Zoho CRM Roles and Profiles: A Practical Data Security Setup Guide
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho CRM roles and profiles work together: roles decide whose records a user can see, based on the role hierarchy, and profiles decide what the user can do, such as create, edit, export or change settings. Data sharing settings, sharing rules and field-level security then fine-tune access by module, team and field.

This guide is for owners, sales managers and CRM admins who need the right people to see the right records, and nothing more. You will learn the difference between roles and profiles, how the four default sharing levels behave, when to use sharing rules, groups and territories, how to hide sensitive fields, and which controls sit on which edition. We finish with a model setup for a typical sales team and a test plan. Facts follow Zoho's help pages and edition comparison as of November 2026.
What is the difference between Zoho CRM roles and profiles?
A role is a position in your hierarchy. Zoho's default roles are CEO and Manager, and you add more, such as Sales Manager and Sales Rep. Users in a higher role can see records owned by users in roles below them. A profile is a set of permissions: which modules a user can open and which actions they can take.
Every user has exactly one role and one profile, and the two are independent. Two reps can share a role but have different profiles, for example one who may import data and one who may not. Roles are managed at Setup > Security Control > Roles and Sharing, and profiles at Setup > Security Control > Profiles.
| Control | Question it answers | Where it lives |
|---|---|---|
| Role | Whose records can this user see? | Security Control > Roles and Sharing |
| Profile | What can this user do with modules and features? | Security Control > Profiles |
| Default data sharing | What can everyone see in a module by default? | Roles and Sharing > Data Sharing Settings |
| Sharing rule | Which extra records should a role or group see? | Data Sharing Settings |
| Field-level security | Which fields can a profile see or edit? | Field permissions per profile |
How do profiles and permissions work?
Zoho ships two profiles, Administrator and Standard. Administrator has every permission, and Zoho says admins can see all users' data regardless of role. Standard covers daily work without admin settings. Zoho does not let you change most permissions in these system profiles, so the usual approach is to clone Standard and edit the copy.
Permissions you will touch most often include module access (view, create, edit, delete), Change Owner, Mass Email, Manage Custom View, Manage Templates, CRM Mobile Apps access under extension permissions, and the Setup permissions that control who can change configuration. Keep the number of administrators small; it is the widest door in the system.
- Sales Rep profile: work own pipeline, no import, no mass email, no setup.
- Sales Manager profile: as above plus Change Owner, reports and custom views.
- Operations profile: read deals, edit orders and accounts, export only if needed.
- Admin: two named people at most, ideally with two-factor sign-in.
How do data sharing settings and sharing rules work?
Each module has a default access level, set under Setup > Security Control > Roles and Sharing > Data Sharing Settings, on the Default Organization Permissions tab. Zoho lists four options: Private (only the owner and their superiors), Public Read Only, Public Read/Write (no delete) and Public Read/Write/Delete.
Zoho is clear about the order of rules. If a module is set to Public Read/Write or Public Read/Write/Delete, the role hierarchy and sharing rules do not apply. Sharing rules can only extend access beyond the default, never restrict it. So set sensitive modules to Private first, then open up with rules.
Sharing rules give a role, a role and its subordinates, or a group access to records owned by another role or group, or to records matching criteria. Zoho also notes that within a role, users do not see each other's records unless Share Data with Peers is on, and that setting takes precedence over sharing rules. Forecasts always stay private.
Groups help when access does not follow the hierarchy. Zoho lets a group include users, roles and other groups, for example a Key Accounts team drawn from three regions, and sharing rules can then open records to that group. Territories go further on Enterprise and Ultimate, giving access by region or segment alongside the role tree. Zoho lists groups from Standard upward and territories from Enterprise.
Which security features does each Zoho CRM edition include?
Many controls depend on your edition. The table shows the limits Zoho's comparison page listed in November 2026. Confirm on Zoho's own comparison page before you buy, because limits change; our guide to Zoho CRM pricing plans explains where each edition fits.
| Feature | Standard | Professional | Enterprise | Ultimate |
|---|---|---|---|---|
| Profiles | 5 | 15 | 25 | 200 |
| Roles | 5 | 25 | 250 | 500 |
| Groups | 20 | 30 | 50 | 250 |
| Public Read Only default | No | Yes | Yes | Yes |
| Field-level security | No | Yes | Yes | Yes |
| Data sharing rules | No | No | 25 per module (10 criteria-based) | 100 per module (15 criteria-based) |
| Territory management | No | No | 150 territories | 250 territories |
| Record sharing | No | No | Yes | Yes |
| Field data encryption | No | No | 10 fields per module | 20 fields per module |
Zoho lists audit logs and allowed IPs from Standard upward, and two roles and two profiles on the Free edition. If you need sharing rules or territories, Enterprise is the practical floor. Make audit log review a habit: it shows who changed settings and data, which is the first place to look when something goes wrong.
How do you hide sensitive fields with field-level security?
Field-level security sets, per profile, whether each field is Read and Write, Read Only or Don't Show. Use it for cost price, margin, commission, salary or bank details. A rep can then open a deal without seeing your margin, while finance sees everything.
Set the permission on the field itself, then log in as a test user and check list views, reports and exports before go-live, so nothing leaks through a view you forgot. For identifiers that must be protected at rest, Enterprise and Ultimate also offer field encryption on a limited number of fields per module.
What is a sensible roles and profiles setup for a sales team?
Most growing B2B teams need fewer roles than they think. Model reporting lines, not job titles. Here is a pattern that suits a team of five to forty users.
- Roles: CEO > Sales Director > Regional Managers > Sales Reps, with Operations and Finance as separate branches under the CEO.
- Set Leads, Contacts, Accounts and Deals to Private; set Products to Public Read Only.
- Turn Share Data with Peers off for reps and on for an inside sales pod that shares one queue.
- Clone Standard into Rep, Manager and Operations profiles with only the permissions each needs.
- Hide cost and margin fields from the Rep profile with field-level security.
- On Enterprise, add a sharing rule so Operations can read all Deals, and use territories for regional splits.
- Log in as a test user in each role and check what they can and cannot see.
For territory-based ownership, see our answer on assigning deals to sales reps by territory. Review access every quarter, and whenever someone changes role or leaves.

Frequently asked questions
Can a Zoho CRM admin see everyone's records?
Yes. Zoho says users with the Administrator profile can view other users' data regardless of their role. Keep the number of admins small for that reason.
Can I edit the default Standard profile?
Only a few permissions. Zoho recommends cloning the Administrator or Standard profile and customizing the copy.
Why can a rep see a colleague's leads?
Usually the module's default sharing is Public, or Share Data with Peers is on for their role. Check Data Sharing Settings first, then the role settings.
Can sharing rules hide records from users?
No. Zoho states that sharing rules only extend access beyond the default organization permissions. To restrict, set the module to Private and open access selectively.
Does field-level security work on the Standard edition?
Zoho's comparison page lists field-level security from Professional upward. On Standard, use separate layouts and training, or plan an upgrade.
