Zoho FSM
Zoho FSM Guide: Work Orders, Dispatch and Field Invoicing
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho FSM is Zoho's field service app. It takes a job from request to estimate, work order, scheduled appointment, technician visit, service report and invoice. Dispatchers plan work on a console with map views, technicians use an Android or iOS app, and invoices and payments run through a linked Zoho Invoice or Zoho Books account.

This guide is for owners and operations managers in home services, HVAC, facilities maintenance, solar and similar trades who are weighing Zoho FSM. Maybe you are running jobs from spreadsheets and a shared calendar, or you already use Zoho CRM or Zoho Books and want field work in the same system. You will learn how the FSM workflow fits together, what the technician app does, how billing links to Zoho Books, what each edition adds, where FSM is hosted, and what to settle before you import your first customer.
How does the Zoho FSM workflow fit together?
Zoho FSM follows the path most service businesses already use on paper:
- Request: a customer asks for work by phone, email or a web form (web forms start on the Standard edition).
- Estimate: you price services and parts. The customer can approve or reject the estimate from an emailed link.
- Work order: an approved estimate becomes a work order holding the tasks, parts and customer asset details.
- Service appointment: the dispatcher schedules one or more appointments against the work order and assigns a technician or crew.
- Visit: the technician travels, logs time, completes job sheets, adds notes and photos and captures a signature on the service report.
- Invoice and payment: an invoice is raised from the work order and the customer pays online or in person.
Customer records hold job history and customer assets, so the next technician can see what was done last time. Scheduled maintenance plans can generate recurring work orders and appointments for service contracts.
What does the dispatch console and technician app do?
The dispatch console gives dispatchers Gantt and calendar views, a grid view on higher editions, and a map with live location tracking of field agents from the Standard edition. Dispatchers can drag appointments between technicians and see trips and travel time.
The mobile app runs on Android and iOS. Technicians see their appointments, navigate to the site, track travel time and timesheets, fill in job sheets and checklists, add notes and photos, raise invoices and take payments.
Offline mode matters for basements, plant rooms and rural sites. Zoho's FSM team describes the app caching the latest 200 service appointments with related work orders, service reports, timesheets, trips and notes. It is on by default on iOS and must be switched on manually on Android under Settings > Offline Mode.
How does Zoho FSM work with Zoho Books and Zoho Invoice?
Billing in FSM is built on Zoho's finance apps. During onboarding you connect a new Zoho Invoice account (the default) or an existing Zoho Books or Zoho Invoice account on the same sign-up email. Invoices raised from work orders are added to that finance account, and payment gateways are configured there so customers can pay online.
To keep records aligned, turn on two-way sync:
- Go to Setup > Billing > Billing Setup and click Enable Sync.
- Choose how duplicates are handled: clone or overwrite (overwrite keeps the most recently modified record).
- Map FSM Companies and Contacts fields to Books Customer fields.
- Map FSM Services and Parts fields to Books Item fields, then click Save and Enable.
- Use the Invoice Mapping tab to carry custom work order fields onto invoices.
Tax rates and invoice templates are set up on the Zoho Invoice or Books side. If you already run Zoho Books for accounting, connect FSM to it rather than starting a separate Zoho Invoice organisation.
What does each Zoho FSM edition add?
Zoho lists four editions. Each includes everything in the one below. Zoho's FAQ also notes that FSM is not part of Zoho One and is priced by subscription volume rather than per user. Check the official Zoho FSM pricing page for your region for current plans.
| Edition | Adds |
|---|---|
| Free | Requests, estimates, work orders, dispatch console, service reports, invoicing and payments, mobile app, workflow automation, REST APIs |

Who is Zoho FSM a good fit for?
Zoho describes FSM as built for service businesses and contractors, tailored to each trade through custom fields. In our view it fits best when:
- Home services teams of a few technicians up to several crews need estimates, scheduling and invoicing in one place.
- HVAC and appliance service firms need asset records and maintenance plans for recurring service contracts.
- Facilities maintenance providers serve multi-site commercial clients and need territories, skills and shifts.
- Solar installers and service teams need multi-day appointments for installs and maintenance plans for annual checks.
- You already use Zoho CRM, Bigin, Desk or Books and want field work connected to them. FSM has a Zoho CRM extension and integrations with Bigin, Desk and WhatsApp.
It is a weaker fit if you need deep trade-specific price books, call-centre booking tools or consumer financing out of the box. Our comparison with ServiceTitan and Jobber covers those trade-offs.
Where is Zoho FSM available, and what about local tax?
Zoho lists FSM in seven data centres: US, EU, India, Australia, Canada, Saudi Arabia and the UAE. Zoho's FAQ says FSM supports 23 languages and most countries and currencies, with region-specific tax editions for several countries and a Global edition for the rest. Check availability for your country before you sign up.
- USA: sales tax is configured in Zoho Books or Invoice. Set up tax rules there before your first invoice.
- Canada: use the Canada data centre if clients ask about residency, and set GST, HST and PST in Books.
- UK and EU: the EU data centre is available; Making Tax Digital submissions happen in Zoho Books, not FSM.
- UAE and Saudi Arabia: local data centres exist. VAT and ZATCA e-invoicing requirements are handled through your Books setup, so confirm compliance there.
- India: GST is configured in Zoho Books or Invoice on the India data centre.
What should you plan before you start?
- Clean your customer list and decide whether customers are companies, contacts or both.
- Build your services and parts list with tax codes before importing, since items sync to Books.
- Decide your territories and crews before you invite technicians.
- Agree which finance account FSM will use. Changing later is harder than choosing well now.
- Test offline mode on the phones your technicians actually carry.

Frequently asked questions
Is Zoho FSM included in Zoho One?
No. Zoho's FSM FAQ states that FSM is not part of Zoho One, so it is licensed separately. It still connects to Zoho apps you already use, including Zoho CRM through an extension, Bigin, Desk and Zoho Books or Invoice for billing. Check the official pricing page for your region.
Does the Zoho FSM mobile app work offline?
Yes, within limits. The app caches the latest 200 service appointments with related work orders, service reports, timesheets, trips and notes. Caching runs daily and can be triggered with Sync Now. Technicians should reconnect and reload to get the latest data after working offline.
Do I need Zoho Books to use Zoho FSM?
No. FSM sets up a Zoho Invoice account by default for invoicing and payments. If you already run Zoho Books for accounting, connect FSM to that account instead so invoices, customers and items land directly in your books and do not need re-entering.
Can customers approve estimates without logging in?
Yes. Zoho FSM sends estimates by email with a link the customer can use to approve or reject them. Once approved, the estimate can be converted into a work order and scheduled, which removes a round of phone calls for many service teams.
Which edition do I need for maintenance contracts?
Maintenance plans and asset management sit in the Professional edition and above, per Zoho's pricing page. If recurring service contracts are a large part of your revenue, plan around Professional or Premium, and confirm current edition contents before buying.
