set checkpoints before a deal can move to the next stage. Automation counts are capped per edition, and add-ons are sold if you need more.

For extra features, Bigin has a marketplace of add-ons called toppings, from Zoho and third parties, and you can build your own. Integrations cover Zoho Books, Zoho Invoice, Zoho Sign, Zoho Forms, Zoho Desk, Zoho Campaigns, Google Workspace, Microsoft 365, Zapier and others, depending on edition. Zoho also lists Model Context Protocol (MCP) support for connecting Bigin data to AI tools.

The limits show up when you need structure across many people. Bigin does not try to match Zoho CRM on custom modules, territory management, sales forecasting or deep reporting. If you connect Bigin to other systems, our Zoho Flow recipes show common patterns.

When should you move from Bigin to Zoho CRM?

Move when the business needs something Bigin is not designed to do, not just because you have grown. These are the signals we look for.
