Zoho CRM
Zoho for Law Firms in the USA: Intake, Matters, Billing in 2027
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
Small and mid-sized US law firms can use Zoho CRM for intake, conflict checks and matter tracking, Zoho Writer and Zoho Sign for engagement letters, and Zoho Books with Zoho Projects for time and billing. Zoho Books is general accounting, so trust and IOLTA accounting must follow your state bar's rules, often with dedicated legal software.

This post is for managing partners, firm administrators and operations leads at US law firms with roughly two to fifty people. You will see how Zoho handles intake, matter management, conflict checks, document assembly, time tracking, billing and a client portal. We also cover what Zoho does not do, especially client trust accounting, the integrations US firms often add, and a realistic rollout timeline. Nothing here is legal or ethics advice; confirm trust account rules with your state bar and your accountant.
Which Zoho apps fit a small or mid-sized law firm?
Zoho CRM is the core. It holds prospective clients, intake answers, matters and related contacts such as opposing parties. Zoho Writer and Zoho Sign produce and sign engagement letters. Zoho Projects or Zoho Books track time, and Zoho Books sends invoices and takes payments. Zoho Forms or a website form feeds intake, and Zoho Bookings handles consultation scheduling.
Matter management usually lives in a Zoho CRM custom module called Matters, linked to Contacts and Accounts. Firms with complex practice-specific steps, such as immigration or estate planning checklists, sometimes build the matter app in Zoho Creator instead. Both approaches work; the choice depends on how much custom logic you need.
For very small firms, Bigin by Zoho CRM is a lighter option for intake only. Most firms with several attorneys and practice areas are better served by Zoho CRM, because custom modules, field-level permissions and Blueprints for matter stages are needed once the firm grows. Zoho CRM also supports role-based access, so a paralegal can see the matters they work on without seeing every file in the firm.
What does the intake-to-payment workflow look like in Zoho?
A typical flow keeps one record from first call to final invoice, so nobody re-types client details.
Blueprints in Zoho CRM can enforce the order of these steps. For example, a matter cannot move to Open until the conflict check field is completed and a signed engagement letter is attached. That gives partners confidence that intake rules are followed even when the front desk is busy.
- Lead: a web form, call or referral creates a Lead in Zoho CRM with practice area and source.
- Conflict check: staff search Contacts, Accounts and Matters for the prospect and adverse parties before the consult.
- Consult: Zoho Bookings schedules the meeting and records it against the lead.
- Engagement: a Zoho Writer merge template fills the engagement letter from CRM fields, and Zoho Sign collects the signature.
- Matter: the signed lead converts to a Contact and a new Matter record with responsible attorney and deadlines.
- Time and invoice: time is logged in Zoho Projects or Zoho Books and billed hourly, flat fee or by milestone.
- Payment and reporting: the client pays through the Zoho Books portal, and dashboards show billed, collected and outstanding by attorney.
How do conflict checks work in Zoho CRM?
Zoho CRM does not include a dedicated legal conflict-check engine, but it can support a consistent process. The usual setup stores every party on a matter, including adverse parties and related entities, as linked records. Staff then run a global search, or a custom button that searches several modules at once, before accepting a new matter.
The result is only as good as the data entered. We recommend making adverse party fields mandatory at matter creation, keeping a log of each check on the lead record, and having your ethics counsel review the process. A Zoho CRM implementation scope should spell out exactly what the check searches.
Where does each part of law firm work live in Zoho?
This table maps common daily tasks to Zoho apps. Adjust it for your practice areas.
| Daily work | Zoho app | Notes |
|---|---|---|
| Intake and lead follow-up | Zoho CRM, Zoho Forms | Practice area, source and intake questions on the lead |
| Consult scheduling | Zoho Bookings | Online booking with reminders |
| Conflict checks | Zoho CRM | Search across contacts, accounts and matters; log the result |
| Matter management | Zoho CRM custom module or Zoho Creator | Deadlines, responsible attorney, status |
| Engagement letters and forms | Zoho Writer, Zoho Sign | Merge templates filled from CRM, then e-signature |
| Time tracking | Zoho Projects or Zoho Books | Billable hours per matter |
| Billing and payments | Zoho Books | Hourly, flat fee and retainer invoices; online payment |
| Client portal | Zoho Books portal or Zoho CRM Portals | Invoices, payments and shared documents |
Zoho says the Zoho Books customer portal lets clients view and pay invoices, accept quotes, download receipts and, if you allow it, view projects and time entries. Zoho CRM Portals can give clients access to selected modules and records. Check Zoho's feature availability page for your edition.
On billing, Zoho Projects offers several methods for time: staff hours at each user's rate, project hours at a fixed rate, fixed price, and task hours. Approved billable time logs sync to Zoho Books for invoicing when the Zoho Finance integration is enabled, which Zoho says needs a Premium, Enterprise or Ultimate Projects plan and at least the Professional edition of Zoho Books. Firms that prefer one app can log time directly in Zoho Books projects instead.
Can Zoho Books handle IOLTA and client trust accounting?
Treat this carefully. Zoho Books is general business accounting. It can record retainer invoices and bank accounts, but it is not designed as legal trust accounting software. ABA Model Rule 1.15 requires lawyers to keep client funds separate from their own, deposit advance fees into trust and withdraw them only as earned, and keep complete records. Each state adopts its own version, with its own record-keeping and reconciliation requirements.
Many US firms use dedicated legal trust accounting software for client trust ledgers and three-way reconciliation, and keep Zoho Books for operating accounts. Before you decide where trust funds are recorded, confirm the approach with your accountant and your state bar's trust accounting rules.
Which integrations and timeline should a law firm plan for?
Common additions are a phone system (Zoho CRM has a RingCentral integration), online payments through Zoho Books payment gateways, and a connection to a practice management tool such as Clio if you already use one, built via API or Zoho Flow. AI help with intake summaries is possible; see our post on Zoho CRM AI integrations.
Most Zoho CRM setups for intake and matters go live within two weeks. Adding document assembly, billing and a portal makes it a multi-app rollout of six to twelve weeks.
We recommend a phased approach. Start with intake, conflict search and the Matters module, because that is where most firms lose time today. Add Writer templates and Zoho Sign next, once your standard letters are agreed. Move billing last, at a month boundary, after your accountant has signed off on how operating and trust accounts will be handled.

Frequently asked questions
Is Zoho CRM a legal practice management system?
Not out of the box. It is a general CRM that can be configured with a Matters module, intake fields and document templates, which suits firms that want flexibility over a fixed legal product.
Can clients sign engagement letters online?
Yes. Zoho Writer can fill a template from CRM data and Zoho Sign collects the client's electronic signature, with the signed copy stored against the record.
Should trust funds be recorded in Zoho Books?
Zoho Books is general accounting and is not built for legal trust ledgers. Follow your state bar's trust accounting rules and confirm the setup with your accountant; many firms use dedicated legal trust accounting software.
Can we bill flat fees and hourly in the same system?
Yes. Zoho Books and Zoho Projects support hourly time billing and fixed-price billing, so different matters can use different methods.
Where is our Zoho data stored?
US accounts are normally hosted in Zoho's US data centers. Confirm the data center for your account in your Zoho admin settings.
