Zoho for Jeddah: port imports, pilgrim travel and food trade

Jeddah's business life turns on the Red Sea and the pilgrim routes. Jeddah Islamic Port brings in goods for traders and distributors, and the city is where many Umrah and Hajj travellers arrive on their way to Makkah. That shapes how businesses here use Zoho. Importers need landed costs and import VAT to tie up with each shipment. Travel and hospitality firms need group bookings, seasonal staff and shift rosters to hold up in peak months. Food distributors need product registration and expiry dates tracked by batch. We set this up remotely for Jeddah teams, with the port, the season and the warehouse in mind.

Importers and traders

Importers pay VAT and duty at clearance and then need the true cost of each item. We set up Zoho Inventory to spread freight, customs duty and clearing charges across the items in a shipment, and Zoho Books to keep the customs declaration with the bill so import VAT can be claimed.

Freight forwarders and clearing agents

Forwarders quote, book and clear shipments for many clients. We use Zoho CRM for quotes by route and container type, Zoho Creator for a shipment file with milestones from arrival to delivery, and Zoho Books for invoices that separate your fees from duty and VAT paid for the client.

Umrah and pilgrim travel

Licensed Umrah companies and travel agents handle group enquiries, packages and partner agents abroad. We set up Zoho CRM for groups and package versions, Zoho Creator for room and transport allocation, and Zoho Books for deposits and balance invoices for each group.

Hotels and serviced apartments

Hotels and serviced apartments face sharp peaks around Ramadan and the Hajj season. We use Zoho People for shift rosters and attendance, Zoho Desk for guest and corporate requests, and Zoho CRM for corporate and group accounts, so peak season planning starts from real data.

Food distribution

Food importers need SFDA registration for their products and a commercial register that covers food trade. We set up Zoho Inventory with batch and expiry tracking, Zoho CRM for supermarket and restaurant accounts, and Zoho Books for Arabic invoices and credit notes on returns.

Import VAT and landed costs through Jeddah port

ZATCA collects import VAT with customs duty when goods are cleared. Businesses that file monthly, import every month and have a clean twelve-month record can apply to pay import VAT through the VAT return instead. Only the importer of the goods can deduct import VAT, and the customs documents are the evidence, so a broker who pays it for you cannot claim it. In Zoho Books we attach the customs declaration to the bill, and in Zoho Inventory we spread freight and duty across the items as landed cost. Rules change, so confirm your position with your tax agent.

Ramadan hours and seasonal staff in Jeddah

Hospitality and travel firms in Jeddah plan around Ramadan and the Hajj season. Under the Labour Law, Muslim workers' hours drop to six a day or thirty-six a week in Ramadan, and overtime is paid at the hourly wage plus 50% of basic wage. The ministry has offered an Ajeer service that lets establishments employ Saudis and residents temporarily during the Hajj season. We set up Zoho People with Ramadan shift patterns, attendance and overtime approval, and keep temporary staff as a separate employee type. Overtime then flows to Zoho Payroll's Saudi edition or to your payroll provider.

Tools you probably connect

Jeddah teams often bring customs broker and shipping line documents into Zoho, use WhatsApp Business for customer and agent updates, and connect POS systems in shops and restaurants. Umrah and Hajj firms ask to keep their package and sales records in Zoho alongside the Nusuk platforms they use. Migrations we see asked for include shipment spreadsheets, older desktop accounting tools and separate stock files for each warehouse.

Meeting times

Calls fit your whole working day: India is 2 hours 30 minutes ahead of Saudi Arabia, so we are online from 8:00 am into the evening Saudi time, Monday to Thursday, the days our working weeks share.

Tax, customs and labour rules change. We confirm the details with your tax agent or accountant before go-live.

ZATCA e-invoicing
Zoho Books is connected to the FATOORA platform for Phase 2, and each invoice type is tested with your accountant before go-live.

Common worries, straight answers

“Staff will resist changing habits and the rollout will stall.”

We roll out one team at a time, train each role on its own screens, and keep the first version simple. People adopt a system that removes work, so we cut steps before we add fields.

“Migration of years of historical data looks risky and slow.”

We clean and map your data first, run a test import that you check, and only then move the full history. Your old system stays readable until you sign off.

“We already pay for tools that sort of work; switching seems disruptive mid-season.”

We pick a quiet cut-over date with you and can run old and new side by side for a short period. Tools that work well can stay and be connected instead of replaced.

“Our process is unusual and off-the-shelf software will not fit.”

Most unusual steps fit with Blueprint stage rules, custom modules or a small Creator app. If something does not fit, we tell you in the first call.
