By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Zoho Learn combines a knowledge base of manuals and articles with a course builder, quizzes, learning paths, certificates and reports. Use the knowledge base for reference material such as SOPs, and courses for training you need to assign, test and track. Link it to Zoho People through Zoho Flow, or use People's own LMS for simpler needs.

This guide is for HR managers, operations leads and founders who want a structured way to onboard new hires and train staff, and are looking at Zoho Learn. You will learn when to use the knowledge base and when to build a course, how quizzes and learning paths work, how to run recurring compliance training, how Zoho Learn compares with the learning module inside Zoho People, and how to connect the two. Feature details come from Zoho's own pages, and some depend on your plan.

What is Zoho Learn, and how is it different from the LMS in Zoho People?

Zoho Learn is a separate app for documentation and training. It has two halves: a documentation tool for building a knowledge base, and course authoring with assessments, learning paths and reports. Zoho People, the HR app, also includes a learning management system (LMS) with courses, learning plans, tests and certificates.

Which one you need depends on how much content you have and who maintains it. The table compares them.

A common pattern is to keep HR-linked tasks such as policy acknowledgements in Zoho People, and use Zoho Learn for product, process and role training that needs a proper content library.

Should you use the knowledge base or courses?

Use the knowledge base for anything people look up. Use courses for anything people must complete. That simple rule keeps your content tidy.

The knowledge base is organized into spaces and manuals, with articles inside each manual. Article templates keep SOPs consistent, and role-based access controls who can see or edit each manual. This suits process guides, product documentation, IT how-tos and policy reference pages.

Courses are built from lessons. You can link an existing knowledge article as a lesson, so you write content once and reuse it in training. Lessons have completion markers, and on the Professional plan you can release lessons over time, add instructors and enable lesson discussions. Courses suit onboarding, sales training, new system rollouts and refresher training.

Start small. Pick the ten questions new hires ask most in their first month and write those articles first. A short, accurate knowledge base gets used, while a large, outdated one gets ignored. Give each manual an owner and a review date, and ask team leads every quarter which articles are missing or wrong.

How do quizzes and assessments work in Zoho Learn?

Quizzes sit inside courses and draw on question banks, so you can reuse questions across courses. Zoho lists a wide range of question types and quiz analytics in its reports.

Settings depend on your plan. Zoho's pricing page shows passing scores and attempt limits from the Express plan, while assignments, descriptive questions, quiz timers and course expiry need Professional. Check the current plan table before you design assessments around a specific setting.

Keep quizzes short and tied to the job. Five to ten questions on what the person must actually do work better than long theory tests. Set a passing score for anything that matters, such as safety or data handling.

How do you build an onboarding learning path?

A learning path is a series of courses that leads to a training goal. For onboarding, build one path per role family. This order works well.

  1. List what a new hire must know in week one, month one and month three.
  2. Write or import the reference material into knowledge base manuals first.
  3. Build short courses for each topic, linking existing articles as lessons where you can.
  4. Add a quiz with a passing score to each course that covers a required skill.
  5. Group the courses into a learning path per role, such as sales, support or warehouse.
  6. Turn on completion certificates and badges so progress is visible.
  7. Assign the path to new hires and review the course reports with their manager after 30 days.

Zia, Zoho's AI assistant, can draft course outlines, lessons and SOPs inside Zoho Learn. Treat the drafts as a starting point and have a subject expert check every lesson before you publish.

Can Zoho Learn handle compliance training?

Zoho Learn gives you the building blocks for recurring compliance training. It does not decide what training your business must run, and using it does not make you compliant. Confirm your obligations with your HR or legal adviser.

What the software offers: courses you can assign to spaces of learners, passing scores, course expiry on Professional, completion certificates, organization and department reports, and CSV export of results. That covers the common need to show who completed which course and when.

Set a review cycle. Put an owner and a review date on every compliance course, and re-assign it when the policy changes. Export completion reports on a regular schedule and store them where your auditors expect to find them. For roles with high turnover, such as retail, field or warehouse staff, add the compliance courses to the onboarding learning path so nobody starts work without completing them.

How do you connect Zoho Learn with Zoho People?

We did not find a built-in course sync between Zoho Learn and Zoho People on Zoho's public pages, and Zoho's community has a user request asking for one. The practical route today is Zoho Flow.

Zoho Flow lists Zoho People triggers such as record created or updated, and Zoho Learn actions such as add member to space, invite user to hub, add member to manual and create course. So when HR adds a new employee in People, Flow can invite them to Zoho Learn and add them to the right onboarding space. Our Zoho Flow implementation service builds and tests these flows.

If your company uses Zoho One, users are managed centrally, which reduces the setup work. Check how your directory and Learn hub are configured before building any automation. Our Zoho People implementation work covers the HR side.
