Zoho CRM for HVAC Companies: Maintenance Plans, Dispatch and Equipment

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Zoho CRM for HVAC works best paired with Zoho FSM. CRM handles leads, estimates, maintenance-plan renewals and seasonal tune-up campaigns. FSM handles work orders, dispatch, the technician app and equipment records with install and warranty dates. Zoho Books handles invoices and payments. Together they cover most needs of a small or mid-sized HVAC contractor.

This guide is for owners and office managers at residential and light commercial HVAC companies in the US who are considering Zoho for HVAC work. It goes beyond general home services. You will learn how to set up maintenance agreements, spring and fall tune-up campaigns, equipment and warranty records, dispatch, and notes for refrigerant and permits. It also covers where Zoho fits against HVAC-specific software. If you run plumbing, electrical or roofing too, read our broader home services guide alongside this one. Feature details follow Zoho's own pages and help documents as of November 2026.

Is Zoho CRM for HVAC companies enough on its own?

No. Zoho CRM alone is a sales system. It handles leads, estimates, follow-ups and renewals well, but it has no dispatch board or technician app. For field work, add Zoho FSM, Zoho's field service app. Zoho offers a Zoho FSM extension for Zoho CRM to connect the two apps. Check the extension listing for exactly which records sync in each direction.

A typical split looks like this. CRM owns the customer, the sale and the maintenance plan renewal. FSM owns the job, the appointment, the technician and the equipment on site. Zoho Books owns invoices, payments and sales tax. Our Zoho for home services contractors guide covers the general version of this setup across trades.

How do you run HVAC maintenance agreements in Zoho?

Use Zoho FSM's Scheduled Maintenance feature for the visits and Zoho CRM or Zoho Books for the agreement and billing. Zoho says Scheduled Maintenance automatically creates work orders and service appointments at the dates and intervals you set, and that it is part of FSM's Professional edition. Check Zoho's FSM pricing page to confirm which edition you need.

A practical setup for a maintenance plan:

  1. Create a Maintenance Plans module in CRM with plan type, start date, renewal date, visits per year, price and linked equipment.
  2. Create a matching Scheduled Maintenance plan in FSM for spring cooling and fall heating visits.
  3. Bill the plan through Zoho Books as recurring invoices, or as one annual invoice.
  4. Add a workflow rule in CRM that creates a renewal task and email 45 days before the renewal date.
  5. Tag plan members so the dispatcher can see priority customers during peak weeks.

Keep plan terms simple at first: one residential plan with two visits a year, plus a commercial plan priced per site. You can add tiers later once the renewal process runs cleanly. Record what each visit includes, such as filter change, coil cleaning and safety checks, in the FSM work order template so every technician follows the same checklist.

How do you set up seasonal tune-up campaigns?

Build two campaigns a year from CRM data: AC tune-ups before summer and furnace or heat pump checks before winter. The data you need is equipment type, last service date and plan status, so capture these on every job.

Segment customers into three lists: plan members who are due, past customers with no plan, and customers whose equipment is past a set age. Send email through Zoho CRM mass email, or through Zoho Campaigns for larger lists. Then follow up by phone or text. Zoho CRM's cadences can schedule email, task, call and WhatsApp steps, and Zoho lists cadences from the Standard edition upward. If your office takes most bookings by phone, connect your phone system to Zoho CRM so calls log against the customer and the campaign.

Time the campaigns before demand peaks, not during it. Spring and early fall are when crews have open slots. Track bookings from each list so next year's campaign starts with real numbers from your own data.

How do you track HVAC equipment, serial numbers and warranties?

Use the Assets module in Zoho FSM. Zoho's help documents list asset name and number, related contact and company, the part, the address where the asset sits, a parent asset, and purchase, installation, ordered and warranty expiration dates. Work orders, estimates and service appointments can be created from an asset and appear in its related list, which gives you a service history per unit.

Zoho's asset documentation does not list a dedicated serial number field. Use the asset number for the serial number, or add a custom field, and confirm on your edition. Use parent assets to link an outdoor condenser, indoor air handler and thermostat as one system.

How does dispatch work for HVAC technicians in Zoho FSM?

Zoho FSM's Dispatch Console shows jobs and technicians in Gantt, grid and calendar views, with live location on the map. The mobile app gives technicians their appointments, navigation, timesheets, job sheets and invoicing. Customers can get email or SMS updates, and FSM supports online and offline payments.

For HVAC, add skills or tags such as install crew, commercial rooftop and heat pump specialist, so dispatchers assign the right person. On no-cool days in summer, sort by plan members first. Our Zoho FSM guide covers work orders and the dispatch setup in more detail.

Set up service reports too. Zoho FSM lists job sheets, PDF templates and service reports with customer feedback. A short report with photos, readings and recommendations helps the customer understand the visit and gives your sales team a warm lead when a system is near the end of its life.

How do you handle refrigerant and permit notes?

Zoho does not include HVAC compliance features out of the box, but you can record what your business needs with custom fields and job sheets. Common fields include refrigerant type, amount added or recovered, leak check result, technician certification number, permit number, permit status and inspection date.

EPA refrigerant rules and local permit rules vary by system size, refrigerant and jurisdiction. Zoho stores the record. It does not decide what you must log or file. Confirm your record-keeping duties with EPA guidance, your local building department or a compliance adviser. Sales tax on parts and labor also varies by state, so set it up in Zoho Books with your accountant.

Zoho or ServiceTitan for an HVAC company?

ServiceTitan is built for trades. Its HVAC page names dispatch, maintenance agreements, pricebook, multi-option proposals, a client portal, a phone system and marketing add-ons. Zoho is a general platform you configure for HVAC, with CRM, FSM, Books and other apps under one account. Neither vendor's pricing is covered here, so check each pricing page. Our Zoho FSM vs ServiceTitan vs Jobber comparison goes deeper.

Zoho may suit you if you want one platform for sales, field work, accounting and other teams, and are willing to configure it. Trade-specific software may suit you if you want HVAC workflows ready on day one. Book demos of both with your own job types before you decide.

Frequently asked questions

Does Zoho FSM create recurring maintenance visits automatically?

Yes. Zoho says its Scheduled Maintenance feature creates work orders and service appointments at the dates and intervals you set. Zoho lists it in FSM's Professional edition, so check your edition.

Can I see a unit's full service history in Zoho?

Yes. Work orders, estimates and service appointments created from an FSM asset appear in that asset's related list, so each unit has its own history.

Can Zoho track warranty expiry for installed equipment?

Yes. Zoho FSM assets include a warranty expiration date along with purchase and installation dates. You can use these in views and reports to spot covered repairs.

Do I need Zoho CRM if I use Zoho FSM?

Not always. FSM can run jobs on its own. Add Zoho CRM when you need lead tracking, sales pipelines, maintenance-plan renewals and marketing campaigns.

Can Zoho handle commercial HVAC contracts?

Yes, with configuration. Use companies, multiple service addresses, parent and child assets, and scheduled maintenance plans per site, and confirm limits on your edition.
