This comparison is for owners and operations leads at professional services firms, construction and engineering businesses, and IT or managed services companies choosing a project management tool. It goes beyond the small agency case, which we cover in a separate answer. You will see how Zoho Projects, Asana and monday.com handle planning, resources, budgets, billing and client access, and how each vendor structures its pricing. Feature names come from each vendor's own website as of November 2026. All three change their plans often, so confirm details on their pricing pages before you decide.
Which tool fits which kind of company?
The short answer depends on where the money is made. If you bill clients for time or fixed-fee phases and already use, or plan to use, Zoho Books, Zoho Projects keeps timesheets, budgets and invoices in one family of apps. If your projects are mostly internal and you care most about linking work to company goals across departments, Asana is built around that. If you want to shape boards to almost any process and connect many outside tools, monday.com is designed for that.
Before you compare features, answer these questions for your business:
- Do we bill clients for time, phases or fixed fees, and where is the invoice raised today?
- Do clients or subcontractors need to see progress, files or approvals?
- Do we need to plan staff capacity across several projects at once?
- Do projects have hard dates and dependencies, or a changing backlog?
- Which other systems must the tool talk to: accounting, CRM, support, chat?
None of the three is a bad choice. The wrong choice is picking one for its interface and then finding that billing, client access or resource planning has to live somewhere else.
Your answers to the billing and client access questions usually narrow the field fastest. For a small creative or marketing agency, our answer on Zoho Projects vs Asana vs monday.com for a small agency is the quicker read.
How do the three compare on planning, resources and budgets?
All three offer list, board and timeline or Gantt views. The differences show up in budgets, baselines and how time links to money. The table uses the feature names each vendor publishes.
| Area | Zoho Projects | Asana | monday.com |
|---|---|---|---|
| Plan views | Gantt, Kanban, list, task dependencies | List, board, calendar, Gantt, timeline | Timeline with Gantt view, boards, multiple project views |
| Baselines and critical path | Project baseline and critical tasks (higher editions) | Check Asana's site for your plan | Check monday.com's site for your plan |
| Resource planning | Resource management and workload reports | Workload | Workload and resource views |
| Time and budgets | Timesheets with approvals, budgeting, planned vs actual cost | Time tracking, timesheets and budgets | Time tracking on higher plans; portfolio dashboard tracks budget and risk |
| Invoicing | Bills time and expenses through Zoho Books or Zoho Invoice | Through third-party integrations | Through third-party integrations |
| Portfolio view | Portfolio dashboard | Portfolios and Goals | Portfolio dashboard |
| Automation | Workflow rules, Blueprints, webhooks | Rules, AI Studio | Automations, monday workflows |
| AI | Zia in paid editions | Asana AI, AI Studio, AI Teammates | monday Sidekick, monday agents |
Edition matters a lot. In Zoho Projects, baselines, critical path and cross-project workload sit in Enterprise and above, according to Zoho's comparison page. Asana and monday.com also reserve some features for higher plans.
Which is best for professional services firms that bill time?
For consultancies, accountancies, law-adjacent services and IT services firms that bill by the hour, Zoho Projects has the most direct path from timesheet to invoice. Staff log time, managers approve it, and billable hours flow into Zoho Books, where the invoice, payment and accounts receivable live. Budgets compare planned and actual cost before you invoice.
Resource planning matters here too. Zoho Projects offers workload reports and resource management, with cross-project views on higher editions. Asana's Workload view and monday.com's workload and resource views do a similar job. Test each with your real team size and a month of real assignments, because these views behave differently once dozens of people and projects are involved.
Asana offers time tracking, timesheets and budgets, and monday.com offers time tracking on its higher plans and dashboards that track budget. Both rely on integrations with an accounting system for the invoice itself. That can work well, but it is one more link to maintain.
If billing is the deciding factor, read our guide to Zoho Books time tracking and project billing before you decide.
What about construction, engineering and IT teams?
Construction and engineering projects depend on dates, dependencies and documents. Look for Gantt charts with dependencies, baselines you can compare against, and a document store with version control. Zoho Projects offers all three, with baselines in higher editions. None of these tools replaces estimating, takeoff or site safety software, so plan how they connect.
IT and managed services teams often mix scheduled project work with incoming issues. Zoho Projects includes issue management alongside tasks, and Zoho Sprints covers Scrum and Kanban for software teams. Both are bundled in Zoho Projects Plus. Asana and monday.com handle requests through forms and boards. If your team runs formal sprints, our Zoho Sprints agile guide covers that side in detail.
How do client portals and external users differ?
All three let you bring outside people in, but the rules differ. Zoho Projects has client users and read-only users, with allowances that depend on the edition. Asana offers guest management for vendors, contractors and partners. monday.com lists guest access from its Standard plan upward for work management. Check each vendor's pricing page for whether guests use a paid seat.
Zoho also lists a custom domain for the client portal on its Enterprise and Ultimate editions, which some firms want so clients see their brand rather than Zoho's. Asana and monday.com handle external access inside their own workspace.
Before you choose, list who outside the company needs to see what: status only, files, comments, or approvals. That list often decides the edition more than internal needs do.
How is pricing structured, and what does switching involve?
All three price per user per month or year, with several plans and some add-ons. Zoho Projects has Free, Premium, Enterprise and Ultimate editions, and is also included in Zoho One. Asana and monday.com use tiered plans, and monday.com prices by team size with a minimum number of seats. We do not quote license prices because they change by region and promotion. Check each vendor's pricing page.
Switching takes planning. Export projects, tasks, users and files, map statuses and custom fields, decide how much history to bring, and run one pilot project first. We cover the steps on our Asana and monday.com migration pages, linked below.

Frequently asked questions
Is Zoho Projects cheaper than Asana or monday.com?
It depends on your team size, plan and region, and all three change prices. Compare the plan that has the features you need on each vendor's pricing page, not the entry plan.
Can Asana or monday.com send invoices to Zoho Books?
Not natively in the way Zoho Projects does. You would use an integration tool such as Zoho Flow or a connector, which adds setup and upkeep.
Which tool is best for a construction company?
Look for Gantt charts with dependencies, baselines and document version control. Zoho Projects offers these in higher editions, and all three need separate estimating and site software.
Can our software team use Zoho Projects for sprints?
Zoho Projects can handle tasks and issues, but formal Scrum teams are usually better served by Zoho Sprints. Both are bundled in Zoho Projects Plus.
Do we lose history when we switch tools?
You keep what you export and import. Most teams bring active projects in full and archive closed ones as files, which keeps the new system clean.
