Zoho for Manufacturers in the USA: Inventory, BOMs and Books 2027

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Small and mid-sized US manufacturers use Zoho Inventory composite items and assemblies for simple bills of materials, Zoho CRM for distributor sales, Zoho Creator for quality and maintenance apps, and Zoho Books with Avalara for accounting and sales tax. Zoho ERP adds full manufacturing orders, but Zoho has launched it in India first.

This guide is for owners, plant managers and finance leads at US manufacturers making assembled or kitted products, typically with five to two hundred staff. You will learn what Zoho Inventory does for bills of materials and assemblies, where Zoho ERP stands for US firms, how distributor orders flow from Zoho CRM to invoice and payment, how quality and maintenance apps are built in Zoho Creator, and what a move from QuickBooks to Zoho Books with Avalara involves. We also cover integrations and timelines.

Can Zoho Inventory handle bills of materials and assemblies?

Yes, for straightforward assembly. In Zoho Inventory, a composite item lists the components and services that make up a finished product, which works as a simple bill of materials. Recording an assembly consumes the component stock and adds the finished quantity to stock. Zoho says an assembly must include at least one inventory item, serial and batch tracking carries through, and a sales order or invoice can trigger an Assemble option to build any shortfall.

What Zoho Inventory's help pages do not describe is work centers, routings, capacity planning or full MRP. Those features appear in Zoho ERP, whose help documentation covers bills of materials, manufacturing orders, job cards, shop floor, work centers and subcontract manufacturing. Zoho launched Zoho ERP in India, and it had not announced a US launch date at the time of writing. Check Zoho's site for current availability in your region.

In practice, many US manufacturers start with Zoho Inventory assemblies for finished goods and kits, then decide later whether they need a deeper manufacturing system once Zoho ERP reaches their region.

Which Zoho apps fit a US manufacturer today?

Most US manufacturers on Zoho use a combination like this, often within Zoho One. Check Zoho's pricing page for your region.

Zoho Inventory also handles multiple warehouses, reorder points, purchase orders, price lists for different distributor tiers, and shipping. For a manufacturer that builds to stock in batches and sells through distributors and dealers, that covers a large part of daily operations. Firms with complex job shop routing or heavy make-to-order work should test their real products during discovery before committing.

  • Zoho CRM: distributor and dealer accounts, quotes, sales reps and territories.
  • Zoho Inventory: items, composite items, assemblies, warehouses, purchase and sales orders.
  • Zoho Books: accounting, invoicing, payables and financial reports.
  • Zoho Creator: quality inspections, nonconformance logs and machine maintenance.
  • Zoho Analytics: margin by product, distributor sales and inventory turns.
  • Zoho Desk: warranty claims and distributor support.

How does a distributor order move through Zoho?

This is the standard flow from a distributor inquiry to reporting.

Zoho CRM and Zoho Inventory share data through the Zoho Finance integration, so sales reps can see sales orders and invoices on the distributor's account without logging into Inventory. Check the integration's current scope on Zoho's help pages. Dealers who reorder often can be given a portal to view orders and invoices, and a Zoho Creator app can handle custom ordering rules if you need them.

  1. Lead: a distributor or dealer inquiry is captured in Zoho CRM and qualified.
  2. Quote: a quote is built from Zoho Inventory items and price lists.
  3. Sales order: the accepted quote becomes a sales order in Zoho Inventory.
  4. Build: if finished stock is short, an assembly is recorded from the composite item's components.
  5. Ship and invoice: packages and shipments are recorded, then the invoice is raised in Zoho Inventory or Zoho Books with sales tax.
  6. Payment: the distributor pays by ACH or card, or on terms, and the payment is applied in Zoho Books.
  7. Reporting: Zoho Analytics shows sales by distributor, margin by product and stock levels.

Zoho Creator is where manufacturers fill gaps. A quality app can record incoming inspection results by lot, log nonconformances with photos, route corrective actions for sign-off and report defect rates by supplier. A maintenance app can list each machine, schedule preventive maintenance and keep a service history. Both run on tablets and phones on the shop floor.

What changes when a manufacturer moves from QuickBooks to Zoho Books?

The main work is mapping your chart of accounts, items, open invoices and bills, and opening inventory values. Zoho Books and Zoho Inventory share items and contacts, so it pays to clean your item list and component structure before migrating. Most firms switch at a month or quarter end.

For US sales tax, Zoho Books integrates with Avalara AvaTax. Zoho says the integration calculates tax on quotes, sales orders and invoices based on customer location and item, and handles exemption certificates through customer codes. Many manufacturers selling to resellers rely on exemption handling. Confirm your nexus and filing obligations with your accountant. Our QuickBooks to Zoho Books migration checklist lists the steps.

Which integrations and rollout timeline should you plan for?

Common US integrations are Avalara for sales tax, Stripe for card and ACH payments in Zoho Books, shipping carriers inside Zoho Inventory, and payroll through Gusto. EDI with large retailers and shop-floor or machine data usually connect via API or Zoho Flow.

A Zoho CRM setup for distributor sales is usually live within two weeks. A multi-app rollout covering CRM, Inventory, Books and Creator usually takes six to twelve weeks, longer if your BOMs are deep or you migrate several years of history.

We usually phase the rollout. Items, composite items and opening stock come first, because everything depends on clean item data. Purchasing and assemblies follow, then sales orders from Zoho CRM, then accounting cutover to Zoho Books at a period end. Creator apps for quality and maintenance can be added in a later phase once the core flow is stable.
