Zoho AI and Data Privacy in 2027: GDPR, UAE, Saudi and US Rules

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Zoho says its own Zia models run in Zoho's data centers, are not trained on customer data and are switched on by admins. Privacy risk rises when you connect outside models such as ChatGPT or Claude, because their terms then apply. Check your local law, your data center and each feature's data flow before turning AI on.

This guide is for owners, operations heads and IT managers in the EU, UK, UAE, Saudi Arabia, the USA, Canada and India who want to use Zoho AI in 2027 without creating a privacy problem. It explains what Zoho states about how Zia and Zia LLM handle data, which data center regions Zoho runs, what changes when you connect an outside AI model, and what to check under the main regional laws. It is a practical starting point, not legal advice, so confirm your obligations with a qualified lawyer.

How do Zoho's own AI features handle my data?

By default, Zoho's AI runs on Zoho's own stack. In its July 2025 Zia LLM announcement, Zoho said customers can use AI while keeping data on Zoho servers, and that its models are not trained on customer data and do not retain customer information. Zoho's Zia privacy principles, published in its help center, add that Zoho does not use customer content, prompts or outputs to train its models, and does not sell that data or use it for advertising.

Two controls matter in practice. First, Zia's AI processing is opt-in for many apps: an administrator has to enable it and can switch features off at any time. Second, Zoho limits what is processed. Zoho CRM's help pages say record fields are processed individually rather than whole records, and personal, sensitive and PHI-encrypted fields are excluded from its generative models.

What changes when I connect ChatGPT, Claude or Gemini?

When you connect an outside model, the content used in each request leaves Zoho and goes to that provider. Zoho is clear on this: for bring-your-own-key connections, the provider's terms govern data handling and training, and your organization must review and accept them.

Zoho's CRM help page also notes that providers differ, for example in whether they may retain interactions for model improvement unless you opt out. So the outside provider becomes another processor in your data map, with its own regions, retention periods and contract terms.

Zoho MCP works the other way round: an outside assistant reaches into Zoho. Zoho says MCP uses OAuth and agents act under user-level permissions, so the assistant sees only what the connecting user can see. Whatever it reads is then processed by that assistant's provider. Our post on Zoho CRM AI integrations explains the integration options in more detail.

Where does Zoho store data, and where does Zia LLM run?

Zoho runs regional data centers, and the one you use is set by the country chosen at sign-up. Zoho's data center page lists the US, Europe (Netherlands and Ireland), India, Australia, Japan, Canada, Saudi Arabia, the UAE, Singapore and China. The page does not list a separate UK region, so UK accounts commonly sit in the EU data center; check your own account.

Zoho first deployed Zia LLM in its US, India and Europe data centers. AI feature availability can differ by data center, and Zoho has released some features to US accounts first. If you are on the UAE, Saudi, Canadian or Australian data center, confirm which AI features are live for you and where their processing happens. Our guide on where Zoho data is stored for US businesses covers the US side.

What should I check in each region before switching AI on?

Most privacy laws ask similar questions: what personal data is used, for what purpose, by which processors, in which country, and whether people can object to automated decisions. The table lists the main points to raise with your lawyer by region. Laws and dates change, so treat it as a checklist, not a ruling.

Regional checks before using AI on Zoho data
RegionMain lawsWhat to check
EUGDPR; EU AI ActLawful basis for AI processing, Zoho's data processing addendum, outside model providers as sub-processors, transfers outside the EU, and whether any use (such as hiring) is high-risk under the AI Act. EU lawmakers agreed in 2026 to push key high-risk dates to December 2027; confirm the final text
UKUK GDPR; Data Protection Act 2018 as amendedWhich data center holds your data, transfer safeguards for outside model providers, and rules on solely automated decisions
UAEFederal PDPL (Decree-Law 45 of 2021); DIFC and ADGM rules for free-zone firmsWhich regime applies to you, consent and purpose, and cross-border transfer conditions if an outside model processes data abroad
Saudi ArabiaPDPL, enforced by SDAIA since September 2024Transfer rules for data processed outside the Kingdom, records of processing, and whether the Saudi data center covers the AI features you use
USACCPA/CPRA and other state privacy laws; California ADMT rules; Colorado AI lawCalifornia's automated decision-making rules apply from 1 January 2027 for covered businesses; Colorado rewrote its AI law in 2026 with a 2027 start date. Check notices, opt-outs and risk assessments where AI informs significant decisions
CanadaPIPEDA; Quebec Law 25Consent, transfer disclosures and Quebec's notice duty for decisions made solely by automated processing
IndiaDPDP Act 2023; DPDP Rules 2025Notice and consent records, and the phased deadlines, with most duties due by around May 2027

Two patterns run across every region. First, AI used on employee and applicant data tends to draw the most scrutiny, so take extra care with agents in Zoho Recruit and Zoho People. Second, transfers matter more than hosting. Keeping Zoho data in-region helps little if an outside model then processes it in another country, so record where each provider runs.

If you operate in several regions, apply the strictest rule you face as your default policy. It is simpler to run one careful setup than to configure each country differently.

What practical steps should we take before enabling Zoho AI?

Do these steps once, write down the result, and repeat them whenever you add a new model or agent.

  1. Map the data. List which Zoho apps and fields each AI feature or agent will touch.
  2. Confirm your data center and which AI features run there.
  3. Decide your model policy: Zoho's own model only, or named outside models for named tasks.
  4. For each outside provider, review its business data terms, retention and region, and record it as a processor.
  5. Exclude sensitive fields and restrict agent profiles to the minimum data they need.
  6. Update privacy notices if AI is used on customer or employee data.
  7. Keep a human decision in hiring, credit, pricing and other significant decisions.
  8. Keep the Zia admin switch with a named owner, and review settings quarterly.

Does using Zoho make my AI use compliant?

No software makes you compliant on its own. Zoho provides controls, such as regional hosting, admin switches, field exclusions, permission-based agents and a data processing addendum, but how you use AI decides whether you meet the law.

Zoho's controls also only cover Zoho. Once data reaches an outside provider, a spreadsheet export or a staff member's personal AI account, Zoho's commitments no longer apply. A written AI use policy for staff closes that gap.

Your lawful basis, notices, consent records, transfer assessments and risk assessments are your responsibility. Confirm your obligations with a qualified privacy lawyer in each country where you hold customer or employee data, and check Zoho's own privacy and trust pages for its current commitments.

Frequently asked questions

Is my Zoho data used to train AI models?

Zoho states that it does not use customer content, prompts or outputs to train its models. If you connect an outside model with your own key, check that provider's training and retention terms.

Can I keep Zoho AI processing in the EU?

Zoho says Zia LLM was deployed in its Europe data center, so accounts there can use Zoho-hosted AI. Outside models may process data elsewhere, so check each provider's regions.

Does Zoho have a data center in the UAE and Saudi Arabia?

Yes. Zoho lists data centers in Dubai and Abu Dhabi for the UAE, and Riyadh and Jeddah for Saudi Arabia. Confirm which AI features are available on those data centers.

Do I need to tell customers we use AI in our CRM?

Often yes, especially where AI informs decisions about them or new processors receive their data. Your lawyer can tell you what your privacy notice needs to say.

Can I turn Zoho AI off for some users?

Admins control Zia settings and can enable or disable features and models. Agents can also be limited to narrow profiles so they see only certain modules and fields.
