Pick the right edition first: Corporate HR for in-house hiring or Staffing Agency for recruiting firms. Then set up job openings and your career site, define pipeline stages, connect calendars for interviews, add assessments and offer templates, and connect Zoho People so hired candidates move into onboarding without retyping.

This guide is for HR managers, talent acquisition leads and agency owners who have chosen Zoho Recruit, or are close to it, and want a clean setup the first time. You will learn how the two editions differ, how to build job openings and a career site, how to design a pipeline your team will use, how interviews, assessments and offer letters work, and how to hand hired candidates to Zoho People. Features named here come from Zoho's own pages and help documents, and some depend on your plan.

Which Zoho Recruit edition do you need?

Choose the Corporate HR edition if you hire for your own company. Choose the Staffing Agency edition if you place candidates with clients. The editions have different modules, so switching later means rework.

Zoho's help pages list Free, Standard and Enterprise plans for Corporate HR, and Free, Standard, Professional and Enterprise plans for Staffing Agency. Zoho says the 15-day trial runs on Enterprise and then drops to the Free plan with your data kept. Plan lineups change, so confirm on Zoho's pricing page for your region before you buy.

How do you set up job openings and a career site?

Start with the Job Openings module, because everything else hangs off it. Add the fields your team actually uses, such as department, location, salary band and hiring manager, and remove the rest. Clear job records make reports useful later.

Next, publish your career site. Zoho Recruit can host a branded careers page that lists all open jobs, or embed one on your own website. Candidates apply there, and Zoho parses their resumes into candidate records.

Then connect job boards. Zoho's feature pages name boards such as Indeed, Monster, Glassdoor and SEEK, and premium boards depend on your plan and region. Zoho added Indeed disposition sync in 2026, which sends candidate status changes back to Indeed so applicants can follow their progress there.

Agencies have one more layer. In the Staffing Agency edition, each job opening belongs to a client, and recruiters log emails, calls and meetings against client contacts. On Enterprise, a client portal lets clients create job openings and give feedback on candidates without emailing your team. Decide early who owns each client record, because duplicate clients are hard to clean up once jobs and placements are attached to them. If you are moving from another applicant tracking system, map clients, contacts, jobs and candidates in that order.

What setup order works for most teams?

We use this order on most Zoho Recruit projects. Agencies add the client steps.

  1. Set users, roles and profiles, so hiring managers see only their jobs.
  2. Agencies: import clients and contacts before job openings, so each job links to a client.
  3. Define candidate statuses for your pipeline, for example New, Screening, Interview, Offer, Hired and Rejected. Keep it under ten stages.
  4. Build job opening and candidate layouts with only the fields you report on.
  5. Set up email templates for acknowledgements, interview invites and rejections.
  6. Turn on the career site and job board posting.
  7. Add assessments and interview feedback forms.
  8. Create offer templates and connect e-signature.
  9. Connect Zoho People and test with one dummy hire.
  10. Import historical candidates last, after the structure is stable.

On Enterprise, Blueprint can enforce the steps for job requisitions and candidate qualification, so a candidate cannot skip a required stage. Zia, Zoho's AI, can match and rank candidates against an opening and summarize records and hiring emails.

How do interview scheduling and assessments work?

Interviews are scheduled from the candidate or job record and appear on Zoho Calendar and Google Calendar, with reminders. Zoho's pricing page lists Google Meet and Microsoft Teams links on Enterprise. If you want candidates to pick their own slot, Zoho's marketplace offers scheduling add-ons such as Calendly, and Zoho has published a guide to using Zoho Bookings for this.

Pre-screening assessments are available from Standard. Use them to filter high-volume roles before anyone spends time on a call. Zoho also supports one-way video interviews, where candidates record answers to set questions.

In the Corporate HR edition, hiring managers and panel members can submit reviews and interview feedback inside Zoho Recruit. Make the feedback form short. Three or four rated questions and one comment box get more responses than a long form.

How do offer letters work in Zoho Recruit?

Offers live in their own Offers module. From a candidate, choose Generate Offer Letter, pick an offer template and an email template, and enter details such as compensation, allowances and joining date. Zoho stores each offer as a record with the letter attached.

You can send with or without e-signature. Zoho Recruit integrates with Zoho Sign, DocuSign and Adobe Sign. For Zoho Sign you set recipients, expiry and reminders, then place signature fields. Bulk offers can be generated from the Candidates, Job Openings or Applications module.

Zoho also supports a pre-offer that converts into a final offer once accepted, plus revising or withdrawing offers. Approval workflows are covered in a separate Zoho help article, so set them up if offers need finance or leadership sign-off. Our Zoho Sign implementation service can help with templates and signing order.

How do you hand hired candidates over to Zoho People?

Connect Zoho People from Setup, Marketplace, Zoho, Zoho People. You then move a candidate with Convert as Employee, which creates an employee or contractor record, or Push to Onboarding, which adds them to onboarding in People. You can also move candidates automatically when they reach a status such as Hired.

Map fields once and test. Offer details, such as date of joining and CTC, go to a fixed Offer Details section. Zoho says only the latest accepted offer is pushed, and compensation is validated on the People side. The configuring user needs admin rights in Zoho People. Our Zoho People implementation work covers the onboarding side.
