By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Zoho for private clinics in the UK covers the front and back office: Zoho Bookings for online appointments, Zoho CRM for patient enquiries and follow-ups, Zoho Forms for intake, Zoho Desk for patient messages and Zoho Books for invoicing. Clinical notes usually stay in a dedicated clinical system, and health data needs careful UK GDPR controls.

This guide is for owners and practice managers of UK private clinics: physiotherapy, dental, aesthetics, counselling, diagnostics and specialist consulting rooms. You will see which Zoho apps fit the patient journey, how an enquiry becomes a booked and paid appointment, what controls Zoho offers for health data under UK GDPR, where Zoho stops and your clinical system takes over, and a realistic rollout plan. It is written for the UK and does not repeat our US HIPAA guide or our UAE and Saudi clinic guide.
Which Zoho apps fit a UK private clinic?
Most clinics need four or five Zoho apps for the non-clinical work: getting enquiries, booking appointments, collecting forms, answering messages and invoicing. The clinical record itself is better kept in software built for clinicians.
| Business need | Zoho app | What it does |
|---|---|---|
| Online appointments | Zoho Bookings | Booking pages per service and practitioner, calendar sync, reminders and online payment |
| Patient enquiries and follow-ups | Zoho CRM | Enquiry pipeline, recall reminders, referral source tracking and consent records |
| Registration and intake | Zoho Forms | Registration and consent forms with conditional questions and file uploads |
| Patient messages | Zoho Desk | Email and web enquiries in one queue, assignment, response targets and templates |
| Invoicing and payments | Zoho Books (UK edition) | Invoices to self-pay patients and insurers, payment links, MTD for VAT where registered |
Clinics that also run memberships or packages can add Zoho Billing, and multi-site groups often add Zoho Analytics for site-level reports.
How does a patient journey run from enquiry to invoice in Zoho?
This is the workflow we set up for most clinics. It keeps the minimum health detail in Zoho and the clinical detail in your clinical system.
- A patient enquires by web form, phone or email; the enquiry becomes a lead in Zoho CRM with its source.
- Front-desk staff reply from Desk or CRM using approved templates, then send a booking link.
- The patient books in Zoho Bookings, picks the practitioner and pays a deposit if you require one.
- Bookings sends confirmation and reminders, and the appointment syncs to the practitioner's calendar.
- Before the visit, a Zoho Forms registration and consent form collects contact details and marketing preferences.
- After the visit, an invoice goes from Zoho Books to the patient or insurer and payment is matched.
- CRM sets a recall or review task, and a feedback survey goes out if the patient agreed to contact.
Is Zoho GDPR compliant for patient data in a UK clinic?
Zoho gives you controls; whether your use is lawful is your decision as data controller. Health data is special category data under UK GDPR. The ICO says you need a lawful basis plus an Article 9 condition, and a data protection impact assessment for processing likely to be high risk. Take advice from your data protection officer or adviser before you store any health information in Zoho.
The controls Zoho offers include recording the lawful basis per contact, consent forms, marking fields as personal so exports and API access can be restricted, AES-256 encryption at rest for chosen fields, roles and profiles that limit who sees what, and audit logs. Zoho publishes a data processing addendum.
- Keep diagnosis and treatment notes out of CRM; store a reference to the clinical system instead.
- Encrypt the few sensitive fields you do keep, such as date of birth.
- Limit Desk and CRM access by role, so reception does not see billing disputes and vice versa.
- UK accounts are usually hosted in Zoho's EU data centres in Amsterdam and Dublin. Zoho has announced a UK data centre, so ask which region your account will use.
Can Zoho replace clinical software or connect to the NHS?
No to the first, and do not assume the second. Zoho does not provide a clinical record system for prescribing, clinical coding or treatment notes, and we found no Zoho integration with NHS systems that we could verify. Keep your clinical system and use Zoho around it.
If your clinical system has an API, Zoho Flow or a custom function can pass appointment or contact details between the two. Check what the vendor allows and include that data flow in your impact assessment. Our UAE and Saudi clinic guide and US HIPAA clinic guide cover the rules in those markets.
A simple rule helps staff: if a detail is needed to book, remind, invoice or follow up, it can live in Zoho; if it is needed to treat the patient, it stays in the clinical system.
Can patients book and pay online with Zoho Bookings?
Yes. Zoho Bookings gives each service and practitioner a booking page with a custom form, two-way sync with Google and Outlook calendars, and email reminders. Zoho lists payment collection through Stripe, PayPal and other gateways, and Zoho added WhatsApp booking updates in 2025. Payments, SMS reminders and CRM sync depend on your Bookings plan, so check Zoho's pricing page for your region.
For video consultations, Zoho Bookings connects to Zoom, Google Meet and Zoho Meeting, and adds the meeting link to the confirmation. Zoho Bookings also connects to Zoho CRM, so each booking can create or update the patient contact and show their appointment history to front-desk staff. Clinics that take insurance work usually keep insurer details as a separate field on the invoice in Books, so reports can split self-pay and insured income.
On tax, many medical services are VAT exempt but some treatments, such as purely cosmetic ones, may not be. Zoho Books can apply different VAT rates per item and file through MTD for VAT. Your accountant should confirm the treatment for each service.
What does a Zoho for private clinics in the UK rollout look like?
A CRM and Bookings setup for a single clinic usually goes live within two weeks. A full rollout with Forms, Desk, Books and reports usually takes six to twelve weeks: weeks 1 to 2 for discovery, data mapping and the impact assessment input, weeks 3 to 5 for CRM, Bookings and Forms, weeks 6 to 8 for Desk and Books, then training and go-live. Integrations with a clinical system add time.
- Putting clinical notes in CRM because it is convenient. Keep only what front-office work needs.
- Sending marketing emails without recorded consent. Store the preference on the contact.
- Building one booking page for every service. Separate pages make reminders and reports clearer.
- Skipping roles and profiles. Shared admin logins remove your audit trail.

Frequently asked questions
Can I store patient records in Zoho CRM?
You can store contact and appointment details, but clinical notes are better kept in a dedicated clinical system. Any health data you keep in Zoho needs a lawful basis, an Article 9 condition and advice from your data protection adviser.
Does Zoho sign a data processing agreement for UK clinics?
Zoho publishes a data processing addendum for its services. Review it with your adviser as part of your impact assessment.
Does Zoho Bookings send appointment reminders?
Yes, Zoho Bookings sends email reminders, and SMS and WhatsApp updates are available on supported plans. Check Zoho's pricing page for what your plan includes.
Is there a Zoho integration with NHS systems?
We could not verify one. Zoho is used for front and back office work, and any link to NHS or clinical systems depends on what those systems allow.
How long does it take to set up Zoho for a private clinic?
A CRM and Bookings setup usually goes live within two weeks. Adding Forms, Desk, Books and reporting usually takes six to twelve weeks in total.
