Zoho for Law Firms in the UK: Intake, Matters, MTD and GDPR in 2027

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

Zoho for law firms in the UK works as a configurable stack: Zoho CRM for enquiries, intake and conflict checks, a custom Matters module or Creator app for matter management, WorkDrive for files, Zoho Sign for engagement letters and Zoho Books for invoicing with MTD for VAT. It is not a legal practice management system out of the box.

This playbook is for partners, practice managers and COFAs at small and mid-sized UK firms who are weighing Zoho against a dedicated legal practice management system. You will see which Zoho apps fit each part of the firm, how a matter runs from first enquiry to closure, where client account money needs extra care, what Zoho offers for UK GDPR and data location, and a realistic rollout plan. It is written for the UK and does not repeat our US law firm guide, which covers IOLTA trust accounting.

What is the best CRM for a UK law firm, and where does Zoho fit?

There is no single best CRM for every UK firm. Dedicated legal practice management systems come with legal accounting, time recording and court forms built in. Zoho suits firms that want intake, marketing, matter tracking and documents shaped around their own process, and are happy to configure it. Our US law firm guide covers the same apps for American practices.

How does Zoho for law firms in the UK run a matter from first enquiry to closure?

This is the workflow we build for most firms. It keeps one record per client and one per matter.

  1. An enquiry arrives from the website form, email or phone and becomes a lead in Zoho CRM.
  2. Intake staff record the parties and run a conflict search across contacts, companies and past matters.
  3. Client due diligence is recorded on the contact: ID checked, source of funds noted and risk rating set.
  4. The engagement letter and terms of business go out through Zoho Sign; the signed copy saves back to the record.
  5. A matter is opened, a WorkDrive folder is created automatically and the fee earner gets tasks for key dates.
  6. Time and disbursements are logged against the matter and invoiced from Zoho Books.
  7. At closure, a checklist confirms balances are cleared and the file is archived with its retention date.

Should matters live in a CRM custom module or a Zoho Creator app?

Use a CRM custom module when matters are simple and your team already works in CRM. You get layouts, Blueprints for stages, reports and email logging with little build work. Use Zoho Creator when you need complex forms, a client portal, calculated deadlines or rules that do not fit CRM's structure. Creator is a low-code platform, so it costs more to build and maintain. Our Zoho Creator development page explains how we scope those apps.

Many firms start with a custom module and move to Creator only for one practice area, such as conveyancing or immigration, where the steps are rigid.

Whichever you choose, give every matter a unique reference, a responsible fee earner, a supervising partner and a closure date field from the start. Those four fields drive most reports a COLP or practice manager asks for later, such as open matters by fee earner and files awaiting closure.

Can Zoho Books handle client account money under the SRA Accounts Rules?

Treat this with care. Zoho Books is general accounting software. It does not ship with a client ledger designed for the SRA Accounts Rules, which require, among other things, a reconciliation of every client account at least every five weeks, signed off by the COFA or a manager. Some firms keep client money in a specialist legal accounts system and use Zoho Books for the office account. Others build controls in Books with separate bank accounts and reports.

Which approach is acceptable for your firm is a question for your COLP, COFA and accountant, not your software partner. On VAT, Zoho says Zoho Books is HMRC-recognised for Making Tax Digital for VAT and submits the nine-box return directly to HMRC.

Is Zoho GDPR compliant, and where is a UK law firm's data stored?

Zoho offers tools; compliance depends on how your firm uses them. Zoho CRM lets you record the lawful basis for each contact, send consent forms, mark personal fields to restrict exports and API access, encrypt chosen fields at rest and review audit logs. Zoho publishes a data processing addendum you can sign.

UK customers are usually hosted in Zoho's EU data centres, Amsterdam as primary and Dublin as secondary. Zoho announced a UK data centre in September 2025 and restated the plan in April 2026, but it was not on Zoho's data centre list when we checked. Ask Zoho which region your account will use.

Zoho Sign says it offers three levels of signature under UK eIDAS, including qualified signatures through trust service providers. Deeds and some property documents have their own signing formalities, so check those with your supervising partner.

Which integrations, rollout plan and mistakes should a UK law firm plan for?

Most firms need four integrations: email, so matter correspondence is logged in CRM; Zoho Sign inside CRM, so letters go out from the client record; bank feeds in Zoho Books for the office account; and an identity verification provider for AML checks. Zoho Mail, Microsoft 365 and Google Workspace mailboxes can all be connected to Zoho CRM. For ID checks, confirm the provider offers an API or a Zoho Flow connector before you choose it, because that decides whether results land on the contact record automatically or are uploaded by hand.

A CRM intake setup usually goes live within two weeks. A firm-wide rollout with matters, WorkDrive, Sign and Books usually takes six to twelve weeks: weeks 1 to 2 for discovery and data mapping, weeks 3 to 6 for CRM, matters and documents, weeks 7 to 9 for Sign, Books and integrations, then training and go-live. Blueprints and data migration from an older system add time.

  • Building matter management before agreeing the matter stages with each practice area.
  • Moving client account money into Zoho Books without sign-off from your COFA and accountant.
  • Copying every old document into WorkDrive with no folder or retention rules.
  • Running AML and conflict checks outside the system, so the record never shows they happened.
  • Giving every user access to every matter instead of setting roles and profiles.

Frequently asked questions

Is Zoho a legal practice management system?

No. Zoho is a set of general business apps that can be configured for intake, matters, documents and billing. Firms that need built-in legal accounting or court forms often keep a specialist system alongside it.

Is Zoho Books MTD compliant for a UK law firm?

Zoho says Zoho Books is HMRC-recognised for Making Tax Digital for VAT and can submit the nine-box VAT return directly. Your accountant should confirm your VAT scheme and settings.

Can Zoho run conflict checks for solicitors?

Zoho CRM can search contacts, companies and matter parties, and a custom function can flag possible matches at intake. Your firm still decides what counts as a conflict and records the outcome.

Are Zoho Sign e-signatures valid in the UK?

Zoho Sign offers simple, advanced and qualified signatures under UK eIDAS, with audit trails. Deeds and some property documents have extra formalities, so check them before you switch.

Does Zoho have a UK data centre?

Zoho has announced one, but at the time of writing its data centre page lists Amsterdam and Dublin for European customers. Confirm the hosting region with Zoho before you sign up.
