Zoho for logistics companies in the USA: brokers, 3PLs and trucking
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho for logistics companies in the USA works best as the commercial and back-office layer: Zoho CRM for shipper and carrier relationships, Zoho Creator for load tracking and dispatch apps, Zoho Inventory for 3PL stock, and Zoho Books for invoicing and sales tax. Zoho is not a full TMS, so plan where load execution lives.

This playbook is for owners and operations managers at US freight brokerages, third-party logistics (3PL) warehouses and small trucking fleets. You will see which Zoho apps fit each part of the business, how a load moves from quote to delivered to paid, and where a custom Zoho Creator app makes more sense than a packaged tool. We also cover the US requirements to plan for, the integrations we have verified, such as UPS, USPS and EasyPost for Zoho Inventory, a realistic rollout in weeks, and the mistakes that slow brokers down.
Which apps does Zoho for logistics companies in the USA include?
Zoho does not sell a logistics-specific product in the US. Instead, you combine general apps and configure them for lanes, loads and carriers. That gives you more control than a freight CRM, at the cost of more setup.
| Business need | Zoho app | What it does |
|---|---|---|
| Shipper sales and lanes | Zoho CRM | Accounts, contacts, lanes, rate quotes and follow-ups |
| Carrier records | Zoho CRM custom module | MC/DOT numbers, insurance expiration, equipment, preferred lanes |
| Load tracking and dispatch | Zoho Creator | Custom app for loads, stops, status, driver assignment and documents |
| 3PL warehouse stock | Zoho Inventory | Warehouses, stock levels, sales orders, packages and shipments |
| Invoicing and carrier pay | Zoho Books | Customer invoices, bills, payments and US sales tax |
| Margin and lane reports | Zoho Analytics | Revenue, cost and margin by customer, lane or rep |
What is the best CRM for freight brokers, and where does Zoho CRM fit?
There is no single best broker CRM. Freight-native CRMs come with lanes and load fields out of the box, and some live inside a TMS. A general CRM such as Zoho CRM needs those fields built, but it handles prospecting, email sequences, tasks and reporting well and connects to Books and Creator.
For brokers we usually set up three linked modules: shippers (accounts), lanes (origin, destination, equipment, target rate) and carriers. Reps see every quote and load for a shipper on one page. Carrier compliance fields such as insurance expiration trigger reminders before a carrier is booked again.
Prospecting is where Zoho CRM earns its place. Reps can work call lists of shippers by lane or industry, log calls and emails, and run follow-up sequences, while managers see quotes sent, win rates and revenue per rep. Data from your website quote form lands straight in CRM, so no request sits in an inbox.
Can Zoho replace a TMS or load board?
Usually not entirely, and it is better to say so up front. A transportation management system handles load building, rating, tendering, tracking and settlement. Zoho Creator can build a load and dispatch app that covers much of this for a small fleet or brokerage, including status updates from a mobile app and document uploads for bills of lading and proof of delivery.
Larger brokers often keep their TMS and load boards, and use Zoho for sales, carrier relationships, accounting and reporting. We could not verify native Zoho integrations with specific TMS or load board products, so we treat each one as an API or Zoho Flow project after checking the vendor's documentation. See Zoho Creator development for what a custom dispatch app involves.
Creator can also give shippers a simple customer portal to see load status and download proof of delivery, which reduces check calls. Keep the first version small: loads, stops, statuses and documents. Add rating, tendering or settlement only after the team uses the basics every day.
How does a load move through Zoho from quote to cash?
This is the flow we design for a small brokerage or asset-light carrier that wants one record per load from quote to payment.
- A shipper asks for a rate; the rep logs the quote against the lane in Zoho CRM.
- On acceptance, a load record is created in the Creator app with stops, dates, equipment and the customer rate.
- Dispatch selects a carrier from CRM, checks insurance and authority fields, and records the carrier rate.
- The rate confirmation is sent for signature through Zoho Sign, and status updates come in from the driver or the carrier.
- Proof of delivery is uploaded to the load. This triggers the customer invoice in Zoho Books.
- The carrier bill is entered in Books for payment, and margin is calculated per load.
- Managers review margin by lane, customer and rep in Zoho Analytics each week.
Can Zoho Inventory handle 3PL warehousing in the US?
Zoho Inventory supports multiple warehouses, stock transfers, sales orders, packages and shipments. In the US it integrates directly with UPS and USPS, and with FedEx, Canada Post, OnTrac and others through EasyPost, according to Zoho's help guide.
Inventory is designed for a business tracking its own stock. A 3PL holding goods for many clients needs a careful design, such as separate warehouses or item codes per client, and client billing for storage and handling built in Books or Creator. Test this with real client data before you commit. Our guide to multi-warehouse setup in Zoho Inventory explains the warehouse options.
What US requirements and integrations should logistics firms plan for?
Zoho stores records and documents; your attorney and accountant confirm what the law requires of you.
- Broker and carrier authority: keep MC and USDOT numbers, insurance certificates and W-9s on carrier records, with expiration reminders.
- Hours of service and ELDs stay in your ELD provider. Zapier lists a Samsara to Zoho CRM connection; check any other telematics vendor's own integration list.
- Sales tax: freight and warehousing charges are taxed differently by state. Zoho Books has US sales tax features, and Avalara can be added for multi-state rates.
- Data: Zoho runs a US data center for US accounts; check where your Zoho data is stored before you sign up.
- Payment terms: record customer terms and carrier quick-pay options in Books so invoices and bills follow them.
What does a rollout take, and what mistakes should you avoid?
CRM for shipper sales is usually live within two weeks. Adding a Creator dispatch app, Books and Analytics typically takes six to twelve weeks. Flowpeak, a registered Zoho partner with Zoho-certified consultants, works remotely in US business hours and quotes a fixed price in writing, paid by milestone, with 30 days of free fixes after go-live. CRM setup starts from USD 500.
A typical plan: weeks one and two for CRM shippers, lanes and carriers; weeks three to six for the Creator load app and mobile testing with dispatchers; weeks seven to nine for Books invoicing, carrier bills and sales tax; then Analytics dashboards. If you run a 3PL warehouse, add Inventory setup and a stock count before go-live.
- Building a full TMS in Creator when a TMS plus Zoho for sales and accounting would cost less.
- Storing carrier insurance as attachments with no expiration date field.
- Invoicing from the load app and Books separately, so totals never match.
- Importing years of old loads before agreeing on the lane and status fields.

Frequently asked questions
Is there a free CRM for freight brokers?
Zoho CRM has a free edition for very small teams, but it has no freight fields out of the box. Most brokers need a paid edition to add custom modules for lanes and carriers.
Which Zoho app should a small trucking company start with?
Start with Zoho Books for invoicing and bills, then add Zoho CRM for customers. Add a Creator dispatch app once the basics are steady.
Can drivers update load status from a phone?
Yes. Zoho Creator apps run on mobile, so drivers or dispatchers can update status and upload proof of delivery photos from a phone.
Does Zoho connect to ELD or telematics systems?
Zapier lists a Samsara connection for Zoho CRM. For other ELD vendors, check their own integration list or plan an API project.
Can Zoho calculate margin per load?
Yes, if the customer rate and carrier cost are recorded on the load. Zoho Analytics or Creator reports then show margin by load, lane, customer and rep.
