Zoho Books Month-End Close Checklist: A Step-by-Step Guide
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
A month-end close in Zoho Books follows a fixed order: reconcile every bank and card account, clear suspense items, post accruals and recurring journals, let Fixed Assets post depreciation, review receivables and payables, run the trial balance and core reports, prepare the tax return for your region, then lock the period with Transaction Locking.

This guide is for finance leads, bookkeepers and business owners who run their books in Zoho Books and want a close that finishes on time and does not get reopened. You will get a step-by-step checklist mapped to the actual Zoho Books screens, what to check in each report, how tax return preparation differs in the USA, Canada, UK, UAE, Saudi Arabia and India, and how to lock the month so nobody edits a closed period by accident.
What should a Zoho Books month-end close checklist include?
A good close checklist is short, ordered and owned. Each step should have a person responsible and a clear output, such as a reconciled balance or a signed-off report. The order matters: you reconcile cash first because almost every later check depends on accurate bank balances.
| Step | Where in Zoho Books | Output |
|---|---|---|
| 1. Categorise bank feed transactions | Banking | No uncategorised items for the month |
| 2. Reconcile bank and card accounts | Banking > account > Reconcile Account | Difference of zero, status Reconciled |
| 3. Review open invoices and bills | Sales and Purchases modules, aging reports | Correct balances, disputes noted |
| 4. Post accruals and prepayments | Accountant > Manual Journals or recurring journals | Expenses in the right month |
| 5. Post depreciation | Fixed Assets (on supported plans) | Depreciation journals for the month |
| 6. Review trial balance and core reports | Reports | Signed-off P&L and balance sheet |
| 7. Prepare tax return | Tax or VAT/GST filing module for your edition | Draft or filed return |
| 8. Lock the period | Accountant > Transaction Locking | Lock date set with a reason |
How do you reconcile bank accounts before closing?
Start by clearing the bank feed. Every transaction for the month should be matched to an existing invoice, bill or payment, or categorised to an account. Zoho Books only shows matched, categorised and manually added transactions in the reconciliation window, so anything left uncategorised will stop the balance from agreeing.
- Go to Banking, open the account, click the gear icon and choose Reconcile Account.
- Click Initiate Reconciliation and enter the statement start and end dates.
- Enter the closing balance from your bank statement and start the reconciliation.
- Tick each cleared transaction until the difference between the closing balance and cleared amount is zero.
- Click Reconcile. If you need to stop, use Save and Reconcile Later.
- Repeat for every bank account, credit card and payment clearing account.
Confirm the opening balance before you reconcile, because Zoho Books does not let you change it once transactions are reconciled. If a past period was wrong, you can undo reconciliations, starting with the most recent, fix the entries and reconcile again.
How do you post accruals, prepayments and depreciation?
Accruals put costs and income into the month they belong to. In Zoho Books you record them as manual journals under the Accountant module. For charges that repeat every month, such as a rent accrual or an amortised annual subscription, set up a recurring journal so the entry is created on schedule and you only review it.
Depreciation is easier with the Fixed Assets module. According to Zoho's help documentation it is available on the Premium, Elite and Ultimate plans and is switched on under Settings > Preferences > General. Check your plan.
Once an asset moves from Draft to Active, Zoho Books calculates depreciation from your settings and creates the journal entries automatically from the start date to the current date. You can choose Straight Line, Declining Balance or Non Depreciable, run depreciation monthly or yearly, and pick pro rata or non pro rata computation.
If your plan does not include Fixed Assets, keep a depreciation schedule in a spreadsheet and post one recurring journal per asset class. When an asset is sold or written off, record it in the same month so the register and the balance sheet agree.
Which reports should you review before you lock the month?
Reports are where you catch posting errors. Run them on the accrual basis for management review, and on the cash basis too if your tax filing uses it.
- Trial Balance: confirms debits equal credits and shows every account at a glance.
- Profit and Loss: compare with the previous month and budget; investigate large swings.
- Balance Sheet: check that suspense, clearing and undeposited funds accounts are near zero.
- AR Aging and AP Aging: agree totals to the balance sheet and follow up old items.
- General Ledger or Account Transactions: drill into any account that looks wrong.
- Activity Logs: scan for edits or deletions dated in the period you are closing.
How does tax return preparation differ by region?
Zoho Books is sold in country editions, and the tax tools differ. Prepare the return after reconciliation and accruals, but before you lock the period, so any tax adjustment lands in the right month.
- USA: the Sales Tax Liability report shows tax by state on a cash or accrual basis, and Zoho Books lists an Avalara AvaTax integration. File with each state as required, then record the payment in Books.
- Canada: the Canadian edition tracks GST/HST and PST. Reconcile the tax accounts to the returns you file with the CRA and provincial authorities.
- UK: you can generate a VAT return, review the box amounts and submit it to HMRC directly from Zoho Books after granting permission, in line with Making Tax Digital.
- UAE: Zoho states that Zoho Books is recognised by the Federal Tax Authority as a Digital Tax Integrator, so you can lock the return and submit the VAT 201 to EmaraTax from within the software.
- Saudi Arabia: the Saudi edition supports ZATCA e-invoicing; check e-invoice status before preparing the VAT return.
- India: you can push GSTR-1 transactions to the GST portal and file using an OTP after enabling API access on the portal. Reconcile e-invoices first if e-invoicing is on.
Features vary by edition, so confirm availability for your country in the Zoho Books help pages.
How do you lock the period with Transaction Locking?
Transaction Locking stops anyone from adding, editing or deleting transactions dated on or before a lock date. You find it under Accountant > Transaction Locking. You can set separate lock dates for Sales, Purchases, Banking and Accounts, or lock all modules with one date. Every lock, change or removal needs a reason, which gives you a record for the auditors.
If a correction is needed later, Partial Unlock opens a specific date range for a fix, again with a reason. Note the restrictions in Zoho's documentation: locking can be blocked when negative stock exists, and partial unlock is not allowed for organisations that track inventory items.
What mistakes slow down the month-end close?
- Leaving bank feed items uncategorised until month end instead of clearing them weekly.
- Not reversing accruals, so costs are counted twice when the real bill arrives.
- Skipping the lock, which lets late edits change figures already reported.
- No named owner for each checklist step.

Frequently asked questions
How long should a month-end close take in Zoho Books?
It depends on volume and how clean the books are during the month. Teams that categorise bank feeds weekly and use recurring journals usually spend most of the close on review rather than data entry. Track how many days each close takes and remove the steps that cause rework.
Can I reopen a locked month in Zoho Books?
Yes. You can edit the lock date or use Partial Unlock to open a specific date range for corrections, entering a reason each time. Partial unlock is not available for organisations that track inventory items, so plan inventory corrections before you lock.
Does Zoho Books calculate depreciation automatically?
On plans that include the Fixed Assets module, yes. Once an asset is marked active, Zoho Books creates depreciation journals based on the method, frequency and asset life you set. On other plans you post depreciation yourself, ideally with a recurring journal per asset class.
Should I run reports on cash or accrual basis at month end?
Use accrual basis for management reporting because it matches income and costs to the period. Run cash basis as well if your tax filing uses it, as some smaller businesses do for sales tax or VAT. Zoho Books lets you switch the report basis on most reports.
