Zoho for Dental Practices in the USA: Patient Growth and Recall 2027

By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated

US dental practices use Zoho CRM, Zoho Campaigns and Zoho Bookings for new patient inquiries, recall campaigns and online booking, and Zoho People for staff HR. Zoho is not a dental practice management or charting system; it sits alongside yours. Zoho offers a BAA for listed services, so confirm coverage with compliance counsel.

This post is for owners, office managers and operations leads at US dental practices and small dental service organizations. You will learn where Zoho fits next to your practice management and charting software, how to run new patient acquisition and recall campaigns, how front-desk communication and reviews can be organized, how Zoho People supports staff HR, and what Zoho says about HIPAA and business associate agreements. We also cover a typical workflow, integrations and a realistic rollout timeline.

Where does Zoho fit in a dental practice?

Zoho handles growth and operations, not clinical records. Your dental practice management system stays the source of truth for charts, treatment plans, insurance claims and the clinical schedule. Zoho sits beside it for marketing, inquiries, recall outreach, reviews, staff HR and multi-location reporting.

This split matters for HIPAA. The less protected health information you copy into Zoho, the simpler your compliance picture. Many practices keep only contact details, recall dates and appointment status in Zoho CRM, and keep clinical detail in the practice management system.

Practices usually come to Zoho for three reasons. New patient inquiries from the website, phone and directories are not tracked in one place. Recall and reactivation depend on someone running reports by hand. And for groups with several offices, there is no shared view of growth and staffing. Zoho addresses all three without touching clinical workflows.

Which Zoho apps help with patient acquisition and recall?

A typical stack uses four or five apps.

Recall campaigns work best when the list is accurate. Agree on one field for the next recall date, decide who updates it, and keep message content generic, such as a reminder that it is time to book a visit, rather than naming treatments. Zoho Campaigns then segments by location, provider or recall month, and you can see open and booking rates per campaign.

  • Zoho CRM: new patient inquiries, source tracking, recall due dates and front-desk tasks.
  • Zoho Campaigns: recall and reactivation emails, new patient welcome sequences and newsletters.
  • Zoho Bookings: online booking for consultations or new patient visits, with reminders.
  • Zoho SalesIQ: website chat to answer questions and capture inquiries.
  • Zoho People: staff records, time off, onboarding and training records.
  • Zoho Analytics: inquiries, bookings and campaign results by location.

What does a patient workflow look like with Zoho?

Here is a common flow for a new patient, mapped to Zoho and your practice management system.

Front-desk communication improves when every inquiry has an owner and a due date. Zoho CRM can assign new inquiries by location, create a call-back task, and escalate if no one has responded within a set time. With a telephony integration, calls are logged automatically against the patient or lead record, so another team member can pick up the conversation without asking the patient to repeat themselves.

For reviews, keep the process simple and consistent. A post-visit message with a direct link to your review profile, sent a day after the appointment, is easy to set up in Zoho Campaigns or a CRM workflow. Avoid putting treatment details in these messages.

  1. Lead: a web form, chat or call creates a Lead in Zoho CRM with the source, such as search, referral or insurance directory.
  2. Booking: the patient books through Zoho Bookings or the front desk books in the practice management system.
  3. Visit: treatment, charting and claims stay in your practice management system.
  4. Invoice and payment: patient billing usually stays in the practice management system; Zoho Books can handle non-clinical items or DSO-level accounting.
  5. Recall: recall dates are synced or imported to Zoho CRM, and Zoho Campaigns sends reminders.
  6. Reviews: after a visit, a short email asks for feedback and links to your review profile.
  7. Reporting: Zoho Analytics shows new patients by source and recall response by location.

How does daily dental office work map to Zoho apps?

Zoho People covers the staff side: employee records, time-off requests and approvals, onboarding checklists and document storage such as licenses and training certificates. For DSOs, it gives one HR record across offices. Payroll can stay with your current provider or move to Zoho Payroll; see our Zoho People implementation page.

What does Zoho say about HIPAA and BAAs?

Zoho's HIPAA page says Zoho acts as a business associate, offers a BAA on request, and that no protected health information should flow through any Zoho application until a signed BAA is in place. The BAA defines which Zoho services are covered. Zoho's page lists services with support for HIPAA requirements, including Zoho CRM, Bookings, Forms, Desk, Campaigns, Creator, Analytics, Sign and Books, and states that not all Zoho services are designed for HIPAA.

Zoho also lists customer responsibilities, such as marking relevant fields as ePHI for encryption, enabling MFA and role-based access, and making sure any third-party integration that touches PHI has its own BAA. HHS guidance says covered entities need business associate agreements with vendors that handle PHI on their behalf. Check Zoho's current HIPAA page, read our post on Zoho and HIPAA for US clinics, and confirm your setup with compliance counsel. Zoho does not make a practice compliant on its own.

Which integrations and timeline should a practice expect?

Common integrations are telephony (Zoho CRM integrates with RingCentral and Twilio), a review platform, and a link to your practice management system. Most dental practice management systems connect via API or Zoho Flow where the vendor allows it, or through scheduled exports. Any connection carrying PHI needs a BAA with that vendor.

A Zoho CRM setup for inquiries and recall is usually live within two weeks. Adding Campaigns, Bookings, People and Analytics across several locations is a multi-app rollout of six to twelve weeks.

Start with the inquiry pipeline and recall list, because those show results quickly. Add Zoho People once the front desk is comfortable, then Analytics for group reporting. Short training sessions for front-desk and treatment coordinators work better than one long session.

Frequently asked questions

Can Zoho replace our dental practice management software?

No. Zoho does not do charting, treatment planning or dental insurance claims. It works alongside your practice management system for marketing, recall, HR and reporting.

Will Zoho sign a BAA with our practice?

Zoho says it offers a BAA on request that defines the covered services. Request it before any PHI enters Zoho and confirm the details with your compliance counsel.

Can we send recall reminders from Zoho?

Yes. Recall dates stored in Zoho CRM can trigger Zoho Campaigns emails or CRM workflow messages. Keep the content minimal and confirm it with your compliance advisor.

Is Zoho useful for a small DSO with several offices?

Yes. A shared CRM, HR in Zoho People and Zoho Analytics dashboards give a group view of inquiries, recall response and staffing across locations.

How long before we see the CRM working?

Most Zoho CRM setups go live within two weeks. Multi-app rollouts take six to twelve weeks.
