10 Zoho Flow Integration Recipes for 2027: Triggers, Conditions, Actions

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

The most useful Zoho Flow recipes connect a trigger in one app to an action in another, with a condition in between: web form entries become CRM leads, Stripe and PayPal payments reach Zoho Books, Shopify orders become Zoho Inventory sales orders, and key events post alerts to Slack or Cliq. Plan task usage, reruns and duplicate checks first.

This guide is for owners and operations managers who already use Zoho apps and want them to talk to the other tools they pay for. It gives ten Zoho Flow recipes you can copy, each written as trigger, condition and action, with a summary table. You will also learn how Zoho Flow counts tasks, what happens when a flow fails, how to avoid duplicate records, and when a Deluge script or a Zoho Creator app is a better fit than a flow. App and action names follow Zoho Flow's own app pages.

What makes a good Zoho Flow recipe?

A good recipe does one job, starts from a reliable trigger, checks a condition before it writes anything, and finds an existing record before it creates a new one. That last step is what keeps your CRM and books free of duplicates.

Zoho Flow says it connects more than 1,000 cloud and on-premise apps, and triggers can come from app events, webhooks, polling APIs, emails and RSS feeds. Between the trigger and the action you can add decision branches, delays and custom functions written in Deluge.

This post is about what to build, not which tool to buy. If you are still choosing a platform, read our comparison of Zoho Flow, Zapier and Make for Zoho apps first.

Which Zoho Flow recipes are worth building first?

Start with the recipes that remove daily copy and paste between sales, finance and fulfillment. The table lists ten that cover most small and mid-sized businesses. Trigger and action names are paraphrased from Zoho Flow's app pages, and the exact labels you see depend on the app and your connection.

Build and test one recipe at a time. Run each with real sample data before you switch it on, and write down who owns it.

Keep a simple register for every live flow: its name, purpose, trigger app, connected accounts, owner and the date it was last tested. When a staff member leaves or an app password changes, this register tells you which flows will break and who needs to reconnect them. It also helps when you review task usage, because you can see at a glance which recipes run most often and whether each one still earns its place.

How do the payment and order recipes avoid duplicates?

They search before they create. In a Stripe or PayPal recipe, the first action should fetch the customer in Zoho Books by email. If no match exists, the flow creates the contact, then creates the invoice and records the payment against it. Check the Books actions available in your connection, because action lists differ between apps and can change.

In the Shopify recipe, match on the Shopify order number. Store it in a custom field or the reference field on the Zoho Inventory sales order, so the cancellation recipe can find the same order later. Zoho Inventory's Flow actions include create sales order, update sales order status and convert sales order to invoice.

Watch for overlap with native integrations. Zoho Books has its own payment gateway and store connections, and Zoho CRM syncs with Zoho Books directly. If a native sync already moves the data, a flow that does the same job will create a second copy.

  • Use one unique key per recipe: email for people, order number for orders, charge ID for payments.
  • Add a decision step that stops the flow when the key is missing.
  • Skip test orders and test charges with a condition, not by deleting records later.

How does Zoho Flow count tasks for these recipes?

Zoho Flow's help pages say the trigger, decision and set variable steps are not counted as tasks. Every other action, whether it is an app action or a logic action, counts as one task, and only after it runs successfully. A fetch action that also creates the record when it is missing counts as two tasks.

So a Stripe recipe that fetches or creates a contact, creates an invoice and records a payment uses three or four tasks per payment. Multiply by your monthly volume before you choose a plan.

Plans set both the number of live flows and a monthly task allowance. Zoho says tasks are credited monthly, even on yearly plans, and unused tasks do not carry over. Add-ons for extra tasks and flows are available. Zoho One includes its own Flow allowance. Limits change, so check Zoho's pricing page for your region before you size anything.

What happens when a flow fails, and how do you fix it?

Zoho Flow logs every execution in History, at organization level and for each flow. Open a failed execution to see the data passed between steps and the error on the step that broke.

For Zoho Flow internal errors and some app errors, such as timeouts or rate limits, Zoho runs automatic reruns from the failed action over a 24-hour window. For mapping or configuration errors you rerun manually after you fix the cause. Zoho says failed attempts do not use tasks.

  • Resume continues from the failed step. Restart runs every action again and can create duplicates.
  • You can select up to 100 failed executions and rerun them together.
  • A 401 error usually means the app connection needs to be reconnected.
  • A 400 error usually means a mandatory field was empty or badly mapped.
  • Assign a person to check History weekly, or send failures to a Cliq channel with a decision branch.

When should you use Deluge or Zoho Creator instead of Flow?

Use Flow when the job moves data between apps. Use a Deluge custom function inside Zoho CRM or Books when the logic lives in one app, needs complex calculations or loops, or must run instantly on a record save. Use Zoho Creator when people need screens, approvals or a database of their own, not just a data hand-off.

Some signs that a flow has outgrown Flow: many nested decision branches, high task volume from loops over line items, or a need to roll back partial updates. At that point a script or app is easier to test and maintain. Our post on Zoho Creator vs Catalyst vs Flow explains the trade-offs in more depth, and our Deluge examples post shows what a script can do.

Frequently asked questions

Do Zoho Flow triggers count against my task limit?

No. Zoho says triggers, decisions and set variable steps are not counted. Other actions count once each when they run successfully.

Can Zoho Flow connect to apps that are not in its app list?

Often, yes. You can start a flow from a webhook or call an external API from a custom function, provided the other app supports it.

Will a manual restart of a failed flow create duplicate records?

It can. Restart runs every action again, so use Resume where possible and design recipes to search before they create.

Should I use Zoho Flow to sync Zoho CRM and Zoho Books?

Usually not for the basic sync, because Zoho CRM and Zoho Books have a native integration. Use Flow for extra steps the native sync does not cover.

How many tasks does a typical payment recipe use?

A recipe that finds or creates a contact, creates an invoice and records a payment uses about three or four tasks per payment, depending on whether the contact already exists.
