Zoho Creator
Field Service and Inspection Apps in Zoho Creator: A 2027 Guide
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho Creator can run field and inspection apps on iOS and Android with photo, signature, audio, video and barcode input, location capture, checklists, approvals and live office reports. Offline, users can submit forms and view cached reports, which sync later, with limits on some fields and workflows. For scheduling and dispatching technicians, Zoho FSM is often the better fit.

This guide is for operations managers who send people into the field to inspect sites, audit equipment, check safety or complete jobs, and who want those results back in the office the same day. You will learn which mobile inputs Zoho Creator supports, exactly what works offline according to Zoho's help pages, how to build checklist-style inspection forms, how approvals and office reports fit, how to plan for photo storage, and when Zoho FSM is a better choice than a custom Creator app.
What can a Zoho Creator field app capture on a phone?
Creator apps run in Zoho's iOS and Android apps without a separate build, and Creator's field types cover most inspection needs. The table lists the inputs field teams use most, as Zoho describes them.
| Need | Creator feature | Notes from Zoho's help pages |
|---|---|---|
| Photos of defects | Image field | Take a picture or upload one |
| Customer or inspector sign-off | Signature field | User draws a signature on screen |
| Voice notes and clips | Audio and video fields | Audio up to 30 minutes, video up to 5 minutes |
| Asset tags and serial numbers | Scan input on supported fields | Scanning works on phones, tablets and progressive web apps |
| Where the visit happened | Capture location | Stored in Added Location and Modified Location system fields |
| Site address | Address field | Pick from a map or type |
| Pass or fail items | Decision box, drop down, radio | Quick to complete on a small screen |
Location capture needs the user's permission. Zoho says that on phones and tablets, users can open a location-enabled form only after they allow location access. Also note that a subform does not record location unless its main form has location capture turned on.
Creator also has AI fields that can help in the field. Zoho lists OCR, which recognizes text in an image, and object detection, which identifies objects in an image. These can help with meter labels or equipment nameplates, but check plan availability and test accuracy before relying on them.
What does Zoho Creator support offline, exactly?
Zoho says offline access is available on all Creator plans in its iPhone, Android and tablet apps. Each user adds offline components in the mobile app under Settings, then Offline Components, choosing the forms and reports they need. Offline, users can submit form entries and view and edit them before they sync. Reports can be viewed offline, showing records from the last sync.
There are limits you must design around. Zoho lists these:
- Formula fields that depend on other field inputs, and integration fields, are not supported offline.
- Workflows that run before submission, such as on load and on user input, do not run offline.
- Mandatory and no-duplicate checks are not validated offline. They run when records submit after reconnecting.
- Offline reports are view-only. Edit, duplicate, delete and print are unavailable.
- Auto-sync runs every 24 hours by default, so users should sync manually. On iOS the app must be active to sync. On Android, records sync when the device comes online.
- Signing out of the mobile app deletes cached data, including entries not yet synced.
In practice, this means offline forms should be simple, with validation and calculations moved to workflows that run after submission. Train users to sync before they sign out. Choose which forms and reports each role adds offline, and show users how to confirm a sync has finished. Zoho notes that changes you publish to forms or reports reach offline users only after their next sync, so announce updates before field teams head out.
How do you build an inspection checklist in Creator?
Build the checklist so it still works with no signal. Because pre-submission scripts do not run offline and offline reports are view-only, the questions should live in the form itself, and anything clever should happen after the record syncs. This is the pattern we use.
- Group questions into sections on the Inspection form, with a decision box or drop down for each result.
- Add a lookup to the site or asset, a users field for the inspector, the date, and turn on location capture.
- Add a defects subform where each row has a description, a severity and an image field, so inspectors log as many issues as they find.
- Add a signature field at the end for the inspector or the customer.
- Put scoring, follow-up tasks and notifications in workflows that run after submission.
- Test the form offline on both iOS and Android, including the lookups to sites and assets, before rollout.
If your team always has signal, you can instead keep questions in a template form and create checklist rows with a script. That makes questions easier to change, but it will not work offline.
How do approvals and reports get results back to the office?
Once a record syncs, Creator workflows can route it. An approval process can send failed inspections to a supervisor, and a blueprint can move a job through stages such as submitted, reviewed and closed. Our answer on multi-level approvals in Zoho Creator shows how to chain approvers.
For the office, Creator's map report shows records by location, calendar and timeline reports show visit schedules, and kanban reports show jobs by stage. Pages can combine these into one dashboard per manager. If you need trend analysis across months or combined with finance data, connect Creator to Zoho Analytics.
How should you plan for photos, signatures and storage?
Photos are usually the largest cost driver in a field app. Creator's paid plans include file storage per user, and an inspection with ten photos per visit fills storage much faster than text records do. Estimate visits per month, photos per visit and average file size, then compare with your plan.
Set rules early: which items need a photo, whether images should be compressed, and how long you keep them. Archive closed inspections on a schedule if retention rules allow. Also consider daily allowances for emails and external calls if each submission sends a report to a customer or another system.
When is Zoho FSM a better fit than a Creator app?
Choose Zoho FSM when the core of the job is scheduling and dispatching technicians, not collecting inspection data. Zoho FSM provides work orders, service appointments, drag-and-drop dispatching with Gantt charts, agent location and trips, timesheets, estimates and invoicing, with integrations to Zoho CRM and Zoho Books. Zoho has also said its FSM mobile app can show the latest 200 service appointments offline, with related work orders, service reports and timesheets.
Choose Creator when your inspection logic is specific, such as custom scoring, regulatory checklists or asset histories, or when the app is part of a wider custom system. Some businesses use both: FSM for scheduling and billing, and Creator for detailed inspection records. Our Zoho FSM implementation page explains that route.

Frequently asked questions
Can field staff submit inspections with no signal?
Yes, if the form is added as an offline component in the Creator mobile app. Entries sync when the device is back online, though some fields and pre-submission workflows are not supported offline.
Does location capture work offline?
Zoho's offline help indicates added location capture is supported offline. Test it on your own devices, as accuracy depends on the phone's GPS.
Can customers sign on the technician's phone?
Yes. Creator's signature field lets anyone draw a signature on screen, which is stored with the record.
Can we scan barcodes on asset tags?
Yes. Zoho says scanning can fill fields such as single line and number fields on phones, tablets and progressive web apps. It is not described for desktop browsers.
Should we use Zoho FSM or Creator for a small service team?
If you mainly need scheduling, dispatch and invoicing, start with Zoho FSM. If you mainly need detailed custom inspection records, Creator is often a better fit.
