This guide is for owners, operations heads and finance leads choosing accounting software for 2027 in the USA, Canada, the Gulf, the UK and Europe, or India. Flowpeak is a registered Zoho partner, so we use Zoho Books every week. We have still kept this list fair: each product is listed with who it suits and where it falls short, including Zoho Books. You get our ranking criteria, a comparison table, a short review of each tool with regional tax notes, a decision list and what implementation involves. We have left out licence prices because they change often; check each vendor's pricing page for your region.

How we ranked these accounting software options

We checked each product on its vendor's own website and help pages and scored it on six criteria. No vendor paid for a place.

  1. Regional tax fit: US sales tax, Canada GST/HST, UK Making Tax Digital (MTD) for VAT, EU VAT, UAE VAT and corporate tax, and India GST with e-invoicing.
  2. Core accounting depth: invoicing, bills, bank reconciliation, multi-currency, inventory, projects and reporting.
  3. Automation and controls: approvals, workflow rules, custom fields and an audit trail your accountant can trust.
  4. Fit for size: a sole trader, a 20-person business and a 300-person group need different tools.
  5. Integrations and ecosystem: native links to CRM, inventory, payroll and payments, plus an app marketplace and API.
  6. Total cost of ownership: licences plus setup, add-ons, migration and the admin time needed to keep the books clean.

1. Zoho Books: best overall for growing businesses

Zoho Books ranks first because it covers more regional tax rules from one product than most rivals, and it scales from a free plan to editions with workflows, custom modules and Blueprints. Zoho runs separate country editions with local tax tools in the same interface.

It connects natively to Zoho CRM, Zoho Inventory and Zoho Payroll (where offered). What stands out:

  • Free plan: one user plus one accountant, as long as yearly revenue stays under Zoho's limit for your region. Paid editions run Standard, Professional, Premium, Elite and Ultimate.
  • Regional tax editions: HMRC-recognised for MTD for VAT and MTD for Income Tax in the UK; VAT returns through EmaraTax, corporate tax reports and accredited PINT-AE e-invoicing over PEPPOL in the UAE; IRN-validated GST e-invoices and e-way bills in India; GST/HST returns in Canada.
  • US sales tax: sales tax automation through an Avalara AvaTax integration, plus 1099 and W-9 management.
  • Workflow and approvals: sales and purchase approvals and workflow rules from Professional; custom modules, validation rules and custom buttons from Premium; Blueprints from Elite.
  • Multi-currency and projects: multi-currency, project profitability and timesheet billing from Professional.
  • Customer and vendor portals: a self-service customer portal on every edition and a vendor portal from Premium.
  • AI features: ask questions in plain English, spot anomalies and automate collections. Check which AI features your edition and data centre include.

Honest watch-outs: multi-currency, budgets, custom modules and warehouses are not on the lower editions, so map your process before you choose one. In the EU, confirm your country has a local edition with the VAT reports you file. The tax edition and data centre are set when the organisation is created, so decide early.

2. QuickBooks Online: best for US businesses with QuickBooks accountants

QuickBooks Online is the default choice for many US bookkeepers. Intuit lists Free, Simple Start, Essentials, Plus and Advanced plans in the US, with a set of Intuit AI agents for accounting, payments, payroll and sales tax, and more than 800 integrations. Canadian and UK versions handle GST/HST and MTD for VAT; features differ by country.

  • Choose it if: your accountant or bookkeeper already works in QuickBooks and wants you there too.
  • Choose it if: you are a US business that wants payroll, payments and sales tax tools from one vendor.
  • Skip it if: you want native CRM, inventory and HR apps from the same vendor without third-party add-ons.
  • Skip it if: you need workflow approvals and more users on a mid-range plan; many of these sit on Plus or Advanced.

Where QuickBooks beats Zoho Books: the size of its US accountant and app network. See our Zoho Books vs QuickBooks comparison for a side-by-side view.

3. Xero: best for UK, Australian and New Zealand small businesses

Xero is a cloud accounting favourite with UK and Australian accountants. Its UK plans all submit VAT returns to HMRC and are ready for MTD for Income Tax. It has an AI finance partner called JAX, more than 1,000 app integrations, and in the US it offers auto sales tax powered by Avalara.

  • Choose it if: your UK or Australian accountant runs their practice on Xero.
  • Choose it if: you want a large marketplace of niche add-on apps.
  • Skip it if: you want native CRM, inventory and payroll from one vendor.
  • Skip it if: you need Indian GST e-invoicing; Xero is not built for that market.

Where Xero beats Zoho Books: accountant adoption in the UK, Australia and New Zealand, and the depth of its app marketplace. Read our Zoho Books vs Xero comparison for more detail.

4. FreshBooks: best for freelancers and service businesses

FreshBooks started as an invoicing tool and still does it very well. It combines invoices with tracked time and expenses, online payments, proposals and project profitability. Plans run Lite, Plus, Premium and Select, there is a 30-day free trial rather than a free plan, and the AppStore lists more than 100 apps.

  • Choose it if: you bill clients for time and want invoicing that clients find easy to pay.
  • Choose it if: you want very little accounting jargon.
  • Skip it if: you hold stock or run several warehouses.
  • Skip it if: you need UAE VAT, Indian GST or multi-entity accounting.

Where FreshBooks beats Zoho Books: a simpler first-run experience for solo service providers who mainly need to send invoices and track time.

5. Sage Accounting: best for UK sole traders and small firms

Sage Accounting (part of Sage's small business cloud range) is HMRC-recognised for MTD for VAT and comes in Start, Standard and Plus plans. Small businesses get unlimited users, payroll is an add-on, and Sage has added Sage Copilot, its generative AI assistant, to its small business suite. Multiple currencies and inventory are on Plus only.

  • Choose it if: you are a UK sole trader or micro-business that wants a familiar UK brand for VAT returns.
  • Choose it if: you want unlimited users without paying per seat.
  • Skip it if: you sell in several currencies on a lower plan.
  • Skip it if: you need deep workflow automation or native CRM and inventory apps.

Where Sage beats Zoho Books: unlimited users and long familiarity among UK bookkeepers.

6. NetSuite: best for scaling mid-market and multi-entity groups

NetSuite is a full cloud ERP from Oracle rather than a small business ledger. It handles financial consolidation across subsidiaries and regions, revenue recognition under ASC 606 and IFRS 15, and tax management, with OneWorld for multi-subsidiary and multi-currency groups.

  • Choose it if: you run several legal entities in different countries and need consolidation every month.
  • Choose it if: you have a finance team and budget for a full ERP implementation.
  • Skip it if: you are a 5 to 50 person business with one entity; setup and admin effort are high.
  • Skip it if: you want to go live in weeks rather than months.

Where NetSuite beats Zoho Books: multi-subsidiary consolidation, complex revenue recognition and ERP depth for larger groups. See Zoho Books vs NetSuite for growing companies.

7. Wave: best for very small US and Canadian businesses

Wave's free Starter plan lets you create unlimited estimates, invoices, bills and bookkeeping records. The Pro plan adds automatic bank transaction import through Plaid, receipt capture, late payment reminders and admin, editor and viewer roles. Payroll is an add-on. Wave serves the US and Canada only.

  • Choose it if: you are a sole trader or very small business in the US or Canada on a tight budget.
  • Choose it if: you mainly need invoices and simple bookkeeping.
  • Skip it if: you operate outside the US or Canada.
  • Skip it if: you need inventory, projects, approvals or multi-currency reporting.

Where Wave beats Zoho Books: unlimited invoices on a free plan with no revenue limit stated on its pricing page.

8. TallyPrime: best for Indian traders and distributors

TallyPrime from Tally Solutions is widely used by Indian accountants. Its connected GST features upload GSTR-1 and GSTR-3B data, file and sign GSTR-1 and reconcile GSTR-2A/2B, and it generates e-invoices and e-way bills from inside the software. It also handles TDS and TCS, has strong inventory and comes in single-PC Silver and multi-user Gold editions.

  • Choose it if: your accountant and staff already know Tally and you trade goods in India.
  • Choose it if: you prefer a licence installed on your own PCs.
  • Skip it if: you want a browser-first app with native CRM and online customer portals.
  • Skip it if: your team works remotely without the separate cloud access option.

Where TallyPrime beats Zoho Books: familiarity among Indian accountants and fast keyboard-driven entry for high-volume trading.

What implementation involves

Setup covers the chart of accounts, regional tax codes, opening balances, bank connections, templates, approvals and user roles. Data migration moves customers, vendors, items, open invoices and bills, and usually a trial balance; full transaction history takes longer, so agree it early. Integrations with CRM, inventory, payroll and payments follow, then short training and a supported first month-end close.

Flowpeak delivers Zoho Books implementation remotely for businesses in the USA, Canada, the UK and Europe, the Gulf, Australia and India, at a fixed price agreed in writing after a free 30-minute call, with 30 days of free fixes after go-live.
