If Zoho feels slow, messy or ignored by your team, an audit tells you why and what to fix first. You can run a quick version yourself with the checklist below or with our free health check, then decide whether you need help.

1. Users, roles and security

  • List active users and remove people who have left
  • Check roles and profiles match job responsibilities
  • Turn on two-factor authentication for all users, admins first
  • Review who can export or delete data

2. Data quality

  • Count duplicates in contacts, accounts and items
  • Find fields nobody fills in and fields with free text that should be pick lists
  • Check required fields are actually required
  • Spot-check ten records end to end against reality

3. Automation and Deluge scripts

  • List every workflow rule, blueprint and custom function
  • Note what triggers each one and what it changes
  • Find failed executions in the logs
  • Assign an owner to each custom function and document it

4. Integrations

  • List every connection between Zoho apps and other tools
  • Check for sync errors and duplicate records created by integrations
  • Find places where data is still typed twice

5. Reports and dashboards

  • Ask managers which numbers they trust and which they rebuild in spreadsheets
  • Compare a few report totals with a trusted source
  • Remove reports nobody opens

6. Adoption

  • Ask each team where they still work outside Zoho and why
  • Check login activity by user
  • Plan short role-based refreshers

How to prioritise the fixes

Fix security gaps first, then anything that breaks data or loses revenue, then adoption blockers, then nice-to-have improvements. A list of five fixes done well beats fifty half done.
