By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho CRM Canvas is a no-code design tool for building custom layouts for list views, record detail pages and data entry forms. You open it from Setup > Customization > Canvas Builder, drag fields and elements onto the page, add styling and Canvas Rules, then assign each design to user profiles. Zoho lists Canvas on Standard and higher editions.

This guide is for CRM admins, sales managers and operations leads who want Zoho CRM screens that show the right information at a glance instead of long default pages. You will learn what Canvas changes and what it does not, which editions include it and the published limits, when to use Canvas, page layouts or client scripts, a step-by-step build for a deal detail view, what Canvas Rules and the Field State Editor can do, and the limitations to plan around before you roll a design out to the team.
What is Zoho CRM Canvas and what does it change?
Canvas changes how records look, not what data they hold. Fields, picklists, validation and permissions still come from the module and profile settings. Canvas decides where those fields sit on the screen, how they are styled and what is shown or hidden based on the record's values.
Zoho says Canvas now supports three main views: list views, form views for data entry and detail views for reading a record. Zoho's comparison page also lists Canvas print views. You can design each view separately and assign different designs to different profiles, so a sales rep and a finance user can see the same deal laid out for their own job.
A practical example: on a deal, a rep needs Stage, Next Step, Closing Date and the last activity at the top. A finance user opening the same deal wants Amount, payment terms, the linked quote and the invoice status. With standard layouts, both scroll through the same long page. With Canvas, each profile gets a header block with its own key facts, and the rest of the detail sits in tabs.
Zoho has also announced a Canvas home view for building custom CRM home pages. Availability of newer Canvas features can vary by account, so check your own Setup screens.
Which editions include Canvas, and what are the limits?
Canvas is not on the Free edition. From Standard upward, Zoho's comparison page shows the same per-module limits across editions.
| Canvas item | Free | Standard to Ultimate |
|---|---|---|
| List views | Not included | 50 views per module |
| Detail views | Not included | 25 views per module |
| Form views | Not included | 25 views per module |
| Print views | Not included | 25 views per module |
| Canvas Rules | Not included | 100 rules per module |
| Reusable components (detail and form views) | Not included | 25 per organization |
| Import and export of Canvas views | Not included | 10 views per organization |
Export and import here means within your organization's setup. Zoho's FAQ says Canvas layouts cannot currently be moved between different CRM accounts or data centres.
Canvas, page layouts or client script: which one do you need?
Each tool solves a different problem. Choosing the wrong one leads to designs that break when fields change.
| Goal | Best tool | Why |
|---|---|---|
| Different fields or sections for different teams | Page layouts and layout rules | They control which fields exist on the form for each profile |
| Show key facts at the top of a deal with colours and icons | Canvas detail view | Pure presentation, no code |
| Card-style list of leads with image, score and status | Canvas list view | Easier to scan than a table |
| Highlight a field or hide a section when a value changes | Canvas Rules | Conditional styling and visibility inside Canvas |
| Show or hide whole tabs, or react to typing in real time | Client script | Zoho says Canvas Rules cannot hide entire tabs |
| Enforce steps before a stage change | Blueprint | Process control, not layout |
For process control, see our Blueprint setup guide. For a wider list of options, see these Zoho CRM customization examples.
How do you build a Zoho CRM Canvas detail view step by step?
Here is the order we use for a deal detail page that reps open many times a day.
- Ask three reps which five fields they check first on a deal. Design around those.
- Go to Setup > Customization > Canvas Builder and choose the module and the view type, in this case a detail view.
- Drag fields and elements onto the page: sections, tabs, tables, text, icons and images.
- Put the deciding facts in a header block, such as Amount, Stage, Closing Date, Account and Owner.
- Group related lists into sub-tabs, for example Activities, Quotes and Emails, so the page stays short.
- Apply styles such as font, colour, shadow and padding, and save repeated blocks as reusable components.
- Add buttons you have already created in the module settings. Zoho says buttons cannot be created inside Canvas.
- Add Canvas Rules, then assign the design to the right profiles and test it on the web and the mobile app before telling the team.
Roll out to one profile first and ask for feedback after a week. Measure success by whether reps stop asking where a field is, not by how the page looks in a demo.
What can Canvas Rules and the Field State Editor do?
Canvas Rules change appearance or visibility based on field values or user-related criteria. Typical examples are a red border on Closing Date when it is in the past, a green badge when Stage is Closed Won, or hiding a Contract section until a deal reaches Negotiation. You can apply up to 100 rules per module, according to Zoho's comparison page.
The Field State Editor styles a field by its current state without any rule or script. Zoho lists states such as Mandatory, Disabled, In error and Empty or default. You find these settings under Style when you select a field in the Canvas Builder. It is a simple way to make required fields obvious on a Canvas form view.
Keep rules few and meaningful. If every field changes colour, nobody notices the one that matters.
List views deserve the same thought. Zoho's help describes a custom list view for leads that shows the lead's image with name, email, mobile, lead source, tags, scores, lead status, activities and owner in a compact card. For a team that works a call list every morning, a card layout like this, sorted by score, is often more useful than a wide table with twenty columns. Build one list view per daily job, such as new leads, follow-ups due today and stalled deals, rather than one view that tries to do everything.
What Canvas limitations should you plan for?
Add a Canvas review to your change process, so every new field request includes a layout update. Our go-live checklist, linked below, covers similar checks for launch day.
- New fields do not appear automatically. Someone must drag each new field into every Canvas design that needs it.
- Assignment is by profile, not by individual user or role.
- On the mobile app, Zoho says only Canvas detail views are supported for now, and you cannot design a separate mobile version.
- Inline editing works for standard field types such as text, number, date and picklist. Images, widgets and related lists cannot be edited inline, and heavily styled elements may behave as read-only.
- Canvas works in CRM portals with some limits, and follows the same permissions as the standard interface.
- To go back to the standard view, remove the Canvas assignment for the profile or disable the Canvas view for it.

Frequently asked questions
Can I switch back to the standard Zoho CRM layout after using Canvas?
Yes. Remove the Canvas assignment for that profile or disable the Canvas view for it, and users see the standard layout again.
Can different teams see different Canvas designs?
Yes. You assign Canvas designs by profile, so sales, finance and support profiles can each have their own detail, form and list views.
Does Canvas work on the Zoho CRM mobile app?
Partly. Zoho says Canvas detail views are supported on mobile and adjust automatically, but Canvas form views are not yet available there.
Does Canvas change my data or fields?
No. Canvas only changes presentation. Fields, validation rules and permissions are still managed in the module and profile settings.
Can I copy a Canvas design to another Zoho CRM account?
Not at present, according to Zoho's FAQ. Export and import work within your organization, so plan to rebuild designs in any other account.
