Flowpeak is a Zoho implementation partner, so we work with Zoho CRM every day. We have kept this list fair: each tool is listed with who it suits and where it falls short, including Zoho CRM. This guide is for owners, sales heads and operations leads choosing a CRM for 2027 planning in the USA, Canada, the Gulf, the UK and Europe, or India. You will get our ranking criteria, a comparison table, a short review of each CRM, a decision list by business type and notes on what implementation involves. We have left out licence prices because they change often; check each vendor's pricing page for your region.
How we ranked these CRMs
We checked each product against its vendor's own website and scored it on six criteria. No vendor paid for a place on this list.
- Fit for SMB and mid-market: can a team of 5 to 500 run it without a dedicated admin department?
- Customisation and automation: custom modules, fields, layouts, workflows, approval processes and code when you need it.
- Total cost of ownership: licences plus setup, add-ons, integrations and the admin time needed to keep it running.
- AI features: scoring, predictions, email drafting and assistants that work on your own CRM data.
- Integrations and ecosystem: native apps for accounting, support and marketing, plus APIs and a marketplace.
- Data residency and regional support: hosting options and local fit for the USA, Canada, the Gulf, the UK/EU and India.

1. Zoho CRM: best overall for growing businesses
Zoho CRM ranks first because it gives SMB and mid-market teams enterprise-style process control without enterprise-level complexity, and it connects natively to the rest of the Zoho suite.
What stands out:
- Blueprint: maps a sales or approval process stage by stage, with mandatory fields and checks at each transition. Professional includes a small number of Blueprints; Enterprise and Ultimate include many more.
- Canvas: a no-code design studio for building record and list views that match how your team works.
- Zia AI: deal win predictions, a Prediction Builder for custom predictions, anomaly detection in sales trends, best time to contact, and generative email drafting. Coverage varies by edition.
- Workflow rules and Deluge: rule-based automation on every edition above Free, and Deluge functions for custom logic, with larger function allowances on Enterprise and Ultimate.
- CommandCenter: a visual journey builder that tracks customers across stages and channels, with approvals, deadlines and journey analytics. Check edition availability for your account.
- Sandbox: test configuration changes safely on Enterprise and Ultimate before pushing them live.
- Ecosystem: native links to Zoho Books for quotes and invoices, Zoho Desk for support tickets and Zoho Campaigns for email marketing.
- Data centres: Zoho runs data centres in the US, EU, India, Australia, Japan, Canada and Saudi Arabia, and also serves UAE accounts from accounts.zoho.ae. This helps teams with data residency rules choose a region at sign-up, and the region is chosen when the account is created, so decide early.
Zoho CRM Plus is worth a look if sales, marketing and service teams need to share one customer view. It bundles CRM with SalesIQ, Desk, Campaigns, Marketing Automation, Social, Survey, Analytics, Projects and more.
Honest watch-outs: Zoho CRM is not ready to use out of the box for most businesses. Default modules and layouts are generic, and the value comes from planned setup: fields, roles, workflows, Blueprints and integrations. Features such as more Blueprints, sandboxes and larger function limits sit on higher editions, so pick the edition after you have mapped your process, not before. Some Zia features also depend on your edition and data centre. The interface has many settings, which can feel heavy for teams of two or three people; Bigin may suit those better.
2. HubSpot CRM: best for marketing-led teams
HubSpot offers a free CRM with no expiry and an easy interface, and it connects to Marketing Hub, Sales Hub, Service Hub, Content Hub and Data Hub. Its Breeze Assistant can research companies, prepare call notes and summarise records.
- Choose it if: inbound marketing drives your pipeline and you want marketing and sales on one platform with little admin work.
- Choose it if: you want to start free and upgrade later.
- Skip it if: you need complex approval processes or custom modules on a tight budget, since advanced features sit in higher paid tiers.
- Skip it if: you also want native accounting and inventory from the same vendor.
Where HubSpot beats Zoho CRM: first-day ease of use and an integrated content and inbound marketing toolset.
3. Salesforce Sales Cloud: best for large, complex enterprises
Salesforce is stronger than every other CRM here for very large, highly customised deployments. It has Agentforce AI agents that research prospects, prepare deals and monitor accounts, a huge partner and app marketplace, and editions from Starter Suite for small businesses up to Unlimited.
- Choose it if: you have hundreds of users, complex territories and a budget for an admin or partner.
- Choose it if: you need niche industry apps from its marketplace.
- Skip it if: you are a 10 to 50 person business without in-house admin skills; total cost of ownership rises quickly.
- Skip it if: you want accounting, support and marketing from one vendor at SMB cost.
Where Salesforce beats Zoho CRM: scale, depth of third-party apps and partner availability worldwide.
4. Pipedrive: best for simple sales pipelines
Pipedrive is built around activity-based selling with a clear visual pipeline. It adds an AI sales assistant, an AI email writer, AI reporting and more than 500 marketplace integrations. Add-ons cover lead generation, web visitor tracking, campaigns, documents and projects.
- Choose it if: your sales team wants a clean pipeline it will adopt in days.
- Choose it if: your process is short and mostly linear.
- Skip it if: you need multi-stage approvals, custom modules or deep finance links.
- Skip it if: you will rely on several paid add-ons, which can raise total cost.
Where Pipedrive beats Zoho CRM: speed of adoption. Most sales reps understand the pipeline view in minutes, with very little training or admin setup needed.
5. Microsoft Dynamics 365 Sales: best for Microsoft 365 organisations
Dynamics 365 Sales fits businesses that already run on Microsoft. Copilot drafts emails and call summaries inside Outlook, Microsoft offers sales agents for research and qualification, and Power Apps, Power Automate and Power BI handle customisation and reporting.
- Choose it if: your IT team already manages Microsoft 365 and the Power Platform.
- Choose it if: you want CRM data close to Outlook and Power BI.
- Skip it if: you lack Microsoft-skilled admins or a partner.
- Skip it if: you are a small team; some features need Dynamics 365 Sales Premium.
Where Dynamics 365 beats Zoho CRM: close integration with Outlook, the Power Platform and Power BI for organisations that already pay for the Microsoft stack.
6. Freshsales: best for teams already on Freshworks
Freshsales from Freshworks uses Freddy AI to highlight the best leads and deals, rate lead intent, suggest next steps and write emails. It pairs well with Freshdesk for support.
- Choose it if: you already use Freshdesk and want sales on the same vendor.
- Choose it if: you want AI lead scoring without heavy configuration.
- Skip it if: you need native accounting, inventory or a wide app suite.
- Skip it if: you expect heavy custom logic and process design.
Where Freshsales beats Zoho CRM: a cleaner first-run experience for small sales teams and a short path to useful AI lead scoring. Its 21-day free trial is enough to test it on real leads before you commit.
7. monday CRM: best for teams already on monday.com
monday CRM sits inside the monday.com suite and lets teams adapt boards, fields, views, automations and dashboards without code. It adds an AI notetaker, deal summaries, forecasting and AI agents for lead sourcing, pipeline monitoring and meeting prep.
- Choose it if: your teams already plan work in monday.com.
- Choose it if: you want a flexible, visual CRM you can change yourself.
- Skip it if: you need tight links to accounting, tax and inventory.
- Skip it if: you need strict, stage-gated processes with mandatory checks.
Where monday CRM beats Zoho CRM: visual flexibility and how quickly a non-technical manager can reshape boards, views and automations without help from an admin or developer.
8. Bigin by Zoho: best for very small teams
Bigin is Zoho's pipeline-first CRM for businesses with about 1 to 20 employees. It offers multiple visual pipelines, calls, emails and WhatsApp messages on the same record, and a mobile app with call logging and a card scanner.
- Choose it if: you are moving off spreadsheets and want something simple this month.
- Choose it if: you may move to Zoho CRM later.
- Skip it if: you need Blueprints, custom modules or advanced automation now.
- Skip it if: you have several teams with different processes.
Bigin and Zoho CRM come from the same vendor, so the choice is about size and complexity, not quality. Many teams start on Bigin and move to Zoho CRM once they need deeper customisation and automation.

Frequently asked questions
Is Zoho CRM better than HubSpot for small businesses?
For small businesses that need custom processes, approvals and links to accounting, Zoho CRM usually gives more depth for the money. HubSpot is easier to start with, has a free tier and is stronger for inbound marketing. Pick based on whether process control or marketing tools matter more to you.
Which CRM is best in the UAE?
Zoho CRM is a strong choice in the UAE because Zoho serves UAE accounts from its own regional domain and connects to Zoho Books for UAE VAT. Confirm data residency needs with your compliance team, and check which data centre your account is created in before you sign up.
Is Zoho CRM good for enterprise?
Yes for many mid-sized and enterprise teams, especially on the Enterprise and Ultimate editions, which add more Blueprints, sandboxes and larger function limits. Very large global deployments with heavy custom development may still find Salesforce or Dynamics 365 a better fit.
Should a very small business start with Bigin or Zoho CRM?
If you have a handful of users and one simple sales process, Bigin is quicker to adopt. If you need custom modules, Blueprints or several teams with different processes in the next year, start with Zoho CRM to avoid migrating later.
How long does it take to switch CRMs?
With Flowpeak, most Zoho CRM projects go live within two weeks. Data migration from another CRM, integrations and Blueprints add time, so map your data and processes first and agree the scope in writing before you start.
