Zoho Practice for accounting firms is Zoho's practice management app. It holds client records, tasks, timesheets, a client portal, document collection and workpapers, and it links to clients' Zoho Books organisations. Pair it with Zoho CRM for new business and Zoho Sign for engagement letters. Check regional availability and plan limits on Zoho's site first.

This playbook is for partners and practice managers at accounting, bookkeeping and tax firms in the UK, the US, Canada and the UAE. You will learn what Zoho Practice does today, how it connects to your clients' Zoho Books organisations, where Zoho CRM and Zoho Sign fit, and how the work flows from first enquiry to filed return. We also cover the local points to plan for, such as Making Tax Digital in the UK and e-invoicing in the UAE, a realistic rollout plan in weeks, and the mistakes we see firms make when they move off spreadsheets and shared inboxes.
What is Zoho Practice for accounting firms, and what does it do?
Zoho Practice is a practice management app built for accounting and bookkeeping firms, from sole practitioners to growing teams. Zoho describes it as the place to manage clients, tasks, deadlines and team collaboration, while Zoho Books handles the accounting itself.
On its product page Zoho lists client management, live chat and email with clients, document collection, a document repository, task assignment with reminders, timesheets and billing, financial insights for reviewing client books, workpapers, a ledger for small clients, custom reports and tax alerts. The UK site adds a Making Tax Digital dashboard that tracks clients' MTD for VAT and MTD for Income Tax obligations.
Some features depend on plan. Zoho's pricing table shows workpapers, custom reports and the ledger on different tiers, and notes that client management on one plan covers Zoho clients only. Check the plan comparison before you commit.
| Business need | Zoho app | What it does |
|---|---|---|
| Win and onboard new clients | Zoho CRM | Tracks enquiries, proposals and fee quotes before the client becomes active |
| Engagement letters and authorities | Zoho Sign | Sends letters for e-signature and keeps the signed copy |
| Recurring client work and deadlines | Zoho Practice | Tasks, reminders, assignments and deadline tracking per client |
| Client documents and questions | Zoho Practice portal | Secure portal, chat and document requests |
| Client bookkeeping | Zoho Books | Client organisations linked to the practice |
| Firm billing and time | Zoho Practice and Zoho Books | Timesheets feed billable time; your own firm invoices from Books |
Can clients who use other accounting software still be managed in Zoho Practice?
Yes, with limits. Zoho's help guide gives three ways to add a client: pull them in from existing Zoho Finance apps, clone an existing Zoho Books client (copying the chart of accounts, templates and fields into a new organisation), or create them manually. A client added manually without a Zoho Finance app is filed as an "Other Client".
Zoho also says the client portal works with clients who use other accounting software, and it offers migration tools for Xero, Sage and QuickBooks data. What you cannot expect is the same depth of insight for a client whose ledger lives outside Zoho. The books review and financial insight features read Zoho Books data.
If most of your book is on Xero or QuickBooks, decide early whether you will move clients to Zoho Books over time or run a mixed practice. We help firms plan this through Zoho Books implementation and migration.
How does the client workflow run end to end?
This is the flow we set up for a typical firm that handles bookkeeping, VAT or sales tax returns and year-end accounts.
- An enquiry arrives through your website form and lands in Zoho CRM as a lead with the services requested.
- The partner sends a fee proposal from CRM. When it is accepted, the engagement letter goes out through Zoho Sign.
- The signed client is created in Zoho Practice, either linked to an existing Zoho Books organisation or cloned from a template organisation.
- Recurring tasks are set for each service: monthly bookkeeping, quarterly VAT, payroll runs, year-end, with owners and due dates.
- The client gets portal access and document requests for bank statements, receipts and year-end records.
- Staff log time against tasks. Reviewers check the books, workpapers and exceptions before filing.
- The firm bills the client from its own Zoho Books organisation, and the partner reviews workload and overdue tasks on the dashboard.
Which local rules should UK, US, Canadian and UAE firms plan for?
The software can track deadlines and file where Zoho supports it, but your firm stays responsible for each filing. Confirm obligations with your professional body or regulator.
- UK: Zoho Books is listed by Zoho as HMRC-recognised for MTD for VAT, and the UK Practice site shows MTD for VAT and MTD for Income Tax tracking. Also plan for UK GDPR and your anti-money laundering client checks, which you store as documents and custom fields.
- US: Zoho Books has US sales tax features, and Avalara can be added for multi-state clients. Practice does not prepare federal or state income tax returns, so keep your tax prep software and track the work in Practice.
- Canada: the Canadian edition of Zoho Books handles GST, HST and PST. Check which data centre your account sits on if clients ask about data residency.
- UAE: Zoho Books has a UAE edition for VAT and Corporate Tax, and Zoho Software Trading LLC is listed by Zoho as a Ministry of Finance accredited e-invoicing service provider. Plan client onboarding for e-invoicing early.
- Availability: Zoho's Practice pricing page lists regional pricing for the US, UK, Canada and UAE, among others. Confirm the edition at sign-up, because features follow the country and data centre of your account.
Which integrations do accounting firms usually need?
Zoho lists native connections between Zoho Practice and Zoho Books, Zoho Payroll, Zoho Expense and Zoho Inventory, so client finance data stays in the Zoho family. Zoho Payroll is only offered in some countries, so check Zoho's payroll site for your market before you plan payroll services around it.
Zoho Sign is a separate app. We connect CRM, Sign and Practice with Zoho Flow or the APIs where a native link is not available, so a signed engagement letter can create the client and its first tasks without retyping. Your tax preparation software, payroll bureau tools and bank feeds stay where they are, and Practice tracks the work around them.
What does a realistic Zoho Practice rollout look like?
A small firm with one service line can be live on Practice and CRM in about two weeks. A firm adding Books migrations, Sign templates and custom reports usually needs six to twelve weeks.
| Week | Work | Output |
|---|---|---|
| 1 | Map services, task templates and roles | Written scope and task list per service |
| 2 | Set up CRM pipeline, proposal and Sign templates | Enquiry to signed client flow |
| 3-4 | Create clients in Practice, link Books organisations | All active clients loaded |
| 5-6 | Portal invitations, document requests, timesheets | Clients and staff using the portal |
| 7-8 | Reports, dashboards, training, first month-end | Partners reviewing live workload |
Most of the time goes on agreeing task templates and cleaning client data, not on clicking settings.
What mistakes do accounting firms make when they adopt Zoho Practice?
- Loading every client before agreeing a standard task template, which leaves dozens of slightly different checklists.
- Skipping the plan comparison and finding later that workpapers or the ledger sit on a higher tier.
- Giving staff admin access to every client's Books organisation instead of the roles they need.
- Running CRM, Practice and email side by side without deciding which system owns the client record.
- Inviting all clients to the portal on day one before staff have used it themselves.
Avoiding these is mostly about sequence: agree templates and roles, pilot with a handful of clients, then roll out.

Frequently asked questions
Is Zoho Practice the same as Zoho Books for accountants?
No. Zoho Books is the accounting software your clients use, while Zoho Practice is where your firm manages clients, tasks, deadlines, documents and timesheets across many Books organisations.
Is Zoho Practice available in the UK and the US?
Zoho's Practice pricing page lists regional pricing for both, and the UK site shows Making Tax Digital features. Confirm the edition and features for your country when you sign up.
How does Zoho Practice compare with Karbon or TaxDome?
Karbon and TaxDome are dedicated practice management tools with their own strengths. Zoho Practice is strongest when your clients use Zoho Books and you want CRM, Sign and Books in one ecosystem, so compare them against your client mix.
Can my clients upload documents and chat with us in Zoho Practice?
Yes. Zoho lists a secure client portal with chat, email and document collection, and the Premium plan adds a client self-service portal.
Does Zoho Practice prepare US tax returns?
Zoho does not describe Practice as tax preparation software. Most US firms keep their tax prep tool and use Practice to track the work, deadlines and documents.
