This guide is for travel agency owners and operations managers in the UAE, UK, USA and India who want one CRM for enquiries, itineraries, quotes and bookings. It is also a practical answer for anyone searching for a CRM for a travel agency and weighing Zoho. You will learn the modules and fields to set up, how WhatsApp enquiries reach the CRM, how quotes and bookings are structured, how supplier payments and multi-currency fit with Zoho Books, and what differs by market. Feature details follow Zoho's own pages and help documents as of November 2026.
Is Zoho CRM a good CRM for a travel agency?
Yes, for most small and mid-sized agencies, as long as it is configured around trips rather than generic sales. Zoho CRM is not a booking engine or a GDS. It does not search fares or hold inventory. It manages the people, conversations, quotes and follow-ups around each trip, and connects to Zoho Books for invoices and supplier bills.
That split matters. Keep fares and availability in your booking tools and suppliers' systems, and use Zoho CRM as the record of who asked for what, what you quoted, what they accepted and what you still owe suppliers. Our Zoho for travel and tourism page shows how we scope this for agencies and tour operators.
Enquiries usually arrive through four channels: WhatsApp, a website form, email and the phone. Zoho CRM web forms create leads directly, Zoho's comparison page allows more forms per module on higher editions, and email can be captured into CRM through mailbox sync. Tag every lead with its channel from day one, so you can see later which channel produces paying trips and not just questions.
How should the enquiry to booking flow work in Zoho CRM?
Set up the flow as five stages, each owned by a module, so nothing lives in someone's inbox.
- Enquiry: every WhatsApp message, web form, email or call becomes a Lead with source, destination, travel dates, number of travellers and budget.
- Qualification: once the traveller confirms dates and budget, convert the lead into a Contact and a Deal. The deal is the trip.
- Itinerary: add each flight, hotel, transfer and tour as a line on the deal, using a subform or a custom Itinerary Items module linked to the deal.
- Quote: generate a Quote from the deal with one line per service, your selling price and terms, then email or WhatsApp the PDF. Use the quote validity date, because hotel and fare prices move.
- Booking and payment: when the traveller accepts, move the deal to Booked, record supplier references and deposit status, and push the invoice and supplier bills to Zoho Books.
A Blueprint on the Deals module can enforce this order, for example blocking the Booked stage until a deposit date is entered. Zoho lists Blueprint on Professional and higher editions, with limits by edition.
Example: a family of four asks on WhatsApp about Bali in April. The agent creates the deal, adds flights, two hotels, transfers and a day tour as itinerary items, and sends a quote in the family's currency. When they accept, the deal moves to Booked, deposit tasks are created, and each supplier cost is ready to record as a bill in Zoho Books.
Which fields and modules does a travel agency need?
Keep the build small. Most agencies need the standard modules plus one or two custom ones. Zoho's comparison page allows custom modules from the Standard edition, with more on higher editions.
| Module | Key fields | Purpose |
|---|---|---|
| Leads | Source, destination, travel dates, travellers, budget, WhatsApp number | Capture every enquiry |
| Contacts | Passport name, nationality, date of birth, preferences, loyalty numbers | Traveller profile reused on repeat trips |
| Deals (Trips) | Trip type, departure date, return date, currency, margin, stage | One record per trip |
| Itinerary Items (custom) | Service type, supplier, dates, cost, selling price, supplier reference | Line-level detail for each service |
| Quotes | Line items, validity date, terms, quote currency | Priced proposal sent to the traveller |
| Vendors | Supplier name, currency, payment terms, contact | Hotels, DMCs, airlines, transfer firms |
Store passport and date-of-birth data only if you need it, restrict it with field-level permissions, and confirm your data protection obligations with a lawyer in each market you serve.
How do WhatsApp enquiries reach Zoho CRM?
Zoho CRM has a built-in WhatsApp Business integration. Zoho's help pages say it is available in the trial and all paid editions, and needs a verified Meta business, a WhatsApp Business account and a phone number not already used on another WhatsApp product.
When set up, incoming messages appear in CRM, and you choose whether new senders are added as Leads or Contacts and who they are assigned to. Agents can reply from the record. Under WhatsApp's rules, a free-form reply is only possible within 24 hours of the customer's last message. After that, you must send a template that Meta has approved. Messages are charged per conversation, through credits.
For travel, create templates for quote ready, payment reminder and trip documents. Our WhatsApp and Zoho CRM setup guide covers the step-by-step configuration.
How do supplier payments and multi-currency work?
Handle the money side in Zoho Books, not in CRM fields. Books records supplier bills, part payments and deposits, and supports transactions in foreign currencies with exchange gains and losses. Zoho CRM also supports multiple currencies: Zoho's comparison page lists 5 active currencies on Standard, 10 on Professional, 25 on Enterprise and 50 on Ultimate.
A common pattern: quote the traveller in their home currency, record each supplier cost in the supplier's currency, and let Books convert at the exchange rate on each transaction. Your margin report then reflects the actual rates. Our Zoho Books multi-currency guide explains exchange rate setup and revaluation.
What changes for agencies in the UAE, UK, USA and India?
The CRM build is the same everywhere. Tax, consumer protection and licensing rules differ, so treat the points below as things to configure, and confirm the rules with an accountant or lawyer in your market.
- UAE: WhatsApp is often the main enquiry channel, and AED, USD and other currencies are common in one booking. Zoho Books supports UAE VAT setup. Many agencies here also run events or group travel, which fits the same deal structure.
- UK: if you sell packages, keep fields for ATOL or other protection references on the deal. Zoho does not issue protection certificates. Ask your accountant how VAT applies to your margin, including any special scheme for tour operators.
- USA: some states have seller-of-travel registration rules. Store your registration details on quote templates if your adviser says they are required, and set sales tax in Zoho Books only where it applies.
- India: GST and tax collected at source on some overseas packages may apply. Configure Zoho Books for Indian GST and ask your chartered accountant how to treat each product type.

Frequently asked questions
Can Zoho CRM search flights or hotels?
No. Zoho CRM is not a booking engine or GDS. It manages enquiries, quotes, bookings and follow-ups, while fares and availability stay in your booking tools and supplier systems.
Can I send WhatsApp messages to travellers from Zoho CRM?
Yes, through Zoho's WhatsApp Business integration. Free-form replies work within 24 hours of the traveller's last message, and after that you send Meta-approved templates.
Can one booking include suppliers paid in different currencies?
Yes. Record each supplier bill in its own currency in Zoho Books, and quote the traveller in theirs. Books handles conversion and exchange differences.
Should a small agency use Bigin instead of Zoho CRM?
Bigin is Zoho's simpler pipeline CRM and can suit a very small team. If you need custom modules, Blueprint or several active currencies, compare Bigin's current features with Zoho CRM's editions before deciding.
How do I bring repeat travellers back?
Store trip dates and preferences on the contact, then use workflow rules or cadences to send anniversary, birthday or seasonal offers by email or approved WhatsApp templates.
