By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
In Zoho Inventory you plan stock with Replenishments. Enable it under Settings, then set a reorder level, maximum stock, order quantities and an order type for each item or each warehouse. When stock falls below the reorder level, the item appears under Pending Replenishments, and you raise a purchase order or transfer order in one click.

This guide is for operations managers, buyers and owners of product businesses who run out of best sellers while cash sits in slow stock. You will learn how to work out a sensible reorder point, how to set up Replenishments in Zoho Inventory for one or many warehouses, how to turn alerts into purchase and transfer orders, which reports to review each week, and what changes for businesses in the USA, Canada, UK and EU, the Gulf and India.
What is a reorder point and how do you calculate it?
A reorder point is the stock level at which you should place a new order so that fresh stock arrives before you run out. It depends on two things: how fast you sell during the supplier's lead time, and how much buffer you keep for surprises. That buffer is safety stock.
A simple working formula is: reorder point = average daily sales x lead time in days + safety stock. If you sell 20 units a day, your supplier takes 10 days to deliver, and you keep 60 units of buffer, your reorder point is 260 units.
Safety stock should reflect how much your demand and lead times vary. A steady seller from a local supplier needs a small buffer. A seasonal product shipped by sea from another country needs a larger one. Review both numbers at least every quarter, because lead times change more often than people expect.
How do you set up Replenishments in Zoho Inventory?
Replenishments is the Zoho Inventory feature that tracks items against your thresholds and lists low-stock items for action. According to Zoho's help documentation, you switch it on and then configure each item.
- Click the gear icon, open Items under Module Settings, and enable Replenishments on the General tab.
- Set the default number of days for replenishment reminders and save.
- Open an item. Without warehouses enabled, click + Create Replenishments on the Overview tab.
- With warehouses or locations enabled, open the Warehouses/Locations tab, click the gear icon and choose Configure for each location.
- Enter the reorder level, check frequency, maximum stock level, minimum and maximum order quantity, unit multiple, and order type.
- For a purchase order, choose the preferred vendor. For a transfer order, choose the source location.
Zoho Inventory also has a simpler reorder point email alert. You set a reorder level on the item and choose a notification email under the Items preferences. It works for small catalogues, but Replenishments gives you a work queue rather than an inbox full of alerts.
How do reorder levels work across several warehouses?
When locations are enabled, each warehouse or store can have its own reorder level, order type and source. A central warehouse might reorder from a vendor, while a retail outlet reorders by transfer from the central warehouse. This mirrors how most multi-site businesses really move stock.
| Field | What it controls | Practical tip |
|---|---|---|
| Reorder Level | Stock level that creates a replenishment | Use your calculated reorder point |
| Frequency | Days between stock checks | Daily for fast movers, weekly for slow ones |
| Maximum Stock Level | Upper limit to avoid overstock | Match it to storage space and cash |
| Min and Max Order Quantity | Reference limits when ordering | Use supplier minimum order quantities |
| Unit Multiple | Orders in fixed multiples | Set to carton or pallet size |
| Order Type and Source | Purchase order with vendor, or transfer order with source location | Stores usually transfer, warehouses usually buy |
To act on alerts, go to Replenishments under Inventory, open the Pending Replenishments tab and choose Create Purchase Order or Create Transfer Order. Bulk Actions lets you create one order for several items, as long as they share the same vendor and order type. You can also dismiss items you have decided not to restock.
Which Zoho Inventory reports help with stock planning?
Reorder points only work if you check whether they are right. Zoho Inventory's reports cover the questions a buyer asks each week. If you want help setting these up as part of a wider project, our Zoho Inventory implementation and stock planning setup includes report and dashboard design.
- Stock Summary: opening, in, out and closing quantities, with reorder levels and stock value per item.
- Committed Stock Details: stock reserved against confirmed sales orders, so you do not promise the same units twice.
- Inventory Aging Summary: how long stock has been held, which shows slow movers tying up cash.
- Inventory Turnover By Quantity: how often each item sells through and is replaced.
- Replenishment Task Details: the status and quantities of replenishment tasks.
- Inventory valuation reports: Zoho lists ABC classification among them, which helps you focus attention on the items that matter most.
What changes for businesses in different markets?
The mechanics are the same everywhere, but lead times and compliance differ. Check the edition of Zoho Inventory for your country, because tax and shipping features vary.
- USA: long ocean lead times from overseas suppliers call for larger safety stock on imported lines. Zoho Inventory connects to Shopify, Amazon and Walmart, so channel sales feed the same stock figures.
- Canada: cross-border shipments from US suppliers can add customs time. Build that into lead times rather than raising every reorder level.
- UK and EU: post-Brexit customs checks can lengthen lead times between the UK and EU. Set different reorder levels per warehouse if you hold stock on both sides.
- UAE and Gulf: many businesses import through regional hubs and serve several countries. Transfer orders between locations keep each country's stock visible.
- India: Zoho Inventory's India edition supports e-way bills, which matter when replenishment moves goods between locations by road. Confirm the rules for your state and consignment value.
What mistakes should you avoid when setting reorder points?
- Setting one reorder level for all items instead of using each item's sales rate and lead time.
- Ignoring committed stock, so the system thinks you have units that are already promised.
- Forgetting supplier minimum order quantities and carton sizes.
- Never reviewing reorder levels after a season, a price change or a new supplier.
- Letting alerts pile up without a named person who owns the Pending Replenishments queue.

Frequently asked questions
Does Zoho Inventory create purchase orders automatically?
Replenishments lists low-stock items under Pending Replenishments, and you create the purchase or transfer order from there, singly or in bulk. Zoho's help describes this as a manual step. If you need fully automatic orders, a custom function or Zoho Flow workflow can be designed, but test it carefully first.
Can I set different reorder points for each warehouse?
Yes. When warehouses or locations are enabled, you configure Replenishments separately for each location. Each can have its own reorder level, maximum stock, order type and vendor or source location, which suits businesses that run a central warehouse and several stores.
What is the difference between a reorder level and maximum stock level?
The reorder level is the point that triggers a replenishment. The maximum stock level is the most you want to hold, so your order quantity should bring stock up towards that figure. Together they define a simple min and max planning range.
Does Zoho Inventory forecast demand?
Zoho Inventory's help pages focus on threshold-based Replenishments and reports such as Inventory Turnover and Inventory Aging rather than statistical forecasting. Many businesses export sales history to Zoho Analytics to study trends and seasonality, then update reorder levels from those findings.
How often should reorder points be reviewed?
Review fast movers monthly and the rest at least quarterly. Also review after a supplier change, a price change, a new channel or a seasonal peak. Use Stock Summary and Inventory Turnover to see which items ran out or sat too long since the last review.
