Zoho Social Guide 2027: Scheduling, Approvals and CRM for Agencies
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho Social lets brands and agencies publish to channels such as Facebook, Instagram, LinkedIn, X, YouTube and Google Business Profile from one calendar, route posts through approvers, monitor mentions and reviews, and report results. Agency plans add client portals for approvals and reports. Lead capture into Zoho CRM depends on your plan and, for ad leads, a separate tool.

This guide is for marketing managers at growing brands and owners of small agencies who are evaluating Zoho Social or tidying up an existing account. You will learn which channels it supports, how scheduling and queues work, how to set up approvals so nothing goes live unchecked, what you can monitor and report on, how social activity and ad leads reach Zoho CRM, and how agencies manage several clients with branded portals. Zoho changes plan contents and channel support from time to time, so we point to Zoho's own pages and suggest you confirm details for your edition.
Which plans and channels does Zoho Social cover?
Zoho Social has business plans (Free, Standard, Professional and Premium) and agency plans (Agency and Agency Plus). Business plans start with one brand (Zoho lists brand add-ons on Professional), while agency plans are built around several client brands. Approvals, CRM integration and client portals sit in the higher plans, so check Zoho's pricing page for your region before you promise a workflow to a client.
Zoho's channels page lists Facebook, Instagram, X, LinkedIn, Google Business Profile, YouTube, Pinterest, TikTok, Threads, Bluesky, Mastodon, WhatsApp, Snapchat, Telegram and Arattai. Publishing and monitoring support differ by channel, as the table shows.
| Channel | What you can monitor |
|---|---|
| Facebook Page | Page mentions, reviews and page search |
| Hashtag searches and tagged posts | |
| X | Mentions, timeline, likes, keyword and user searches, lists |
| LinkedIn Company Page | Mentions |
| Google Business Profile | Reviews |
| YouTube | Likes, dislikes, playlists and comment moderation |
| Bluesky | Timeline, likes, keyword and user searches |
Zoho notes that Facebook Groups cannot be monitored because of API restrictions.
How do scheduling and publishing work?
You plan everything in the Publishing Calendar, where you can preview planned posts, see what has gone out and drag posts to new dates. Content Queues let you set fixed time slots so posts drop into the next free slot, and SmartQ picks times when Zoho expects your audience to be most active.
To keep the calendar full, you can pull ideas from RSS feeds and save links from the web with the zShare browser extension. There are iOS and Android apps for posting and replying on the move. Zoho also says Zia can draft or rephrase replies in the inbox.
A simple rhythm works for most brands: one planning session a week, posts queued two weeks ahead, and a short daily check of messages and mentions. Write each post for its channel rather than pasting the same text everywhere, because character limits and audiences differ.
How do you set up approvals so nothing goes live unchecked?
Use roles. Portal Admins and Brand Admins can approve by default and can name other Approvers for a brand. Approvers can approve, edit or reject posts and must have publishing permission on all the brand's connected channels. Give junior staff, freelancers or interns the Limited Publisher role, so they can only save drafts and send them for approval.
When a post is sent for approval, Zoho emails every Approver on that brand, and any one of them can approve or reject it. The approver can then publish now or add the post to the queue. Zoho's help describes a single approval stage, so if you need legal and brand sign-off in sequence, agree an internal rule on who approves which content. You can also create custom roles in Settings.
What can you monitor and report on?
The listening dashboard tracks @mentions, keywords and reviews in columns you set up per channel, and a live stream shows engagement as it happens. Direct messages can be answered from inside Zoho Social. Zoho's pricing page shows that the number of monitoring columns grows with the plan.
For reporting, Zoho lists follower demographics, content performance and custom reports with charts. You can schedule reports to reach your team or clients on a set frequency. Pick three or four measures that link to business goals, such as clicks to your site, enquiries by direct message and review response time, rather than reporting every number.
How does Zoho Social capture leads into Zoho CRM?
Zoho's pricing page places the Zoho CRM integration in Premium, and the agency plans build on Premium features. Connected channels show up as brands in the CRM Social tab, and Zoho's help currently says the CRM integration works only for a Facebook company page and an X (Twitter) profile, connected in both products. This gives sales context on social interactions with known leads and contacts.
For ad leads, check the date you signed up. Zoho says the Lead Forms module was deprecated for Zoho Social accounts created from April 19, 2024. Zoho now points to LeadChain, a separate extension from the Zoho CRM and Bigin marketplaces with its own subscription. Zoho lists Facebook, LinkedIn, TikTok and Snapchat lead ads, Google Ads lead forms and WhatsApp as LeadChain sources. Our lead sources and ads integration FAQ covers the wider options.
What does a sensible Zoho Social rollout look like?
Roll out in a fixed order so roles and approvals are in place before anyone publishes.
- Confirm your plan covers the channels, approvals and CRM features you need.
- Create one brand per business or client and connect its channels with an admin login for each network.
- Invite team members and assign roles, giving Limited Publisher to anyone whose posts need review.
- Add Approvers per brand and agree in writing who signs off which content.
- Set Content Queue time slots or switch on SmartQ, then load two weeks of posts.
- Set up monitoring columns for mentions, keywords and reviews on each channel.
- Link Zoho CRM if your plan includes it, and decide whether you need LeadChain for ad leads.
- Schedule a weekly report to managers or clients and review it after the first month.
How should agencies manage several clients?
Set up one brand per client and invite each client to your branded portal. Zoho's pricing page lists 10 clients on Agency and 20 on Agency Plus, with add-ons for more, and free client logins. Clients can view dashboards and reports and take part in discussions and approvals, which replaces long email threads about drafts.
Add your logo and favicon so dashboards and scheduled reports carry your brand. You can use a default portal address based on your company name or request a custom domain, which Zoho says takes five to six business days to verify. Keep each client's approvers, queues and report schedules documented, so a new account manager can take over without guesswork.

Frequently asked questions
Can clients approve posts without a paid Zoho seat?
Zoho's pricing page lists free client logins on its agency plans. Clients invited to the portal can view reports and take part in approvals.
Can Zoho Social post to Instagram and TikTok?
Both appear on Zoho's list of supported channels. Features vary by network because each platform controls what its API allows, so test the post types you need.
Do I need LeadChain to get Facebook lead ads into Zoho CRM?
For Zoho Social accounts created from April 19, 2024, Zoho points to LeadChain for lead ad sync. Older accounts on eligible plans may still have Lead Forms, so check your account.
Can I see social conversations inside Zoho CRM?
Zoho says connected channels appear as brands in the CRM Social tab once both products are linked. Zoho currently limits this to a Facebook company page and an X profile.
Which Zoho Social plan does a small agency need?
Agency plans add client portals, branded reports and client approvals that business plans do not list. Compare current client limits and add-ons on Zoho's pricing page before you sign clients.
