Zoho for nonprofits in the USA and UK: donors, funds and Gift Aid in 2027

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Zoho for nonprofits in the USA and UK means Zoho CRM for donors and volunteers, Zoho Forms and Campaigns for giving and appeals, and Zoho Books for income, expenses and fund tracking with reporting tags. Books is not a full fund accounting system, and we found no native Gift Aid claim feature. Zoho offers nonprofit credits.

This playbook is for directors, fundraising managers and finance leads at small and mid-sized charities and nonprofits in the US and the UK. You will learn which Zoho apps fit donor management, appeals and finance, how a gift moves from form to thank-you to report, and exactly what Zoho Books can and cannot do for restricted funds. We also cover Gift Aid in the UK, donor acknowledgements in the US, Zoho's nonprofit credit programme, the integrations most organisations need, a rollout plan in weeks and the mistakes we see when charities move off spreadsheets.

Which apps does Zoho for nonprofits in the USA and UK include?

Most small organisations need four apps. Zoho CRM holds donors, volunteers, grants and interactions. Zoho Forms collects donations, volunteer sign-ups and Gift Aid declarations. Zoho Campaigns sends appeals and newsletters. Zoho Books keeps the accounts. Zoho Analytics is optional for trustee or board dashboards.

Zoho Forms donation pages can take payments through supported payment gateways, and Zoho Books can also accept donations through Zoho Checkout pages, according to Zoho's nonprofit pages. Pick one route for online giving so every gift reaches CRM and Books the same way.

Can Zoho CRM work as donor management software?

Yes, once it is configured. Zoho CRM is a general CRM, so we add a Donations module linked to contacts, plus fields for fund, campaign, payment method, Gift Aid status (UK) and acknowledgement date. Lifetime giving, last gift and largest gift can be calculated with rollup or formula fields, depending on your CRM edition, which lets you segment major donors, lapsed donors and regular givers.

Grants work as a pipeline: prospect, applied, awarded, reporting due. Volunteers can sit in the same contact records with skills, availability and hours. Dedicated nonprofit CRMs have these out of the box; with Zoho you build them once, then link them to Campaigns and Books.

Zoho Campaigns then uses CRM segments for appeals: lapsed donors, regular givers, event attendees or volunteers. Opens, clicks and unsubscribes flow back to the contact, so a fundraiser sees the whole relationship before calling a major donor.

How does a donation flow from form to thank-you to report?

  1. A supporter gives through a Zoho Forms donation page or your payment provider.
  2. The form creates or updates the contact in Zoho CRM and adds a donation record with fund and campaign.
  3. In the UK, a Gift Aid declaration is captured on the form and stored against the contact with its date.
  4. A workflow sends a thank-you email and logs the acknowledgement date.
  5. The payment is recorded in Zoho Books as income, tagged with the fund or programme.
  6. Finance reconciles the bank feed and reviews income and spending by tag each month.
  7. Fundraisers add the donor to the right Zoho Campaigns list for the next appeal, respecting consent.

Can Zoho Books do fund accounting for nonprofits?

Partly, and it is worth being precise. Zoho Books has reporting tags, which you can apply to transactions and use to filter reports such as profit and loss. Zoho's own nonprofit pages describe separate expense accounts per fund and project tracking for programmes. With a tag per fund, you can see income and spending for each restricted grant.

What Books does not describe is true fund accounting: separate balancing ledgers per fund, automatic releases from restriction, or statements in charity formats. In the US, Zoho does not mention a statement of activities or Form 990 output. In the UK, accounts under the Charities SORP are usually prepared by your accountant or independent examiner from Books data. If you have many restricted funds with complex rules, ask your accountant whether a dedicated fund accounting package is a better fit.

What US and UK rules should nonprofits plan for?

Zoho records and reports; your accountant, lawyer or regulator decides what you must do.

  • Gift Aid (UK): we found no native Gift Aid claim feature in Zoho CRM or Zoho Books. A common approach is to store declarations in CRM and export a schedule of eligible donations for HMRC's online claim service. Confirm the format with current HMRC guidance.
  • Donor acknowledgements (US): IRS rules require written acknowledgements for some gifts. Zoho Books can send payment receipts and CRM can send templated letters; confirm wording and thresholds with your accountant.
  • Consent: UK GDPR and the UK's electronic marketing rules affect how you email supporters. Store consent in CRM and sync it to Campaigns.
  • VAT and sales tax: VAT-registered UK charities can file MTD for VAT returns from Zoho Books. US sales tax on events or merchandise varies by state.
  • Data: Zoho runs data centres in several regions, including the US and EU, so choose the region at sign-up.

Does Zoho offer a nonprofit discount?

Yes, as wallet credits. Zoho says its nonprofit credits cover up to 50% of subscription costs, valid for five years, used on new subscriptions, renewals and extra licences. Nonprofits in the US and UK can apply directly with registration documents; elsewhere a TechSoup validation token is usually needed. Some products, premium support and partner services are excluded, so read Zoho's nonprofit page for current terms. For comparison, Salesforce offers eligible nonprofits their first 10 subscriptions free through its Power of Us programme.

What does a rollout take, and which mistakes should you avoid?

A CRM donor setup is usually live within two weeks. CRM, Forms, Campaigns and Books together typically take six to twelve weeks, mostly spent cleaning donor data and agreeing fund tags. Flowpeak, a registered Zoho partner with Zoho-certified consultants, quotes a fixed price in writing, paid by milestone, with 30 days of free fixes after go-live; CRM setup starts from USD 500 or GBP 400. Our nonprofit industry page shows the full process, and our Canadian nonprofits guide covers Canada.

A typical plan: weeks one and two for CRM donor and volunteer records, weeks three and four for Forms and Campaigns with consent rules, weeks five to eight for Books, fund tags and bank feeds, then a month-end review with your treasurer or finance lead before old spreadsheets are retired.

  • Importing donors without consent and Gift Aid declaration dates.
  • Creating a new account in Books for every grant instead of using reporting tags.
  • Sending appeals from Campaigns to contacts who have opted out in CRM.
  • Registering the Zoho account with a personal email, which locks nonprofit credits to that person.

Frequently asked questions

What is the best CRM for a small nonprofit?

It depends on budget and how much you want to configure. Dedicated donor CRMs come ready-made, while Zoho CRM needs setup but connects to Forms, Campaigns and Books in one system.

How do I apply for Zoho's nonprofit credits?

Create a Zoho account with the super admin's work email, prepare your registration documents or a TechSoup token, and complete Zoho's nonprofit application. Zoho says verification takes about 7 to 10 business days.

Can Zoho Books track restricted and unrestricted funds?

Yes, using reporting tags or separate accounts per fund to filter reports. It does not provide full fund accounting ledgers, so confirm your reporting needs with your accountant.

Can Zoho send donation receipts automatically?

Zoho Books can send payment receipts to donors, and Zoho CRM workflows can send thank-you emails or letters when a donation is recorded.

Is Zoho cheaper than Salesforce for nonprofits?

It depends on users, apps and setup. Compare Zoho's credits with Salesforce's Power of Us offer, and include implementation and support costs, not just licences.
