Zoho Payroll US runs payroll for W-2 employees who live in the US and have a valid SSN. Zoho says it handles taxes across all 50 states, files federal, state and local forms, pays employees and tax agencies by direct deposit, and posts journals to Zoho Books. A few state and local taxes are excluded, so check the list first.

This guide is for owners, office managers and bookkeepers at US small businesses who are thinking about running payroll in Zoho Payroll. You will learn which workers and states Zoho Payroll US supports today, how tax filing and payments work, what multi-state payroll needs, how direct deposit, benefits and deductions are set up, and how it connects to Zoho Books and Zoho People. We also walk through the setup steps in order and explain when a provider such as Gusto or ADP may be a better fit. Confirm your tax obligations with your CPA.
Which states and workers does Zoho Payroll US support?
Zoho's US payroll pages say the product handles payroll taxes for all 50 states and helps you stay compliant across all of them. In practice, coverage is broad but not total. Zoho publishes an Unsupported Taxes page in its US help docs. It lists taxes Zoho Payroll calculates but does not remit, such as Hawaii SDI, New York SDI and New York Paid Family Leave, plus a list of local taxes in states like Ohio, Pennsylvania, Kentucky and New Jersey. For those, Zoho says employers must pay the agency directly.
On worker types, Zoho Payroll US is built for W-2 employees. Zoho's help FAQ says it does not support employees who are not US residents, and employees need a valid SSN. Zoho's US pages talk about W-4 collection and W-2 forms, but we did not find US contractor (1099) payments documented in the US help docs at the time of writing. Zoho offers contractor payroll in its India edition. If you pay many contractors, check Zoho's current US docs or ask Zoho before you commit.
Multi-state payroll is supported. Zoho's knowledge base says you add a separate work location for each state where your business has a presence, under Settings, then Work Locations, so the product can manage state-specific tax obligations. Zoho notes that multi-state support is limited to certain plans, so check Zoho's pricing page for your plan. You still register with each state's tax and unemployment agencies yourself and enter those account numbers in Zoho Payroll. A remote hire in a new state means a new registration before their first pay run, so build that into your hiring checklist.
Does Zoho Payroll file and pay US payroll taxes for you?
Yes, for supported taxes. Zoho's US help says tax forms are filed on your behalf, with support for federal, state and local filings. Zoho's US product page lists forms W-4, W-2, 940, 941 and 944, and describes automatic tax payments for federal, state and local taxes. Direct deposit in Zoho Payroll is used to pay both employee salaries and tax amounts to the authorities.
We cover the details in our answer on whether Zoho Payroll remits US payroll taxes automatically. The short version: check the unsupported list for your states and cities, and make sure someone owns those payments. Your CPA should confirm your filing and deposit obligations.
How do direct deposit, benefits and deductions work?
Direct deposit is the default way to pay. Zoho's help describes adding your company bank information, authorizing a payment service provider, verifying the bank account, and then adding each employee's bank details. Zoho also documents processing speeds and what happens if a bank verification fails, so plan a few days for this before your first pay date.
For benefits, Zoho's product page mentions retirement plans and health insurance, with deductions applied during each pay run. Zoho's help has a Configure Benefits section for setting these up. Post-tax deductions and reimbursements are also supported, and Zoho Expense can push approved reimbursements into a pay run.
How does Zoho Payroll connect to Zoho Books and Zoho People?
Zoho Books is the clearest link. Zoho's help says that once connected under Settings, then Zoho Apps, every approved pay run posts journal entries to Zoho Books. You choose the bank account that pays payroll and map debit and credit accounts for compensation, taxes, benefits and deductions. You can also skip posting for a single pay run.
Zoho People is less clear for the US. Zoho documents a full People integration for its India and Middle East payroll editions. Zoho's current US help integration pages list Zoho Books and Zoho Expense, and US users on Zoho's community forum have reported the People link was not yet available in the US. Ask Zoho about current status before you plan around it. Our Zoho People and Payroll setup checklist, linked below, covers what to prepare either way.
What are the setup steps, in order?
Zoho's Getting Started docs follow roughly this order. Zoho says starting at the beginning of a year or quarter needs less prior payroll data.
- Create your organization profile with your legal name, EIN and address.
- Add a work location for each state where you have employees.
- Enter federal and state tax details, including state account numbers and rates.
- Set your pay schedule and first pay date.
- Add employees with W-4 details, pay rates and work locations.
- Add your bank, authorize the payment provider and set up direct deposit.
- Enter prior payroll if you are starting mid-year.
- Connect Zoho Books, map accounts, and run a test pay run before going live.
| Setup step | What you need | Where in Zoho |
|---|---|---|
| Organization profile | Legal name, EIN, address | Settings > Organization Profile |
| Work locations | Each state address with employees | Settings > Work Locations |
| Taxes | State withholding and unemployment account numbers and rates | Getting Started > Configure Taxes |
| Pay schedule | Pay frequency and first pay date | Getting Started > Configure Pay Schedule |
| Employees | W-4 data, SSN, pay rate, location | Getting Started > Add Employees |
| Direct deposit | Company bank account, employee bank details | Getting Started > Configure Direct Deposit |
| Prior payroll | Year-to-date wages and taxes if mid-year | Getting Started > Configure Prior Payroll |
| Zoho Books | Chart of accounts for payroll | Settings > Zoho Apps |
Labels in Zoho can shift between releases, so treat the paths as a guide.
When might Gusto or ADP suit you better?
Zoho Payroll fits well if your team is W-2 only and you already use Zoho Books. Another provider may suit better if you pay many 1099 contractors through payroll, need a PEO, operate in a locality on Zoho's unsupported list, or want payroll bundled with a wider HR service. Gusto, for example, says on its product page that it offers payroll in all 50 states and files W-2s and 1099s for you.
Keeping Gusto and syncing it to Zoho is a valid path. See our answer on whether Zoho Books can integrate with Gusto payroll.

Frequently asked questions
Can I pay 1099 contractors in Zoho Payroll US?
We did not find US contractor payments in Zoho's US payroll help at the time of writing. You can track contractor payments and 1099s in Zoho Books instead, or check with Zoho for current US features.
Can I switch to Zoho Payroll in the middle of the year?
Yes. Zoho says you can switch any time, but you will need to enter prior payroll figures. Starting at a new quarter or year means less data to enter.
Does Zoho Payroll US support remote employees outside the US?
No. Zoho's help says employees must reside in the US and have a valid SSN.
Is Zoho Payroll included in Zoho One for US companies?
Zoho has announced that the US edition of Zoho Payroll is available in Zoho One. Check Zoho's pricing page for your region and plan.
Who is responsible if a tax is on Zoho's unsupported list?
You are. Zoho calculates those taxes but says employers must pay the agency directly, so confirm the process with your CPA.
