How Do You Build a Zoho Desk Help Centre and Knowledge Base?
By Harikrishnan, Founder & Chief Zoho Consultant, Flowpeak · 10+ years in Zoho · Published · Last updated
In Zoho Desk you turn on the Help Center, map it to your own domain, brand it, then build a knowledge base of categories, sections and articles. Add a community if customers help each other, embed the ASAP widget in your site or app, and fill in each article's SEO title, description and keywords.

This guide is for support managers, product owners and marketing teams who want customers to find answers without raising a ticket. It explains what a Zoho Desk help centre contains, how to set it up, how to structure and write knowledge base articles, how to bring self-service into your website and app, how to optimise help articles for Google and AI assistants, and how to run it in several languages. We checked features against Zoho's own pages. Edition differences are noted where Zoho publishes them.
What does a Zoho Desk help centre include?
The Help Center is Zoho Desk's customer-facing portal. According to Zoho, it can include:
- A knowledge base of searchable articles, which Zoho lists on Standard and above.
- A community where customers ask questions, share ideas and report problems.
- Ticket submission and tracking for signed-in customers.
- Your own domain and a theme you customise with HTML and CSS.
- Public access, or access only for customers who sign up or log in.
- Article ratings and Google Analytics tracking.
Zoho lists a multilingual help centre on Professional and above, and multi-brand help centres, each with its own articles, channels and SLAs, on Enterprise. Check the official Zoho Desk pricing page for your region before you plan around a feature.
How do you set up the help centre step by step?
Menu names can change between Zoho releases, so follow the current help documentation for your account.
- Go to Setup > Channels > Help Center and turn on the portal for the department or brand.
- Map a custom domain such as help.yourcompany.com and add the DNS record your provider needs.
- Choose a theme, then adjust header, footer, colours and logo to match your website.
- Set access: public, or sign-up and login required.
- Create the knowledge base structure: categories, then sections inside each category.
- Publish your first 20 to 30 articles, starting with the questions that create the most tickets.
- Turn on the community only if someone will moderate it each week.
- Connect Google Analytics and test search, sign-up and ticket submission as a customer.
How should you structure and write knowledge base articles?
Build categories around what customers are trying to do, such as Orders, Billing, Account and Troubleshooting, not around your internal teams. Keep each article to one question.
Zoho's knowledge base supports article templates for a consistent layout, review before publishing, version history so you can restore earlier copies, and a gallery for images and media. Zia can turn past ticket conversations into draft articles and check grammar, and Zoho reports article views, likes, dislikes and the keywords customers search for.
A simple writing standard helps:
- Title the article with the question customers type, such as How do I change my billing address?
- Give the answer in the first two sentences, then the steps.
- Use numbered steps, short paragraphs and screenshots that show the exact screen.
- Link to related articles and to the ticket form if the article does not solve it.
- Set an owner and review date so the article does not go stale.
How do you add self-service to your website and app?
Customers rarely visit a help centre home page. Bring answers to where they already are.
The ASAP help widget embeds your knowledge base, ticket submission, community and the Zia bot into your website or web app. Zoho also provides ASAP SDKs for iOS and Android apps. Answer Bot, part of Zia, scans your knowledge base to answer questions directly, for agents inside the ticket and for customers in the help centre or on your website. Zoho lists Zia on Professional and above.
Guided Conversations lets you build scripted flows that walk customers through common requests, such as checking an order or booking a repair, before handing over to an agent.
Add a feedback prompt to each article and review low-rated articles monthly. Ratings and searches with no result are the best list of articles to write next.
How do you optimise help articles for Google and AI assistants?
Each Zoho Desk article has an SEO section where you set the title, meta description, meta keywords and tags before publishing. Zoho also stresses clear structure and navigation, such as menus, links and breadcrumbs.
AI assistants and Google both favour pages that answer one question clearly, use the words customers use, and are easy to crawl. A public help centre on your own domain builds visibility for that domain.
| Item | What to do |
|---|---|
| Access | Keep answer articles public unless the content is confidential |
| Domain | Map the help centre to a subdomain of your main site |
| SEO title | Use the customer's question, under about 60 characters |
| Meta description | Summarise the answer in one or two sentences |
| First paragraph | Answer directly before giving steps |
| Internal links | Link related articles and your product pages |
| Freshness | Review high-traffic articles at least twice a year |
How do you run the help centre in several languages and regions?
Turn on multilingual support under Setup > Channels > Help Center > Languages, set a default language and add others. Articles can be translated manually or automatically through Google Translate, Unbabel or Zia. Automatic translations cover titles, content, tags and SEO fields, are saved as drafts and must be published by hand. Categories and sections need manual translation. When the default article changes, you can mark translations as outdated. Zoho notes the help centre does not switch language based on browser settings.
For the Gulf, check Arabic support in Zoho's supported languages list and review machine translations with a native speaker. Canadian teams serving Quebec usually need French. UK and EU teams should keep personal data out of public articles and community posts, and choose the EU data centre if data location matters. India-focused teams often add Hindi or regional languages for consumer products; confirm each is supported first.
What mistakes should you avoid with a Zoho Desk knowledge base?
Plan the first 30 articles from your ticket data, not from guesswork.
- Launching with a few long articles instead of many short ones.
- Leaving articles behind a login when they could rank in search.
- Publishing machine translations without review.
- Opening a community nobody moderates.
- No owner or review dates, so articles describe old screens.
Flowpeak sets up Zoho Desk help centres remotely, including domains, themes, ASAP widgets and multilingual settings, and can draft the first articles from your ticket history. Work is quoted in writing after a free scoping call.

Frequently asked questions
Can a Zoho Desk help centre rank on Google?
Yes, if articles are public, the help centre is on your own domain and each article answers a clear question. Fill in the SEO title, meta description and keywords in each article's SEO section, link related articles together, and keep content current so search engines and AI assistants treat it as reliable.
Which Zoho Desk edition includes the knowledge base?
Zoho lists the knowledge base and community on Standard and above, a multilingual help centre on Professional and above, and multi-brand help centres on Enterprise. Editions change, so confirm on the official Zoho Desk pricing page for your region before you plan around a feature.
Can I have separate help centres for different brands?
Yes, on Enterprise. Zoho's multi-brand help centre gives each brand its own portal, articles, channels, SLAs and notifications, all managed from one Desk account. Smaller businesses with one brand usually do better with one help centre and clear categories.
Can Zia write knowledge base articles?
Zia can turn past ticket conversations into draft articles and check grammar, which speeds up the first draft. An agent or editor should still check accuracy, add screenshots and fill in the SEO fields before publishing, because drafts can miss context that only your team knows.
