How Do You Switch Zoho Partners Mid-Project? A UK Guide
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
You can change Zoho partners at any point. First make sure someone in your company owns the Zoho account and holds administrator access. Then export your data, collect documentation and integration details, remove the old partner's users, and ask Zoho to untag the partner if needed. The new partner should audit before building anything.

This guide is for UK business owners and managers whose Zoho project has stalled, or whose partner has stopped responding, and who want to move the work to someone else without losing data or control. It is based on questions that come up on the Zoho Community, such as owners who cannot remove a partner who added himself to their CRM. You will learn what to secure first, how partner tags work, how a new partner should take over, and the UK points to cover in the handover.
When is it time to change your Zoho partner?
Changing partner costs time, so it is worth being clear on the reason. These signs usually mean the relationship is not going to recover:
- Deadlines slip repeatedly and there is no written plan showing what is left.
- You cannot get a straight answer on what has been built or why.
- Changes are made directly in your live account with no testing.
- Invoices arrive for work you cannot see in the system.
- The person who understood your setup has left and nobody has replaced them.
If the problem is one of these, a frank conversation and a written recovery plan may be enough. If the partner cannot produce that plan, start preparing to move.
Be fair about your own side too. Projects also stall when nobody inside the business signs off designs, test data never arrives or the scope keeps growing. A new partner will hit the same problems unless you fix them, so name an internal owner with time set aside for the project.
What should you secure before you tell the current partner?
Do this quietly and calmly. The aim is to make sure your business, not the partner, controls the account.
- Check who the account owner is. In Zoho One the Organization Owner can only be transferred by the current owner; if that person has left, Zoho's help pages say to contact Zoho One support. In Zoho CRM, check who holds the Super Administrator role.
- List every user with the Administrator profile under Setup, Security Control, Profiles, and make sure at least two are your own staff.
- Export your key modules and keep a dated copy outside Zoho.
- Export the audit log from Setup, Security Control, Audit Log. Zoho CRM keeps three years of entries and lets administrators export them as CSV.
- List every integration: connections, API credentials, webhooks and third-party apps, and who registered each one.
- Ask for all documentation, including field lists, workflow descriptions and any Deluge code kept outside Zoho.
How do you remove a partner from your Zoho account?
There are two separate things to remove, and people often mix them up.
The first is user access. If the partner's staff were added as users, an administrator can deactivate them in the user settings of each app. Do this once you have your exports and documentation.
The second is the partner tag. Zoho's partner help pages say a partner tagged to your account can manage your subscription but cannot access your apps or business data through that tag. On the Zoho Community, Zoho has said that requests to untag or remove a partner are validated by its team, and asked customers to email partner-operations@zohocorp.com.
Check who pays for your licences too. Zoho's Partner Store documentation explains that when a partner upgrades an account using its own card, the account is tagged so that later upgrades can only be made through the partner. If that applies to you, settle the billing arrangement before the relationship ends.
How should a new partner take over a half-built setup?
A new partner should not start building on day one. The first job is an audit of what exists, what works and what is half finished. When you look for a Zoho partner for UK businesses to take over, ask them to describe this audit before you sign anything.
Where your edition allows, changes should be built and tested in a sandbox before going live. Zoho CRM Enterprise includes Configuration sandboxes and Configuration-and-Data sandboxes, and Ultimate adds a Full-Data sandbox. On lower editions, testing needs more care in the live account.
| Item | Who should hold it | Why it matters |
|---|---|---|
| Account owner or Super Administrator | A director or senior manager | Ownership changes need the current owner |
| Administrator users | At least two staff members | Avoids being locked out |
| Data export | Your company | A fallback if anything is deleted |
| Audit log export | Your company | Shows who changed what and when |
| Integration credentials | Your company, in a password manager | Integrations break when a partner's login is removed |
| Build documentation | Your company and the new partner | Cuts the audit time |
What should UK businesses cover in the handover?
A few points are specific to working in the UK:
- UK GDPR: a partner that handles your customers' personal data acts as your processor and needs a written contract. When the contract ends, ask the old partner to confirm in writing that they have deleted or returned any copies of your data.
- Contract notice: read the termination clause before you give notice, especially any minimum term or prepaid hours.
- VAT: if the new partner is outside the UK, ask your accountant how their invoices are treated, as B2B services from overseas suppliers are usually handled under the reverse charge.
- Making Tax Digital: if Zoho Books is part of the setup, confirm the HMRC connection still works after old users are removed.
What mistakes make a partner switch harder?
Most of these come from rushing. A week spent securing access and documentation usually saves far more time later.
- Removing the old partner's users before collecting documentation and integration details.
- Letting the integration that posts invoices or leads run under a departing partner's login.
- Asking the new partner to finish the old plan without checking whether the plan was right.
- Switching partner and edition at the same time, which doubles the variables.
- Skipping a data export because "Zoho keeps everything anyway".
How does Flowpeak take over stalled Zoho projects?
Flowpeak works remotely from Chennai, India, with UK clients over video calls in the overlap between UK mornings and our afternoons. When we take over a project, we start with a written audit of what exists, then agree a recovery plan with clear priorities before we change anything in your live account. Where something works, we keep it. Where it needs rebuilding, we explain why in plain language and test the change before it reaches your users.
Rescue and takeover work is quoted in writing after a free scoping call, because the effort depends on what was built. If your project has stalled and you want a second opinion, Book a free call.

Frequently asked questions
Can I change Zoho partner without losing my data?
Yes. Your data stays in your Zoho account, not with the partner. The risk is losing access or knowledge, not records. Make sure your own staff hold administrator rights, export key modules, and collect documentation before removing the old partner's users.
Why can't I remove a partner from my Zoho account myself?
A partner tag links your subscription to the partner and is managed by Zoho. Zoho has said these requests are checked by its team before processing, and has asked customers to write to its partner operations address. Partner user accounts, by contrast, can be deactivated by your own administrator.
Does a new partner need to rebuild everything?
Usually not. A good partner audits first and keeps what works. Rebuilding is only sensible where the data model is wrong, for example when the same information is stored in several modules, or when automations conflict and nobody can explain them.
How long does a partner handover take?
It depends on how much was built and how well it was documented. Securing access and exports can often be done within days. The audit and recovery plan take longer for setups with many integrations, Blueprints or custom functions, so ask for a written estimate after scoping.
